Cloud WMS software: how to evaluate it before you buy

For a distributor running one company and one set of books, cloud WMS software is often an extra system on top of an ERP you already pay for.

For a distributor running one company and one set of books, cloud WMS software is often an extra system on top of an ERP you already pay for. Business Central scales warehouse work from simple posting to directed put-away and pick. Odoo Inventory covers locations, barcodes, wave and cluster picks, and removal strategies such as FEFO. A separate warehouse subscription starts to make sense when the floor needs execution the ERP license does not include, or when you bill multiple 3PL clients. As of October 2026, Business Central Essentials lists at USD 80 per user per month in the United States and CAD 108.50 per user per month, plus tax in Canada, both paid yearly.

If you still need the vocabulary of documents, bins, and scanners, use our guide to warehouse documents and scanners. This page is the buy decision: stay on the ERP warehouse module, add a cloud inventory suite, or pay for a dedicated WMS and integrate it. The commercial gap is large. A cloud suite can be a few hundred dollars a month, while Dynamics 365 Supply Chain Management lists at USD 210 per user per month and is a different product from Business Central.

Which warehouse pattern you are buying

Cloud WMS software shows up in four patterns. Name yours before you compare demos.

  1. You post receipts and shipments from the order, with a shelf reference that people can read. Business Central treats Shelf No. on the item card as informational only. It is not used in warehouse activities or availability.
  2. You need a receipt, a put-away, and a pick, still without directing every bin. Business Central calls this basic warehouse activity: warehouse receipt and shipment, or inventory put-away and pick.
  3. You direct stock into bins and zones, with the system suggesting where to put and where to pick. That is Business Central's directed put-away and pick, and it is also the neighborhood of Odoo putaway rules and removal strategies.
  4. You run multi-client inventory, client billing, or heavy EDI. Fishbowl sells Advanced Warehouse as a separate product for multi-warehouse, 3PL, and EDI workflows. Cin7 describes EDI and 3PL connections as API and partner-solution work. The pricing page does not describe a native 3PL billing module.

Patterns 1 to 3 are where a second subscription is easy to buy and hard to justify. Pattern 4 is where a standalone system can earn the fee, after you have priced integration and implementation as their own lines.

What Business Central warehouse setup already covers

Business Central warehouse features sit on inventory, and the location setup decides how far they go. Microsoft's design details describe four levels: no dedicated warehouse activity, basic activity, advanced warehouse documents, and directed put-away and pick. On the directed level, bin codes are mandatory.

On a directed location, bins can be grouped into zones and ranked so put-away and pick suggestions follow that rank. Bins can be limited by quantity, cubage, and weight. Bin types control the role of each bin: RECEIVE, SHIP, PUT AWAY, PICK, PUTPICK, and QC. Put-away templates and warehouse class codes restrict where an item may sit. When Pick According to FEFO is enabled on the location, item-tracked goods can be picked first expired, first out.

That is enough for many single-entity distributors: zoned bins, capacity limits, and expiry enforced on the pick. It is also the setup we configure in a wholesale distribution implementation when the ERP is Business Central and the floor does not bill outside clients for storage.

License list prices as of October 2026

Warehouse level is a location setup. The public price is still a named user. US list prices and Canada list prices are paid yearly. Microsoft says displayed prices are informational and may differ at checkout because of currency, country, and regional variants. Canada prices are plus applicable tax.

  • Essentials (United States: USD 80 per user per month · Canada: CAD 108.50 per user per month, plus tax)
  • Premium (United States: USD 110 per user per month · Canada: CAD 149.20 per user per month, plus tax)
  • Team Members (United States: USD 8 per user per month · Canada: CAD 10.90 per user per month, plus tax)

Team Members is described as limited access to read data, approve workflows, and create or update select information. The pricing page does not list picks, put-aways, or bin moves. Until a license worksheet shows the documents that license can post, cost the people who move stock as Essentials or Premium.

Assume 10 users who all need full posting rights, yearly commitment, October 2026 list. In the US that is 10 times USD 80, or USD 800 per month (USD 9,600 per year) on Essentials. The same 10 on Premium is USD 1,100 per month. In Canada, 10 Essentials users are 10 times CAD 108.50, or CAD 1,085 per month before tax (CAD 13,020 per year before tax). Premium in Canada is 10 times CAD 149.20, or CAD 1,492 per month before tax.

