Microsoft 365 Copilot for business: what it does and what it costs

Microsoft 365 Copilot for a firm of 300 or fewer people is Microsoft 365 Copilot Business.

Microsoft 365 Copilot for a firm of 300 or fewer people is Microsoft 365 Copilot Business. As of October 2026, Microsoft lists the add-on at USD 18 per user per month in the United States and CAD 24.43 in Canada on yearly billing, on top of a qualifying Business plan, plus applicable tax in Canada. Fifty seats come to USD 10,800 a year or CAD 14,658 a year before the Microsoft 365 licenses you already hold. Learn docs updated 1 October 2026 call the product Microsoft Copilot, and it is a different license from Copilot inside Dynamics 365. App behavior sits in our Copilot for Microsoft 365 pricing and apps guide.

Monthly billing lists higher, at USD 25.20 or CAD 34.20 per user, and Microsoft still treats that rate as an annual commitment. Assign paid seats to people who draft, analyze, and meet in Word, Excel, Outlook, and Teams. Everyone else on an eligible work account already has Copilot Chat.

What 30, 50, and 100 seats cost as of October 2026

The figure that belongs in a budget is the add-on, multiplied by named people, for a full year. The bundle SKUs below are different products: they are Business plans that already include Copilot, capped at identity management for up to 300 users. Do not add a bundle price to the add-on. Standalone Business plan prices without Copilot are a separate line on your Microsoft invoice, so the tables here stay with what the October 2026 pricing pages print.

  • Microsoft 365 Copilot Business add-on (US, paid yearly: USD 18 · US, monthly billing: USD 25.20 · Canada, paid yearly: CAD 24.43 · Canada, monthly billing: CAD 34.20)
  • Business Standard with Copilot (US, paid yearly: USD 23.50 · US, monthly billing: USD 28.20 · Canada, paid yearly: CAD 31.90 · Canada, monthly billing: CAD 38.28)
  • Business Premium with Copilot (US, paid yearly: USD 32 · US, monthly billing: USD 38.40 · Canada, paid yearly: CAD 43.40 · Canada, monthly billing: CAD 52.08)
  • Enterprise Microsoft 365 Copilot add-on (US, paid yearly: USD 30 · US, monthly billing: Yearly card only · Canada, paid yearly: CAD 40.70 · Canada, monthly billing: Yearly card only)

US add-on and bundle prices: Microsoft Copilot business pricing. Canada add-on and bundle prices, plus applicable tax: Microsoft 365 Copilot pricing for Canada. Enterprise yearly prices: US enterprise pricing and Canada enterprise pricing. All figures as of October 2026. The US add-on page shows USD 18 reduced from a starting price of USD 21. The Canada page shows CAD 24.43 reduced from CAD 28.50.

Assume every person in the count gets the Copilot Business add-on and nobody is double-counted on a bundle. Yearly totals are list price times seats times 12, before tax. The monthly-billed column is the same annual commitment paid at the monthly list rate.

  • 30 (US yearly list: USD 6,480 · US if you pay the monthly rate for 12 months: USD 9,072 · Canada yearly list, before tax: CAD 8,794.80)
  • 50 (US yearly list: USD 10,800 · US if you pay the monthly rate for 12 months: USD 15,120 · Canada yearly list, before tax: CAD 14,658)
  • 100 (US yearly list: USD 21,600 · US if you pay the monthly rate for 12 months: USD 30,240 · Canada yearly list, before tax: CAD 29,316)

A 50-person US firm that pays yearly is at USD 900 a month for the add-on (50 times USD 18). The same 50 seats on monthly billing are USD 1,260 a month. In Canada, 50 times CAD 24.43 is CAD 1,221.50 a month before tax on the yearly price. Those totals exclude the Microsoft 365 seats underneath. Copilot Chat for eligible Microsoft Entra work accounts is included at no additional license cost. Pay-as-you-go agents are metered, and Cowork for add-on users is billed by usage, separate from the per-user seat.

