CRM and ERP do different jobs: a CRM system manages contacts, pipeline, and service, and an ERP runs finance, inventory, purchasing, and the ledger on a shared database, with finance as the system of record. For a 20 to 100 person company, buy CRM software first when the pain is pipeline and follow-up and the books still close in the accounting tool. Buy the ERP first when the pain is inventory, purchasing, or the general ledger and sales only needs quotes and orders. Choose one platform when the same people retype customers, items, and prices. See the ERP vs CRM difference and overlap guide for definitions.
As of October 2026, five Dynamics 365 Sales Professional users list at USD 65 per user per month, USD 325, before one Business Central Essentials user at USD 80. In Canada those two list prices are CAD 88.20 and CAD 108.50, plus applicable tax. The rest of this page is the purchase order: which subscription to sign first, what a second subscription adds, and where the documents overlap.
What a CRM holds and what an ERP holds
Microsoft describes CRM as the strategy, processes, and technology used to manage customer and prospect relationships across marketing, sales, and service, and describes a CRM system as the software that puts that strategy into practice. On its CRM solution page, the products in that group are Dynamics 365 Sales, Customer Insights, Contact Center, Customer Service, and Field Service. The people who live in those apps are sellers, marketers, and service staff. Their daily objects are leads, accounts, contacts, activities, and cases.
An ERP is a different category. Wikipedia describes it as integrated management of main business processes, usually through a suite that shares one database, and treats the finance module as the system of record. CRM appears on that list of functional areas, with the explicit note that CRM is not always treated as part of the ERP. Microsoft's ERP page says enterprise resource planning streamlines operations, lists Finance, Supply Chain Management, Project Operations, Human Resources, Commerce, and Business Central, and tells small and midsize firms: "Have a small or midsize business? Explore Dynamics 365 Business Central instead."
For a company your size, that pointer matters. Finance, Supply Chain Management, and the other enterprise ERP apps are a different buying motion from Business Central. Business Central is the product Microsoft aims at the firm that needs a ledger, sales documents, inventory, and purchasing without staffing an enterprise ERP program. Sellers may still want a pipeline the ledger does not provide. That is the gap the rest of this page prices.
Microsoft also says CRM software can connect to ERP systems. Connection is a project, with a direction for each document and a schedule for each job. Buy both after you list the documents your team retypes today.
Which system a 20 to 100 person company should buy first
Use the pain that is costing hours this quarter, then check whether the same people touch both sides of a customer order.
Buy the CRM first when three operating facts are true at once. Reps lose follow-up. Quotes are few enough that accounting can turn them into invoices in the current accounting tool. Nobody is waiting on stock, receipts, or a close that the sales tool would fix. Dynamics 365 Sales Professional, at USD 65 per user per month paid yearly in the United States as of October 2026, is the list price for that narrower start. Five sellers cost USD 325 per month, USD 3,900 per year, before any ERP seat. You still owe the accounting tool you already pay for, and someone still turns the won quote into an invoice.
Buy the ERP first when the hours sit in inventory, purchasing, or the general ledger, and sales can live on quotes, orders, and invoices. Business Central already stores those documents. A quote can convert to a sales order or a sales invoice, and the sales area also covers partial shipments, drop shipments, blanket orders, and posted invoices. Relationship Management inside Business Central is a lighter contact feature beside those documents. Pipeline stages, forecasts, and the engagement tools sit in Dynamics 365 Sales. For a single-entity distributor that does not need manufacturing or service management, Essentials is the license that matches that scope: finance, sales, and operations, with Copilot included, at USD 80 per user per month paid yearly in the United States as of October 2026 (CAD 108.50 in Canada, plus applicable tax). Premium, at USD 110 (CAD 149.20), is the step up when you need service management or manufacturing.
Choose one database when the same coordinator retypes the customer, the item, and the price. That pattern shows up in wholesale and in light assembly shops long before headcount hits 100. Two systems that both believe they own the order will drift. The section on license math shows what you pay while they drift. The section on Odoo shows what a second app does to a free first app.
A practical sequence for the ERP-first firm is ledger, items, and sales documents in phase one, then pipeline only if reps outgrow Relationship Management. A practical sequence for the CRM-first firm is pipeline and quotes, with a written date for when those quotes must post to a ledger without a second typing. If you cannot name that date, you are planning a permanent re-key.