Business Central online stores data in the Microsoft cloud, so you do not install SQL Server locally. Microsoft also documents an on-premises deployment. Warehouse documents ship with that product on either deployment.

What Odoo Inventory includes before a second WMS

Odoo positions Inventory, inside its cloud apps, as the warehouse layer. The features page documents locations, putaway rules, and removal strategies (FIFO, FEFO, nearest zone, and LIFO). Picking modes are single, batch, cluster, and wave. Routes include cross-dock and drop-ship. Barcode scanning covers GS1, EAN13, and EAN14, including offline barcode operations. Traceability covers lots and serials. Cycle counts, multi-warehouse, and carrier labels for FedEx, DHL, UPS, USPS, and EasyPost are on the same list.

Those are the flows a lot of cloud WMS demos open with: a scanner, a wave, an expiry rule, a label. If Inventory is the only app you install, Odoo pricing says the first app is free forever for unlimited users on Odoo Online, including hosting and support. Installing more apps moves the database to a paid plan.

A buyer on the Inventory marketing page describes the switch in plain terms: "Odoo Inventory replaced our legacy spreadsheets which were unable to keep up with our growing business." That is a vendor testimonial about spreadsheets falling behind volume. The same marketing page says the right picking strategies let a team pick and pack 30% more products. Treat that 30% as Odoo's claim, and judge the fit on a timed pick in your aisles.

What the paid Odoo plans show on one page

As of October 2026 the pricing page shows more than one Standard figure and more than one Custom figure, because of a 12-month discount for initial users and a yearly versus monthly presentation. Keep every figure that matches the billing block on your quote.

  • Standard (Figures shown (USD per user per month): 31.10 and 38.90, and also 24.90 and 31.10 in the yearly/monthly block · What you are paying for: Per full user, after you leave the one-app free database)
  • Custom (Figures shown (USD per user per month): 61.00 and 76.20, and also 49.00 and 61.10 in the yearly/monthly block · What you are paying for: All apps, Odoo Online or on-premises, Studio, multi-company, external API. Odoo.sh hosting is extra)
  • Light User (Figures shown (USD per user per month): 8.90 · What you are paying for: Includes Inventory Barcode Operator among limited tasks. Sold through an advisor meeting and a quote)

External API access, meaning outside software calling Odoo, is on Custom only. Carrier and payment calls that Odoo itself initiates are not treated as External API. Subscription plans include hosting, backups, and weekday email support. They do not include implementation services or Odoo.sh hosting for custom code.

Assume 8 full users and 15 barcode operators, and assume the operators qualify for the Light User quote at USD 8.90. Light users cost 15 times 8.90, or USD 133.50 per month. Full users at the USD 31.10 Standard figure cost USD 248.80, for a combined USD 382.30 per month. At the USD 38.90 Standard figure the full users cost USD 311.20 and the combined total is USD 444.70. If those full users must sit on Custom because an outside system calls Odoo, 8 users at USD 61.00 is USD 488, and at USD 76.20 is USD 609.60, before the light-user line. The yearly/monthly block can show lower Standard and Custom figures than the ones used here. Match the order form to the block you were quoted.

Odoo says companies under 50 employees usually buy implementation from Odoo via Success Packs, companies over 50 employees usually use a partner, and companies over 250 employees should contact Odoo. The pricing page does not publish Success Pack dollar amounts. Ask for that scope as its own line: warehouse configuration, opening balances, and training. Odoo Online and on-premises Enterprise are the same software with different hosting.

Why Supply Chain Management is a separate price

Dynamics 365 Supply Chain Management warehouse management is a separate product from Business Central. Microsoft describes it as integrated with transportation, manufacturing, quality, purchase, transfer, sales, and returns. The warehouse list includes wave processing, cluster picking, location directives, work templates, mobile device setup, Zebra ZPL label printing, cross-docking, and batch and serial control.

That list overlaps the language of a dedicated WMS: waves, clusters, location directives, mobile devices, label printing. The price is a full user on a different price list, as of October 2026.