For a single-entity firm under 100 people, the enterprise add-on at USD 30 is usually the wrong card. That price still requires a qualifying Microsoft 365 plan. Copilot Business is the offer Microsoft points at organizations of 300 or fewer users.

What the yearly price commits you to

Copilot Business is an annual commitment with monthly or annual billing. Microsoft says there is no month-to-month purchasing agreement. Choosing the USD 25.20 or CAD 34.20 rate changes cash timing and still leaves you inside an annual commitment. Both the yearly and monthly subscriptions are described as auto-renewing.

The USD 18 and CAD 24.43 figures are the reduced list prices on the page as of October 2026. Ask Microsoft which number applies at renewal before you put USD 18 into a two-year forecast. The starting prices printed beside them are USD 21 and CAD 28.50. A renewal at the starting price on 50 US seats is 50 times USD 21 times 12, or USD 12,600 a year, against USD 10,800 at the reduced list. That gap is USD 1,800 on the add-on alone. It is wide enough to matter, and it is still only list arithmetic.

If you already hold the older Microsoft Copilot add-on, those seats do not convert to Copilot Business by themselves. The FAQ states that a customer must finish the current annual commitment before switching those seats. A firm paying the enterprise list of USD 30 per user per month, yearly, keeps that rate until the term ends. On 40 existing seats that is USD 14,400 a year at the enterprise list, versus USD 8,640 a year if the same 40 seats were on the USD 18 Copilot Business list. The difference shows up at the next eligible switch, after the commitment you already signed.

Microsoft's own FAQ describes the product this way: "Copilot Business is an affordable, competitively priced product for customers who have a Microsoft 365 for business plan." Price is the smaller half of the project once answers can see company files. SharePoint permissions decide what those answers are allowed to repeat. Our Microsoft Copilot rollout work starts from that pair: the annual seat list, and the files those seats can already open.

Who can buy Copilot Business

Microsoft defines Copilot Business SMB customers as organizations with 300 or fewer users who hold Microsoft 365 Business Basic, Business Standard, or Business Premium. The add-on supports up to 300 seats per tenant. Organizations above that size are pointed to the enterprise Microsoft Copilot offer. The FAQ puts the boundary in a direct question, "What if my organization has more than 300 users?", and the answer is the enterprise path, at the yearly prices in the table above.

A 30, 50, or 100 person company is inside the seat cap. The cap still matters in the contract: you cannot treat Copilot Business as the plan that carries you through a later acquisition that pushes the tenant past 300 users. If that deal is already in motion, price the enterprise add-on for the combined headcount and keep the qualifying Microsoft 365 plan in the same model.

Two Microsoft pages describe prerequisites, and they do not match word for word. The Copilot Business FAQ says the add-on delivers the same capabilities as the Microsoft Copilot offering and can be bought on Microsoft 365 Business plans that do not include Teams. The licensing article, updated 25 September 2026, also lists Microsoft 365 Apps for business and Microsoft Teams Essentials as Copilot Business prerequisites. The FAQ does not. Have your reseller show which of those base plans your tenant holds before you order seats against the longer list.

That licensing article separates those Business prerequisites from the enterprise add-on. It includes Microsoft 365 E3 and E5 among the enterprise qualifying plans, and it notes that Microsoft 365 E7 includes Copilot. A 40-person firm on Business Premium is in Copilot Business territory. A firm that already bought E3 or E5 is looking at the USD 30 or CAD 40.70 enterprise add-on, yearly, on top of that plan. E7 is the case where the base plan already includes Copilot, so an extra add-on would be the wrong line to order. Confirm the SKU name on the invoice, because license labels still carry older names.

The product rename is easy to miss on a quote. Learn docs updated 1 October 2026 say the product formerly called Microsoft 365 Copilot is now named Microsoft Copilot, and Microsoft 365 Copilot Chat is now Microsoft Copilot Chat. Some licenses and URLs still use the old names. The app URL is moving from m365.cloud.microsoft to copilot.cloud.microsoft. When a quote uses the old product name, ask whether the line is Copilot Business at the USD 18 yearly list, the enterprise add-on at USD 30, or a Business Standard or Business Premium bundle.