What Sales plus Business Central costs before they share data
Assume five people on Dynamics 365 Sales Professional and one finance user on Business Central Essentials. Nobody in this mix needs manufacturing. As of October 2026, paid yearly, United States list prices:
- Seller (License: Sales Professional · List price per user per month: USD 65 · Users in this mix: 5 · Monthly list: USD 325 · Yearly list: USD 3,900)
- Finance (License: Business Central Essentials · List price per user per month: USD 80 · Users in this mix: 1 · Monthly list: USD 80 · Yearly list: USD 960)
- Combined (Users in this mix: 6 · Monthly list: USD 405 · Yearly list: USD 4,860)
The same shape in Canada, plus applicable tax:
- Seller (License: Sales Professional · List price per user per month: CAD 88.20 · Users in this mix: 5 · Monthly list: CAD 441.00 · Yearly list: CAD 5,292)
- Finance (License: Business Central Essentials · List price per user per month: CAD 108.50 · Users in this mix: 1 · Monthly list: CAD 108.50 · Yearly list: CAD 1,302)
- Combined (Users in this mix: 6 · Monthly list: CAD 549.50 · Yearly list: CAD 6,594)
US figures are on the Dynamics 365 Sales pricing page and the Business Central pricing page. Canada figures are on the Canadian Sales pricing page and the Canadian Business Central pricing page. Microsoft says list prices are informational, the actual price is shown at checkout, and currency, country, and regional variants can change the figure. Canada pages add plus applicable tax.
Read the table as license cost only. USD 4,860 a year (CAD 6,594 before tax) buys five pipeline seats and one ledger seat. It does not buy the integration, the data migration, or the hours your coordinator spends copying a won opportunity into a sales order. If those five sellers also need a full Essentials seat because they enter orders, ship, or touch inventory, the mix is five times (USD 65 plus USD 80), which is USD 725 per month, USD 8,700 per year. In Canada that double seat is five times (CAD 88.20 plus CAD 108.50), CAD 983.50 per month, CAD 11,802 per year, plus applicable tax.
Other Sales tiers change only the sales half. Sales Enterprise lists at USD 105 per user per month (CAD 142.50) on the US and Canadian Sales pricing pages. Sales Premium lists at USD 150 (CAD 203.50) and includes 1,000 Copilot Credits. Relationship Sales is Sales Enterprise plus LinkedIn Sales Navigator, marked Variable, and it requires a 10-seat minimum. There is no public list price to multiply, so leave it out of a budget until checkout shows a number.
Team Members is the license people try to use as a cheap full user. It is USD 8 per user per month in the United States and CAD 10.90 in Canada, paid yearly, plus applicable tax in Canada. Microsoft describes it as limited access: read data, approve workflows, and create or update selected information. A warehouse lead who only approves can fit that limit. A salesperson who builds quotes needs a full license. Put every quote-writer on Sales or on Business Central Essentials, and test the Team Member screens against the clicks that person makes before you count the seat as covered. The USD 8 and CAD 10.90 figures are on the US and Canadian Business Central pricing pages.
Two unconnected subscriptions create a second bill that does not show on either order form: the re-key. Sales holds a quote. Business Central holds the order that ships and the invoice that posts. Until someone types the customer, the item, and the price a second time, the ledger does not know what the rep sold. Item availability, if you later turn on the standard integration, refreshes on a job that runs every 30 minutes, so a rep can still promise stock that the warehouse committed in the last half hour. That is the moment the license table understates the cost. The seats are a few hundred dollars a month. The mismatch is a person, a late shipment, or a credit memo.
Where quotes, orders, and invoices overlap
Dynamics 365 Sales and Business Central both store products, prices, quotes, orders, and invoices. The Sales pricing footnotes say Sales includes lead, opportunity, account, and contact management, plus product and price lists, bundles, quotes, orders, and invoices. Business Central's sales tasks cover the quote-to-invoice path and the shipping variants above. The extra surface in Sales is the pipeline: leads, opportunities, and the engagement tools around them. The extra surface in Business Central is the ledger, the shipment, and the inventory quantity.
If you buy both, Microsoft documents a native online integration through Dataverse. Standard mappings include items and resources to products, opportunities in both directions, and posted sales invoices from Business Central to Sales. Sales orders synchronize in both directions only if Bidirectional Synch of Sales Orders is turned on. Legacy sales-order integration, which sends orders from Sales to Business Central only, and bidirectional sync are mutually exclusive. You pick one direction model. Submitted sales orders arrive in Business Central as Released. Changing unit-of-measure mappings can force products to be retired and recreated in Sales, so schedule that mapping before anyone relies on the product list.
Treat that list as the agenda for a design meeting. Decide which system creates the order. Decide whether invoices flow back so the rep can see what posted. Decide how a 30-minute availability job fits a same-day ship promise. Write those choices into the phase plan before you add seats. Our ERP implementation work scopes that document map with the license mix, whether phase one is Business Central alone or Sales beside it. If the first phase is pipeline only, the matching scope sits on CRM implementation.