  • Supply Chain Management (United States: USD 210 per user per month, paid yearly · Canada: CAD 284.90 per user per month, paid yearly, plus tax)
  • Supply Chain Management Premium (United States: USD 300 per user per month, paid yearly, includes 1,000 Copilot Credits per user per month · Canada: CAD 407.00 per user per month, paid yearly, plus tax)

Sources: US Supply Chain Management pricing and Canada Supply Chain Management pricing. The same informational-price warning used on Business Central applies. No separate warehouse-device price is published on those pages. Cost mobile users as full users until a quote says otherwise.

Assume the same 10 posting users as the Business Central example. Supply Chain Management at USD 210 is USD 2,100 per month, or USD 25,200 per year. That is USD 1,300 per month more than 10 Business Central Essentials users at USD 800. In Canada, 10 users at CAD 284.90 is CAD 2,849 per month before tax, against CAD 1,085 for 10 Essentials users. Premium Supply Chain Management at USD 300 is USD 3,000 per month for those 10 users.

Pay that gap when you need the warehouse behaviors Business Central's design details do not substitute: wave processing, cluster picking, location directives, and the mobile and label setup Microsoft lists on the Supply Chain Management warehouse overview. If directed bins, FEFO, and document-based picks are the requirement, compare that work to Business Central's location setup before you move the company onto a second ERP. Coordinating purchasing, transfers, and the floor is the work we scope on supply chain implementations.

How cloud inventory vendors charge for warehouse work

Published cloud-based WMS software does not share one meter. As of October 2026, Cin7 gates advanced warehouse by plan and order volume, Unleashed sells a warehouse add-on and a device fee, and Fishbowl prices Advanced Warehouse separately from inventory plans. These USD figures are the vendors' published US prices. Price a Canadian quote in the currency on the order form. Do not convert these USD lists into CAD.

  • Cin7 Standard (Published price (USD): 349 per month, taxes extra · Warehouse scope tied to that price: 5 users, 6,000 sales orders per year, standard warehouse for one location)
  • Cin7 Pro (Published price (USD): 599 per month, taxes extra · Warehouse scope tied to that price: 10 users, 24,000 sales orders per year. Advanced warehouse is an add-on)
  • Cin7 Advanced (Published price (USD): 1,199 per month, taxes extra · Warehouse scope tied to that price: 15 users, 120,000 sales orders per year (purchase orders have a higher allowance). Advanced warehouse included)
  • Unleashed Core (Published price (USD): 399 per month, 3 users · Warehouse scope tied to that price: Warehouse Management and Multi-Bin is an extra USD 149 per month. Extra users USD 69)
  • Unleashed Pro (Published price (USD): 729 per month, 5 users · Warehouse scope tied to that price: Warehouse management and multi-bin included. Extra users USD 89)
  • Unleashed device (Published price (USD): 49 per device · Warehouse scope tied to that price: Shown on the Core and Pro columns)
  • Fishbowl Inventory Essentials (Published price (USD): 229 per month, billed annually · Warehouse scope tied to that price: 2 users. Finished-goods distribution. Excludes manufacturing)
  • Fishbowl Inventory Growth (Published price (USD): 429 per month, billed annually · Warehouse scope tied to that price: 5 users. Finished-goods distribution. Excludes manufacturing)
  • Fishbowl Inventory Scale (Published price (USD): 729 per month, billed annually · Warehouse scope tied to that price: 10 users. Finished-goods distribution. Excludes manufacturing)
  • Fishbowl Advanced Warehouse (Published price (USD): 595 per month starting price · Warehouse scope tied to that price: Quote by users and deployment. Cloud hosting included. Multi-warehouse, 3PL, and EDI)

Cin7's comparison says there are no hidden fees for the features listed on a plan, and that optional add-ons cost extra. Standard warehouse management is a mobile app for pick, pack, restock, putaway, and stock lookup, and it supports one warehouse location. Advanced warehouse adds multiple locations, kitting picks, time tracking, delivery scheduling, and FIFO/FEFO pick enforcement, included on Advanced and not on Standard. Onboarding can be group, one-to-one, or partner-led.