What the license does in Word, Excel, Outlook, and Teams

People ask what Microsoft 365 Copilot is used for because the icon shows up before anyone has bought the add-on. The unpaid experience and the paid experience share a chat box and then split. Without the paid add-on, Copilot Chat is web-grounded. Organizational content is used only if the user uploads or pastes it, works with content already open in Outlook or Teams, or uses a pay-as-you-go agent. Automatic grounding in email, files, meetings, calendars, and org relationships through Microsoft Graph and Work IQ is the paid experience.

Microsoft documents these in-app uses for the non-add-on experience, with standard access that can vary with service capacity: Word drafts, rewrites, and summaries; Excel analysis, insights, formulas, and visuals; PowerPoint creation and deck edits; Outlook draft, thread summary, and coaching; OneNote drafts; Teams meeting summary up to 30 days, transcription, and action items. On a Tuesday that means a first draft, a formula, a thread summary, or a meeting recap. Have the Excel prompt run on a workbook your finance lead already closes the month with, and have a second person check the formula against the sheet totals.

The service description, page dated 5 August 2026, marks work-data grounding, Researcher, Analyst, Notebooks, and Edit with Copilot in Word, Excel, PowerPoint, and OneNote as paid features. Copilot Chat inside those four apps is available on both the Basic and the Premium experiences. Power Platform licenses are not included with Microsoft 365 Copilot. A Power Apps or Power Automate idea stays on its own license.

  • Web-grounded chat (Available without the paid add-on: Yes · Needs the paid add-on: Yes, with priority access during peaks)
  • Draft or summarize the file already open (Available without the paid add-on: Yes, with standard access that can vary with capacity · Needs the paid add-on: Yes, plus priority access)
  • Ground answers in mail, files, meetings, and calendars through Graph and Work IQ (Available without the paid add-on: Only via upload, paste, open content, or a metered agent · Needs the paid add-on: Yes, and an admin can turn Work IQ off)
  • Edit with Copilot, Researcher, Analyst, Notebooks (Available without the paid add-on: Chat in the app is available · Needs the paid add-on: These features need the paid license)
  • Agents grounded in work data, usage reports, Purview prompt review (Available without the paid add-on: Pay-as-you-go agents are a separate usage path · Needs the paid add-on: Work-data agents, usage reports, and Purview come with the add-on. Cowork and Copilot Studio capacity stay on a separate usage bill)

Priority access, in Microsoft's wording, means faster responses and more consistent availability at peak. The paid add-on also adds a semantic index, SharePoint Advanced Management controls such as restricted content discovery, Purview labeling and prompt review, and usage reports. Microsoft Copilot Cowork is available to add-on users through usage-based billing. Keep Cowork on its own usage quote, separate from the per-user seat price.

For Microsoft 365 Copilot in Excel, the operational test is narrow. Ask a licensed user to explain a margin column, propose a formula, and build a chart from a table your finance lead already trusts. Then have a second person check the formula against the workbook's totals. The license pays for speed on that pass. It does not replace the person who signs the number. The same pattern fits Outlook: a thread summary is useful when the thread is long, and the sender still owns what goes to the customer.

What has to be true before company files show up in answers

Copilot only surfaces organizational data the signed-in user already has at least view permission to, including SharePoint permissions and Teams shared channels. Semantic Index uses the same identity boundary. Oversharing in SharePoint therefore becomes oversharing in Copilot answers. A folder the whole company can open is a folder Copilot can quote for everyone who has a paid seat.

That is the rollout risk that sits under the USD 10,800 line. Buying 50 seats before you repair sharing links means 50 people can ask questions against libraries they were never meant to browse in bulk. The repair is ordinary SharePoint work: break links that grant the whole company access to customer, payroll, and pricing libraries, and put sensitive sites behind the groups that already own them. Our Copilot governance rollout model is the sequence we use for that cleanup, the Purview settings, and the order in which seats turn on.