What happens when Odoo starts as one free app
Odoo sells CRM, sales, accounting, and inventory as apps on one database, with a different pricing trigger. Odoo CRM is a pipeline of opportunity cards with stages, scheduled activities, quotations, and forecasts. The Sales app is what connects quotes and sales orders to opportunities. Odoo says: "Your first app is always free with Odoo, including free hosting and support. You'll only have to pay if you install more applications." One App Free is one app, unlimited users, on Odoo Online, at USD 0 as of October 2026.
Accounting is a separate app. The accounting page says the first app, including unlimited invoices and bills, is free, and that Sales generates invoices from that base. Choosing an app that depends on others includes those required apps on the free plan. A team that can live inside a single app, dependencies included, can stay on zero license fees. Installing another app moves the database from One App Free to Standard.
Standard and Custom each include all apps, CRM and Accounting among them, for one per-user fee. That is the commercial difference from stacking Sales Professional on Business Central Essentials. Adding inventory stays inside that one per-user fee. You start paying for every paying user once the second app is installed.
The Odoo pricing page, as of October 2026, rendered yearly and monthly controls together, so Standard showed both USD 31.10 and USD 38.90 per user per month, and Custom showed both USD 61.00 and USD 76.20. Keep both figures in the budget until checkout shows which one applies. Odoo's pricing footnote limits that discount to the first 12 months and to the users ordered at sign-up. Assume 15 paying users. If the lower Standard figure is the one checkout applies, 15 times USD 31.10 is USD 466.50 per month. If the higher figure applies, 15 times USD 38.90 is USD 583.50 per month. Custom at the two displayed figures is 15 times USD 61.00 (USD 915 per month) or 15 times USD 76.20 (USD 1,143 per month). Confirm which toggle you are buying. Ask Odoo for the Canada checkout figure before you budget in CAD.
Custom is the plan that includes Odoo Online, Odoo.sh, or on-premise, plus Studio, multi-company, and the external API. Odoo.sh hosting is extra. Installing Studio switches the database to Custom. A Light User is listed at USD 8.90, arranged with an Odoo advisor, not a self-serve checkout.
The subscription includes hosting, daily backups, email support Monday to Friday, eLearning, and version upgrades. It excludes Odoo.sh hosting, implementation services, in-app credits (SMS, lead generation, and AI bill scan), and maintenance of custom code. External portal users, such as customers and suppliers, are not paying users. A paying user is a backend user, or an employee record with no linked user. Count employee records before you multiply the per-user fee, or the 15-user sketch above will be short.
Odoo implementation on one database is the path when you already know a second app is coming. Starting on the free CRM and pretending accounting will stay in another product is how companies inherit the re-key they were trying to avoid, then pay Standard for everyone the month they install it.
What published implementation hours cost
License tables stop at the subscription. Project hours are a separate bill. Odoo publishes Success Packs. For new customers, with 15% off the first pack, as of October 2026: Starter is 4 hours at USD 493, Basic is 25 hours at USD 3,060, Standard is 50 hours at USD 5,950, Custom is 100 hours at USD 10,625, and Pro is 200 hours at USD 21,250. Returning-customer prices on the same page are USD 580, USD 3,600, USD 7,000, USD 12,500, and USD 25,000. Onsite travel time and expenses are extra, and extra monthly charges apply for maintenance of extra modules. Odoo says companies under 50 employees usually implement directly with Success Packs, and companies over 50 employees usually use a partner.
Those packs count hours. The chart of accounts, the open orders, and the warehouse still need a written scope. A 4-hour pack cannot carry a distributor with two locations off a desktop accounting file. A 50-hour pack might cover a tight configuration if the data is already clean. Ask whoever sells the pack to name the workshops inside the hours.
The US Business Central pricing page says to contact a partner to purchase the licenses. That sentence prices the subscription channel. Ask each bidder to price data migration, the Sales integration if you use it, and training as separate lines. In the Flectic Accelerated Delivery Framework, our target for a first usable phase is 8 to 12 weeks.
How ERP differs from SaaS
Buyers mix these words because the invoices arrive as subscriptions. They are different axes. NIST defines Software as a Service as the capability to use a provider's applications running on the provider's cloud infrastructure, typically through a browser, while the customer does not manage the underlying network, servers, operating systems, or storage. CRM and ERP are categories of software. SaaS is a way those categories are delivered.
Dynamics 365 Sales, Business Central online, and Odoo Online are SaaS products under that definition. Odoo Custom can also run on-premise or on Odoo.sh, and Odoo.sh hosting is billed outside the user fee. A cloud ERP and a cloud CRM can still be two databases with a re-key between them. Delivery model does not decide which one you buy first. The ERP vs SaaS guide stays on that distinction. This page stays on sequence and license cost.