A 6,000 sales-order cap on Cin7 Standard is 500 orders a month if they spread evenly. A distributor who is past that volume, or who has a second building, is looking at Pro plus an advanced-warehouse add-on, or at Advanced at USD 1,199 per month. USD 1,199 per month is USD 399 more than 10 Business Central Essentials users at USD 800, and USD 901 less than 10 Supply Chain Management users at USD 2,100. The Cin7 fee buys an inventory suite with a user cap and an order cap. The general ledger stays in the ERP.

Unleashed is the clearest unbundling. Assume Core, the warehouse add-on, 10 users total, and 6 scanners. Core is USD 399 for 3 users. Seven additional users at USD 69 is USD 483. The warehouse module is USD 149. Six devices at USD 49 is USD 294. The month is USD 1,325 before tax, support, extra file storage, and API call bundles. The same 10 users on Pro, which includes the warehouse module and 5 users, is USD 729 plus 5 extra users at USD 89 (USD 445) plus the same USD 294 of devices, or USD 1,468 per month. Pro's included module does not remove the device line.

Unleashed onboarding is a one-off fee: self-service USD 449, standard USD 799, or full USD 5,549. Optional support is USD 99 or USD 239 per month. Monthly plans can be cancelled with 30 days' notice. Annual plans cancel at the end of the 12-month term with the same notice. Annual billing is advertised as saving up to 10%. Use the monthly figures above to compare offers, then read the annual dollars off the order form.

Fishbowl cloud inventory plans and Advanced Warehouse are easy to add together by mistake. Essentials, Growth, and Scale exclude manufacturing: Essentials at USD 229 includes 2 users, Growth at USD 429 includes 5, and Scale at USD 729 includes 10. Advanced Manufacturing is a separate starting price of USD 675 per month. Advanced Warehouse starts at USD 595 and is priced by users and deployment, with a quote required. If the quote stacks both, a starting pair is USD 229 plus USD 595, or USD 824 per month, before extra inventory users and before implementation. Fishbowl requires an implementation package with data migration (history is not included), training, and go-live support, and describes a 6 to 8 week training certification. The package price is not on the pricing page. Put it on the comparison as a blank line the seller has to fill.

InfoPlus markets a cloud warehouse system and, on the pricing page seen in October 2026, offers the first three months free to switchers. That page does not publish a subscription price. A retail operations director quoted there says "InfoPlus is at a great price point and offers features that meet my company's expectations regarding inventory management and fulfillment. New users are easily trained." Ask for the monthly fee, the user or warehouse meter, and the price that applies when the three free months end.

One Fishbowl customer statement on its pricing page says "We've seen an 18% decrease in overall inventory costs since starting to use Fishbowl." Test that claim against your own carrying cost before you put 18% into a budget.

What you can take with you, and what to ask about cutover

A cloud warehouse subscription is a poor place to discover exit terms after go-live. Two vendors publish mechanics you can read before you sign. Ask each bidder to write the cutover window, the parallel-run length, and which open picks must finish on the old system.

For a paid Business Central online customer, Microsoft documents a database export as a BACPAC to Azure standard storage, at most 10 times per environment per month. Microsoft says the export can take several minutes to several hours depending on database size. Microsoft does not support creating a working on-premises environment from that BACPAC. Ten exports a month covers a planned exit and a couple of rehearsals. A daily download habit will hit that cap. Time a test export on a copy of your database so a multi-hour run shows up before cutover weekend. An on-premises deployment is a separate project. The BACPAC export is not the way Microsoft supports standing that environment up.

Odoo says customers on Odoo Online can download a database backup at any time and that they own their data. Hosting and backups are part of the subscription. Outside software that must pull inventory on a schedule needs the external API, which is part of the Custom plan. Standard leaves that access out. A barcode project that only uses Odoo's own scanner app is a different plan decision from a project that feeds a 3PL portal or a storefront you do not control.

On Fishbowl, the required implementation migrates data and does not include history. If lot genealogy, prior adjustments, or closed purchase orders matter for a recall, ask which tables move and which stay in the old system as a read-only archive. Unleashed monthly plans end on 30 days' notice. Annual plans end at the close of the 12-month term with that same notice. That timing is not proof of what the download contains, including whether bins, serials, and open picks are in the file. Ask for that file on a sample of your own items during the trial, before onboarding fees of USD 449 to USD 5,549 are spent.