Three admin switches change the product after you have paid:

  1. Work IQ can be turned off. Work IQ is part of the paid grounding in mail, files, meetings, and calendars. Turning it off removes the work context the add-on is priced for. Decide the default with security before the pilot, and write down which sites stay excluded.
  2. If an admin turns off Microsoft 365 Apps connected experiences that analyze content, Copilot features stop working in Excel, OneNote, Outlook, PowerPoint, and Word on current Windows, Mac, iOS, and Android clients. A privacy policy set years ago can make a new license look broken on the desktop. Check that policy in a pilot user's client before you assign the other seats.
  3. Restricted content discovery, through SharePoint Advanced Management, is one of the paid controls Microsoft lists for keeping some content out of discovery. It is a configuration task, not a switch that ships in a safe position for every library you have.

Prompts, responses, and data accessed through Microsoft Graph are not used to train the foundation models used by Microsoft Copilot. Prompts and responses are stored as Copilot activity history, encrypted, and can be retained or searched with Microsoft Purview. Users can delete activity history from the My Account portal. Tell staff that in the same note that announces the pilot, so nobody treats the chat as a private scratchpad.

Microsoft says generative output cannot be taken as fact, Microsoft does not claim ownership of the output, and similar prompts can produce similar text for different customers. A commercial copyright-defense commitment applies when customers use the built-in guardrails and content filters. For a distributor, the practical rule is that a customer-facing price, a lead time, or a contract clause gets checked against the source file before it is sent. The privacy documentation is the page to hand your counsel: permission boundary, training statement, and the connected-experiences behavior are all there.

Where Dynamics 365 data fits

A Dynamics 365 Sales license does not stand in for a Microsoft 365 Copilot license. Copilot inside the Sales app summarizes CRM records for someone who is already in Dynamics 365. The Sales agent that works across Outlook, Teams, Word, and Excel is a different feature, and Microsoft says it is becoming the preferred path. The Sales FAQ asks "How does the Sales agent in Microsoft 365 Copilot differ from Copilot in Dynamics 365 Sales?" because buyers mix the two up on the same quote.

Copilot in Dynamics 365 Sales is built into the Sales app and does not keep chat history across sessions. The Sales agent inside Microsoft 365 Copilot works across Teams, Outlook, Word, Excel, and Dynamics 365 Sales, keeps chat history, and can also connect to Salesforce. Opportunity and account summaries in Dynamics 365 Sales Copilot use an admin-chosen set of fields, capped in the FAQ at the top 15 fields agreed for the organization. Lead-to-contact matching uses the lead email address only. If your sellers match leads on phone numbers or company names, that matching behavior will miss them until a person reviews the queue.

The Sales agent is available only to users who have a Microsoft 365 Copilot license, and only after the agent is installed and connected to a CRM. If the tenant disables agents, licensed users still will not see it. It is useful only when a CRM is connected. Default Dynamics 365 tables include Lead, Opportunity, Account, Contact, Quote, Invoice, and related sales tables. Admins must open Sales Chat settings once to initialize the connection. Finance and supply-chain tables are outside that default list, so a warehouse or general-ledger question needs its own design on your tenant. Have the integrator show the tables the agent can read, using one of your opportunities, before sellers depend on it.

Setup then has a fixed order:

  1. Confirm the person has a Microsoft 365 Copilot license, Copilot Business or the enterprise add-on, not only a Dynamics 365 seat.
  2. Install the agent and connect it to Dynamics 365 or Salesforce.
  3. Confirm the tenant has not disabled agents.
  4. Open Sales Chat settings once so the connection initializes.
  5. Check security roles. Dynamics 365 and Power Platform Copilot features follow the user's existing permissions. A seller who cannot open an opportunity in the app will not get that opportunity from the agent.

