Odoo project and resource management for engineering consultancies.

For consulting engineering firms that need discipline budgets, engineer utilization, outsourced analysis and client change requests tied to each work package and invoice.

Book an ERP Readiness Call

Free, 30 minutes, with a senior consultant. You leave with a recommended first phase or a clear reason to wait.

Odoo screen for engineering services

Staff each project by discipline and invoice every approved change request. Track every engineering hour, subconsultant invoice and change request against the work package it belongs to.

  • Work packages that hold their budget

Each work package carries its discipline hours, subconsultant costs and milestones, so overruns show up while the package is still running.

  • Utilization you can plan against

Planning shows which engineers and technicians are booked, free or overcommitted across projects and disciplines, including who can take the next bid.

  • Extra scope on the invoice

Change requests from clients go through an approval step and become their own billing line, so added work is invoiced.

Core and Growth for engineering consultancies

Pick Core if timesheets, subconsultant orders and invoicing need fixing first. Pick Growth when hiring, engineer skills records and client technical queries take up your principals' week. Both include training, a dedicated project manager and launch stabilization.

Core

For consultancies that want work-package budgets, utilization and billing on the same record.

DeliveryProposed 12 to 14 weeks

  • Customization: Up to 32 hours, for example discipline and grade fields, work-package templates, a change-request approval and invoice layouts.
  • AI use cases: 2 use cases, each tested and signed off by a Flectic consultant before go-live: one drafting workflow, such as work-package progress summaries from timesheet notes, and one classification workflow, such as tagging incoming specifications by discipline.
  • Data migration: 1 source system; up to 8 agreed data objects, for example clients, open projects, work packages, service rates and subconsultants.
  • Integrations: 1 named standard connector, agreed in discovery.
  • Launch stabilization: 30 business days; up to 10 advisory hours.

Growth

For firms that also need engineer records, a client query desk and director dashboards.

DeliveryProposed 14 to 18 weeks

Everything in Core, plus:

  • Customization: Up to 64 hours instead of 32, for example skills fields for staffing and further approval rules.
  • AI use cases: Core's 2 use cases plus 3 more, for example change-request drafts and up to 2 internal agents grounded in your approved procedures. A Flectic consultant tests each one before go-live, and a principal checks every draft before it reaches a client.
  • Data migration: Up to 3 source systems instead of 1, with no limit on data objects, which allows past timesheets or closed-project budgets if agreed in discovery.
  • Integrations: Up to 3 named standard connectors instead of 1.
  • Launch stabilization: 45 business days instead of 30, with up to 22 advisory hours instead of 10.

Timelines depend on scope, data readiness and timely client decisions.

How an engineering firm goes live on Core

A proposed 12 to 14 weeks in five stages, from mapping disciplines to stabilization. Growth adds a second test cycle and up to two rollout waves.

  1. 01

    Map disciplines and fee types

We document your disciplines, grades and fee types, the connector you need and up to 8 data objects to migrate.

  2. 02

    Configure work packages

Customization, up to 32 hours, goes to discipline fields, work-package templates, the change-request approval and invoice layouts.

  3. 03

    Move clients and open projects

Clients, open projects, work packages and service rates come across from one source system, from clean import files you supply.

  4. 04

    Test with real work packages

One user acceptance test cycle, with defect retest, takes real work packages from proposal to invoice; then 6 two-hour training sessions for up to 8 champions.

  5. 05

    Go live and stabilize

For 30 business days after go-live, launch stabilization gives you up to 10 advisory hours with the consultant who configured your work packages. Flectic stays on after that, and later improvements are scoped as a new phase.

Scope by scope: what a consulting engineering firm gets

Configuration focus. Discipline and grade fields, work-package templates, a change-request approval and invoice layouts for fixed-fee and hourly work.

Feature coverage, budgets, company setup and accounting localization for your country are agreed during design. Invoicing sits within Accounting; Calendar handles meetings and reminders. Essential contact/staff records support the configured workflows. Odoo Enterprise with Studio-compatible licensing is assumed.

Questions buyers ask

Can Odoo bill fixed-fee, hourly and milestone work for the same client?

Yes. Each service on a quote has its own billing basis: fixed price, timesheets or milestones. One project can bill a fixed-fee concept design, hourly specialist support and a milestone for the final report. Timesheet hours update the hourly lines, ready to invoice.

How do we see utilization by engineer and discipline?

Timesheets record every hour against a work package, and Planning shows who is booked, free or overbooked across projects. Core configures a utilization-by-discipline report from that data, and Growth adds a dashboard per module for directors.

What happens when a client asks for work outside the agreed scope?

Core sets up a change-request approval in Studio. The request is logged against the work package, approved by a principal and added to the client's order as a separate service line, so the extra hours are invoiced.

Can subconsultant and outsourced analysis costs sit against the project?

Yes. Subconsultant purchase orders are coded to the project's analytic account, and their cost joins project profitability next to your own engineering hours after the vendor bill is posted. Open orders appear in a subconsultant commitments report, so you see what is owed before the bill arrives.

Can Odoo handle resource management for an engineering firm?

For firms of 20 to 100 people, yes. Planning assigns engineers by role and project, Timesheets compare booked and recorded hours, and Growth adds skills to employee records to inform staffing choices. If you need skills-matched forecasting across a much larger workforce, a dedicated resource tool may fit better, and we will say so in discovery.

What changes if we choose Growth over Core?

Growth keeps every Core deliverable. It adds engineer records and skills, hiring, leave planning, a client query desk and director dashboards, raises customization to 64 hours and lets you bring up to 3 source systems and 3 named connectors, over a proposed 14 to 18 weeks.

What is priced separately from the package?

Odoo licenses (Enterprise is assumed), hosting, taxes and paid connectors are confirmed separately. Calculation, CAD and analysis software stays in use alongside Odoo. Work after stabilization is a new phase. Timelines depend on scope, data readiness and your directors' decision speed.