Standalone cloud WMS projects add a second cutover: the ERP and the WMS have to agree on item, bin, and order identity on the same weekend. That interface is a piece of scope with its own test, even when both products are cloud products. Write who fixes a failed shipment message at 6 a.m., and whether that work is inside the implementation line or an open-ended services rate.

WMS vs ERP warehouse module: a matrix you can score

Use this when a demo makes every product sound like the same scanner. Cells below are limited to what the vendor pages list. Where a page is silent, run a scripted test on your data.

  • Bins, zones, directed put-away (Business Central: Directed locations: zones, ranks, capacity, bin types, templates, class codes. Lower levels skip that direction · Odoo Inventory: Putaway rules, locations, multi-warehouse · Cloud suite examples: Cin7 standard: one location. Cin7 advanced: multiple locations. Unleashed multi-bin is the USD 149 add-on or included on Pro. Fishbowl Advanced Warehouse: multi-warehouse)
  • FEFO or FIFO enforced on the pick (Business Central: Pick According to FEFO when the location setting is on. Shelf No. does not drive the pick · Odoo Inventory: Removal strategies include FIFO, FEFO, nearest zone, and LIFO · Cloud suite examples: Cin7 enforces FIFO/FEFO on advanced warehouse, which Standard does not include)
  • Wave, cluster, or batch (Business Central: Confirm on your location. Supply Chain Management, the other Microsoft product, lists wave processing and cluster picking · Odoo Inventory: Single, batch, cluster, and wave picking are documented · Cloud suite examples: Confirm the picking mode on the quote. Do not assume the phrase mobile WMS includes waves)
  • Scanner when the network drops (Business Central: Have the seller complete a pick with the device off the network · Odoo Inventory: Offline barcode operations are documented · Cloud suite examples: Same test. A marketing line about mobile apps is not an offline test)
  • Who pays for each floor person or device (Business Central: Named user: Essentials, Premium, or the limited Team Members license. No device price on the price list · Odoo Inventory: Full-user plan rates, or a Light User barcode operator by quote. One app can be free for unlimited users · Cloud suite examples: Cin7 caps users at 5, 10, or 15 by plan. Unleashed adds USD 49 per device on Core and Pro)
  • EDI and multi-client inventory (Business Central: Have client billing and EDI shown on your process, as a native document or as an integration · Odoo Inventory: Carrier labels are documented. An outside system calling Odoo needs Custom for the external API · Cloud suite examples: Fishbowl Advanced Warehouse is described for 3PL and EDI. Cin7 points EDI and 3PL to an API and a partner solution)

Read each row across the three columns. A company that needs FEFO and two buildings can land on Business Central directed locations, on Odoo removal strategies, or on Cin7 Advanced at USD 1,199 per month. A company that bills 3PL clients needs the Fishbowl Advanced Warehouse scope, or a written design for how client inventory and charges will post. Those are different purchases.

Paying Cin7 Advanced, Unleashed Pro plus a device fleet, or Fishbowl Advanced Warehouse is hard to defend when Business Central or Odoo already posts the pick you care about. Staying on basic inventory put-away and tracking FEFO in a spreadsheet has the same cost in a different place: mis-picks. Shelf No. on the item card stays informational. Expiry order on the pick depends on Pick According to FEFO and the bin setup.

For a fuller split of the two systems, see our note on ERP vs WMS and which one you need. The short version: fund the ERP warehouse module through directed picks first. Fund a cloud WMS when a row above stays blank after a scripted test.

What to require on the order form

Take this list into the commercial call. Each line has a published reason.