Some Bing-powered features, such as account news in Sales, send the account name outside the Dynamics data boundary to Bing. That is the fact to put next to the question of whether any Dynamics data leaves the environment. Microsoft says it does not use that customer data to train Copilot unless a tenant admin opts in to optional data sharing. That opt-in is a Dynamics setting. It is separate from the Microsoft 365 statement that Graph prompts are not used to train foundation models. Read both with counsel if your customer contracts restrict subprocessors. Account news is the feature to turn off when the account name itself is sensitive.

If your sellers live in Dynamics 365 and your operators live in Business Central, license and connect those surfaces on purpose. A Dynamics 365 implementation that already holds accounts, quotes, and invoices is the CRM side of the Sales agent. Keeping those records aligned with what finance posts is system integration work: the agent will only be as current as the tables it is allowed to read. We scope that connection on your security roles and your default tables, then decide which sellers need the Microsoft 365 Copilot seat that makes the agent visible in Outlook.

Who should get a paid seat

Copilot Chat is already on eligible work accounts. The paid seat is what grounds answers in Graph and Work IQ, adds priority access in the desktop apps, and is the license the Sales agent requires. Buy it for people who spend their day in Word, Excel, Outlook, and Teams. A mailbox that only receives internal notices does not need it.

Assume a 50-person US firm. Eighteen people write proposals, maintain price workbooks, or run customer meetings. The other 32 stay on Copilot Chat. Eighteen times USD 18 is USD 324 a month on the yearly list, or USD 3,888 a year. The same 18 seats in Canada are 18 times CAD 24.43, which is CAD 439.74 a month and CAD 5,276.88 a year before tax. Against a blanket 50-seat purchase at USD 10,800, the smaller list is USD 6,912 a year less on the US yearly add-on. Removing seats is gated by the annual commitment you already accepted.

Use this test before a name goes on the order:

  • Do they rewrite documents, build workbooks, or live in customer mail most days? (Paid seat: Yes · Copilot Chat is enough: Occasional use of a file someone else owns)
  • Do they need answers drawn from mail and files they did not paste into the chat? (Paid seat: Yes · Copilot Chat is enough: They can upload the one file they are working on)
  • Do they sell, and do they need CRM context in Outlook or Teams? (Paid seat: Yes, plus Sales agent setup · Copilot Chat is enough: CRM work stays inside Dynamics 365)
  • Can you keep the seat for the rest of the annual term? (Paid seat: Yes · Copilot Chat is enough: A short project or a contractor who leaves in a month)

Hours-saved math belongs on a sample from your own week, after the seat list is real. The Microsoft Copilot ROI formula is the worksheet for that sample. Fill it with hours your team records, next to the license table above.

Microsoft's privacy pages and the Dynamics FAQ both leave factual accuracy with you. The Dynamics data FAQ poses "Are Copilot's responses always factual?" and the Microsoft 365 privacy page states that generative output cannot be taken as fact. Build the pilot around tasks where a wrong sentence is cheap to catch: internal recap, formula draft, meeting actions. Hold customer prices and contract language until reviewers have a habit of opening the source.

How a 30 to 100 person firm can phase the purchase

A phased purchase matches the annual commitment on the order form. Pick the first group, clean the sites they can open, confirm the desktop policy, then assign seats you can keep for a year.

  1. Export the list of people who draft, model, or sell. That list is the first order. Count the names in your company, then price those names.
  2. Repair sharing on the libraries that list will touch. Customer, payroll, and pricing sites are the ones that hurt if Copilot repeats them.
  3. On two pilot PCs, confirm connected experiences that analyze content are still on. If Copilot is dead in Word on those PCs, fix the policy before you assign anyone else.
  4. Place the annual order for the pilot group at the yearly list if cash flow allows. On 20 US seats that is 20 times USD 18 times 12, or USD 4,320 a year. Monthly billing on those 20 seats is 20 times USD 25.20 times 12, or USD 6,048 over the same commitment.
  5. If sellers need CRM context in Outlook, install the Sales agent only for those licensed users, open Sales Chat settings once, and test one opportunity, one quote, and one account the user is allowed to see.
  6. Read usage reports after 30 days. Ask Microsoft whether more seats can be added during the annual term, and expand only where people used work grounding on real files. Leave quiet mailboxes on Copilot Chat.