Salesforce's CRM overview positions the product around marketing, sales, ecommerce, and service, and it says CRM can integrate with accounting and billing. The page also says "The average organization uses almost 900 different applications." Salesforce uses that line to describe application sprawl. The same page treats CRM cost as variable and does not print a price. Read whether Salesforce is an ERP before you assume a CRM subscription will post inventory and the general ledger.
When one database beats two products that sync
Odoo puts every app on one price once you leave the free plan. Microsoft sells CRM apps and ERP apps that integrate, and for a small or midsize company the ERP side of that pair is Business Central. Neither arrangement is automatically cheaper. Five Sales Professional users plus one Essentials user is USD 405 per month at US list, paid yearly, before services. Fifteen Odoo Standard users land at either USD 466.50 or USD 583.50 per month depending on which displayed figure checkout uses, and that fee already includes the apps. The Odoo number covers more people and more modules. The Microsoft number covers a specific split of five sellers and one finance user. Compare them only after you count paying users the same way on both sides.
Prefer one database when customer, item, and price are typed twice today, or when the person who quotes is the person who ships. Prefer Business Central first, without Sales, when the pipeline is a spreadsheet of follow-ups and the operational pain is stock and the close. Prefer Sales first, without Business Central, when the books close on time in the current accounting tool and the lost deals are follow-up, not fulfillment. Revisit the second product when that sentence stops being true.
The one suite versus separate CRM and ERP products guide goes further on that choice. If you are inside a budget cycle now, bring the license mix and the list of documents you retype. We will order phase one against that list.
How Flectic can help
Flectic implements ERP on Odoo or Dynamics 365 for companies of 20 to 100 people in the US and Canada, where finance, payables and receivables post to one ledger. If your first problem is month-end close, start with the ERP and add the CRM once the quote-to-invoice path is clear. Flectic sends a written proposal with a fixed price for each phase before work starts. Book a free discovery call with Flectic to decide which system comes first, after you read the ERP implementation service.

Frequently asked questions
What does CRM stand for?
CRM stands for customer relationship management. Microsoft uses the term for the strategy, processes, and technology that manage customer and prospect relationships across marketing, sales, and service. The software that runs that work is the CRM system, and it is a separate category from the ERP that posts the ledger.
Is CRM the same as a CRM system?
CRM is the strategy and the operating process for marketing, sales, and service. A CRM system is the software that stores contacts, pipeline, and service work so the team can run that strategy. You can have a follow-up process in a spreadsheet and still lack a CRM system, and you can own a CRM system that the team does not use.
What is a CRM used for?
A CRM system keeps accounts, contacts, leads, and opportunities where sellers and service staff can see the next activity. Dynamics 365 Sales also holds product and price lists, bundles, quotes, orders, and invoices. Those documents overlap what Business Central stores. The buying question is who creates the order, and which team has to retype it if the answer is both.
How much does CRM cost?
It depends on the product and the seat type. As of October 2026, Dynamics 365 Sales Professional lists at USD 65 per user per month in the United States and CAD 88.20 in Canada, paid yearly, with Canada plus applicable tax. Sales Enterprise and Sales Premium list higher. Odoo's first app can be free for unlimited users until you install another app and move to a per-user plan. Checkout can differ from the list price.
Does a Business Central Team Members license replace a full user?
Team Members is limited access: read data, approve workflows, and create or update selected information. As of October 2026 it lists at USD 8 per user per month in the United States and CAD 10.90 in Canada, paid yearly. A person who builds quotes, ships orders, or posts invoices needs Essentials, Premium, or a full Sales license. Test the screens against the clicks that person makes before you count the seat.
What does an Odoo subscription leave out?
The Odoo subscription includes hosting, daily backups, weekday email support, eLearning, and version upgrades. It does not include Odoo.sh hosting, implementation services, in-app credits such as SMS, lead generation, and AI bill scan, or maintenance of custom code. Success Pack hours are a separate purchase, and onsite travel is extra. External customers and suppliers on the portal are not paying users.
Who counts as a paying user on Odoo?
A paying user is a backend user, or an employee record that has no linked user. Customers and suppliers who only use the portal are not paying users. On Standard or Custom you multiply the per-user fee by that paying-user count, not by headcount alone. Check employee records with no login before you lock a 12-month discount, because those records still count.
What is Microsoft Relationship Sales priced as?
Relationship Sales is Dynamics 365 Sales Enterprise plus LinkedIn Sales Navigator. Microsoft lists the price as Variable and requires a 10-seat minimum. There is no public per-user figure to put into a budget the way Sales Professional has one. Ask for the checkout price at 10 seats before you compare it with Business Central or with Odoo.