  1. Name the meter: per full user, per light user, per device, per warehouse, per sales order, or a platform fee. Standard at USD 349 does not include a second location or FIFO/FEFO enforcement. That scope is an add-on on Pro at USD 599 (add-on price not published) or included on Advanced at USD 1,199 per month.
  2. Write the included users and the annual sales-order count. Cin7 Pro at USD 599 includes 10 users and 24,000 sales orders a year, and advanced warehouse remains an add-on on that plan.
  3. Add devices and API. Unleashed lists USD 49 per device and extra monthly charges for file storage and API call bundles. A building with 20 scanners is USD 980 per month in devices before the subscription.
  4. Put implementation on its own line. Odoo subscriptions exclude implementation. Fishbowl requires a package and does not publish the price, and the migration excludes history. Unleashed publishes USD 449, USD 799, and USD 5,549. Leave Fishbowl's package as a blank the seller fills, next to the USD 595 Advanced Warehouse starting price.
  5. Write the exit. For Business Central online, note the 10 BACPAC exports per environment per month and the lack of support for rebuilding on-premises from that file. For Odoo Online, note the backup download and the data-ownership statement, and whether you need Custom for an external API. For any other cloud WMS, require a sample export of items, bins, lots, and open orders before signature.
  6. Assign cutover work. Require the seller to state the posting freeze, who keys emergency shipments, and how long both systems run together. Require a rehearsal export timed on your data volumes.
  7. Match currency to the country. US and Canada Business Central and Supply Chain Management lists differ, and Canada is plus tax. Other vendors in this comparison published USD. A Canadian operation should see CAD or USD explicitly on the quote, with tax called out, before anyone annualizes a monthly fee.

If a seller cannot fill those seven lines, stay in evaluation until they can. We scope that conversation around the warehouse you run and the ERP you already have, then phase the work so the first go-live posts receipts and picks you can count.

Frequently asked questions

Can a Business Central Team Members license run picks and put-aways?

Microsoft describes Team Members as limited access to read data, approve workflows, and create or update select information. The pricing page does not name warehouse picks, put-aways, or bin moves as rights on that license. Until a worksheet lists the documents those users can post, cost the people who move stock as Essentials or Premium. As of October 2026 the limited license is USD 8 per user per month in the United States and CAD 10.90 per user per month in Canada, paid yearly, plus applicable tax.

Does the first Odoo app stay free after we add accounting or sales?

Odoo says the first app, and Inventory can be that app, is free forever for unlimited users on Odoo Online, including hosting and support. Installing more apps moves the database onto a paid plan. Budget the Standard or Custom per-user figures shown for your billing choice, and add Light User quotes if barcode operators qualify. Implementation services and Odoo.sh hosting for custom code are outside the subscription.

How should we test scanning when warehouse Wi-Fi drops?

Odoo documents offline barcode operations, so ask for that path on your items, lots, and a real pick wave. For Business Central and for cloud inventory suites, require a pick that starts online, loses the network mid-count, and posts correctly when the device reconnects. Watch for duplicate counts and for bins that update in the scanner and not in the ERP. A mobile-app label on a pricing page is not that test.

What should the contract say about warehouse downtime at cutover?

Require each bidder to write the posting freeze in hours, which open picks must finish on the old system, and how long both systems run in parallel. Ask who keys an emergency shipment during the freeze and whether that labor is inside the implementation fee. Time a data export on your own volumes before go-live weekend. Business Central's published export can take minutes or several hours depending on database size, which is a reason to rehearse, not a substitute for the freeze you agree in writing.

Can we rebuild Business Central on our own servers from a cloud export?

A paid Business Central online customer can export an environment database as a BACPAC to Azure standard storage at most 10 times per environment per month. Microsoft does not support creating a working on-premises environment from that BACPAC. Use the export as an exit and audit file, and design any on-premises deployment as its own project. Ten exports a month will not behave like an unlimited daily download.

Does Fishbowl cloud inventory include manufacturing and shipment history?

Fishbowl says its cloud Inventory plans are for finished-goods distribution and do not include manufacturing. Advanced Manufacturing is a separate starting price. The required implementation package migrates data and does not include history, so prior lots, adjustments, and closed orders need an archive plan. Advanced Warehouse, which Fishbowl positions for multi-warehouse, 3PL, and EDI work, is priced separately from those inventory plans and still needs a quote.

Which extra fees show up after a low cloud WMS headline price?

Watch for a second location or FEFO enforcement that forces a higher platform plan, a per-device fee, extra users above a small included count, and monthly charges for API calls or file storage. Onboarding may be optional at a published fee or mandatory and unpublished. Annual commitments can limit cancellation to the end of the term plus a notice period. List each of those meters on the order form before you compare the headline to an ERP user license you already pay.