The FAQ question "If I already bought the Microsoft Copilot add-on, can I switch those licenses to Copilot Business?" is answered with a timing rule. Finish the current annual commitment, then switch. Overlap is wasted spend: paying USD 30 and USD 18 for the same person in the same month buys nothing extra.

When the seat list, the SharePoint cleanup, and a Dynamics connection all show up in the same quarter, bring the three into one scope. See how a Microsoft Copilot rollout is phased around the annual term, the permission boundary, and the Sales agent prerequisite. The call is useful once you know your headcount, your base Microsoft 365 plan, and whether sellers work in Dynamics 365 or another CRM.

Frequently asked questions

Who is eligible to buy Copilot Business?

Microsoft defines Copilot Business customers as organizations with 300 or fewer users on Microsoft 365 Business Basic, Business Standard, or Business Premium. The licensing article, updated 25 September 2026, also lists Microsoft 365 Apps for business and Microsoft Teams Essentials, which the FAQ does not. Have the reseller confirm your base plan before you order against the longer list.

What is the seat limit for Copilot Business?

Copilot Business supports up to 300 seats per tenant. A firm of 30, 50, or 100 people is inside that cap, so the constraint is who you choose to assign, not the product maximum. The cap is still the boundary in the contract if a later acquisition pushes the tenant past 300 users.

What if my organization has more than 300 users?

Microsoft points organizations above 300 users to the enterprise Microsoft Copilot offer. As of October 2026 that add-on lists at USD 30 per user per month in the United States and CAD 40.70 in Canada, paid yearly, and a separate qualifying Microsoft 365 license is still required. The enterprise pricing card does not show a monthly rate, so confirm billing terms on the quote.

What commitment terms and billing options are available for Copilot Business?

Copilot Business is an annual commitment with monthly or annual billing. Microsoft says there is no month-to-month purchasing agreement, so the higher monthly list rate changes when you pay, not whether you are committed for the year. Subscriptions are described as auto-renewing. Ask which price applies at renewal, because the yearly list is shown as reduced from a higher starting price.

If I qualify for Copilot Business, will my existing Microsoft Copilot licenses automatically convert at renewal?

Existing Microsoft Copilot add-on seats do not convert automatically to Copilot Business at renewal. You finish the current annual commitment before switching those seats. Until that date, budget the enterprise add-on price you already signed, and move to the Copilot Business list only when that term allows the switch.

If I have a Microsoft 365 for business plan without Teams, can I buy the Copilot Business add-on?

The Copilot Business FAQ says the add-on can be bought on Microsoft 365 Business plans that do not include Teams, and that it delivers the same capabilities as the Microsoft Copilot offering. Confirm on the quote that the line is the Copilot Business add-on. The licensing article also names Microsoft 365 Apps for business and Teams Essentials, so match the quote to the plan your tenant already holds.

How does the Sales agent in Microsoft 365 Copilot differ from Copilot in Dynamics 365 Sales?

Copilot in Dynamics 365 Sales is built into the Sales app and does not keep chat history across sessions. The Sales agent works across Teams, Outlook, Word, Excel, and Dynamics 365 Sales, keeps chat history, and can also connect to Salesforce. The agent requires a Microsoft 365 Copilot license, an install, a CRM connection, and an admin opening Sales Chat settings once. Default tables are sales tables such as Lead, Opportunity, Account, Contact, Quote, and Invoice.

Are Copilot's responses always factual?

Microsoft says generative output cannot be taken as fact, and similar prompts can produce similar text for different customers. Treat a price, lead time, or contract sentence as a draft until someone checks the source file or the CRM record. A commercial copyright-defense commitment applies when you use the built-in guardrails and content filters. Microsoft also does not claim ownership of the output.
