Dynamics accounting software: which Microsoft product fits
For a US company outgrowing QuickBooks, the Dynamics accounting product is Dynamics 365 Business Central Essentials, listed at USD 80 per user per month, paid yearly, as of October 2026.
For a US company outgrowing QuickBooks, the Dynamics accounting product is Dynamics 365 Business Central Essentials, listed at USD 80 per user per month, paid yearly, as of October 2026. Dynamics 365 Finance is a separate enterprise ledger at USD 210 per user per month on the same basis. Business Central Premium is USD 110 and adds manufacturing and service management on top of the Essentials finance scope. A Team Members seat at USD 8 is limited access, and those users cannot edit the chart of accounts. Microsoft labels these figures informational, and the checkout price can differ by currency, country, and region.
Microsoft's own site does not put that choice on one page. The Business Central product page sells one app for small and midsize companies, trusted by 55,000 companies, with finance, sales, service, projects, inventory, and manufacturing together. The Finance product page sells core financial management and quotes compliance coverage in 57 countries and regions and 67 languages. A controller comparing both still has to read the pricing cards and the license guide. This page lines those facts up for a company of roughly 20 to 100 people.
Which Dynamics product runs the books
Use the company shape, then the license, then the price. Business Central is the accounting system when one app should hold the general ledger and day-to-day operations. Finance is the accounting system when the finance team needs the enterprise ledger and operations will be a second product.
- Single company, books plus sales and inventory in one app (Product that does the accounting: Business Central Essentials · US list, per user per month, paid yearly: USD 80 · What else you still buy: Partner project, separate from the license)
- Same company, plus production orders or service agreements (Product that does the accounting: Business Central Premium · US list, per user per month, paid yearly: USD 110 · What else you still buy: Same project gap; Premium is the operations add-on)
- Approvers and light users who must not maintain the ledger (Product that does the accounting: Business Central Team Members, beside a full user · US list, per user per month, paid yearly: USD 8 · What else you still buy: A full Essentials or Premium user still owns the books)
- Multi-country close, tax, and performance management as the main job (Product that does the accounting: Dynamics 365 Finance · US list, per user per month, paid yearly: USD 210 · What else you still buy: Supply Chain Management if warehouse work must live in Dynamics)
- Finance users who also need the higher capacity plan (Product that does the accounting: Dynamics 365 Finance Premium (includes 1,000 Copilot Credits per license) · US list, per user per month, paid yearly: USD 300 · What else you still buy: Warehouse and inventory operations are Dynamics 365 Supply Chain Management, a separate license)

Canada list prices follow the same split. Business Central Essentials is CAD 108.50, Premium CAD 149.20, and Team Members CAD 10.90, each per user per month, paid yearly, plus applicable tax. Finance is CAD 284.90 and Finance Premium is CAD 407.00 on the same basis, plus tax.
On Business Central, manufacturing (bills of materials and production orders) and service management (returns, repairs, service agreements) are why Premium exists. The product page places that operational scope in the same app, available in 50+ languages and 157 countries. The general ledger list itself is the financial management scope documented for the product, which Essentials already includes. On the enterprise side, inventory and warehouse operations are Dynamics 365 Supply Chain Management at USD 210 per user per month, or USD 300 for Supply Chain Management Premium. Finance alone is the financial product.
If you are sorting accounting software from a full operational system, our note on ERP vs accounting software draws that line before you pick a Microsoft SKU. The license table above is the Microsoft-specific version of the same decision.
What Business Central accounting includes
Financial management in Business Central covers the chart of accounts, general ledger, dimensions, multiple currencies, deferrals, allocations, recurring revenue, employee expenses, receivables, payables, bank reconciliation, intercompany, consolidation, cost accounting, cash flow, and fixed assets. For a distributor or light manufacturer that wants the books, payables, and stock-related postings in one tenant, that list is the accounting scope of Essentials.
General ledger and dimensions
The general ledger guide is where posting groups, the chart of accounts, and dimensions are documented. In small organizations, most users can edit G/L accounts, account categories, and the chart of accounts. Users with a Team Member license are the exception. Dimensions are the practical reason controllers stop cloning the chart for every department, location, or job. You keep a stable account list and tag the entry. Have your implementer show dimensions on a real invoice and a real vendor bill from your file, including how a required dimension blocks a posting when it is blank.
Intercompany and consolidation sit in the same financial management scope. A second legal entity is a design choice (posting setup, due-to and due-from accounts, and who consolidates), and it is still Business Central. It becomes a Finance conversation when the finance team's main requirement is the enterprise close and country coverage Microsoft advertises on the Finance page, which we cover below.
Accounts payable and accounts receivable
Accounts payable covers vendor payments and employee reimbursements from the payment journal, check and electronic payment files, and applying payments to invoices. When payments are posted from the payment reconciliation journal, bank reconciliation can follow from that posting. Receivables are in the same financial management list: invoices, cash application, and the open customer ledger that a collections person works from.
The operational outcome is fewer re-keyed vendor bills and a payment run that already knows which invoices it is closing. Employee expenses post through the same payable path, so a reimbursement is a payment journal line with a vendor-style employee record. Ask to see a payment file produced for your bank, and a bill that was applied short, before you treat payables as done.
Bank reconciliation
Bank reconciliation matches imported or suggested bank statement lines to bank ledger entries, automatically, manually, or with Copilot in preview. The US version can use a Bank Rec. Worksheet aimed at checks and deposits when Bank Recon. with Auto. Match is turned off, and that worksheet does not import bank statement files.
Pick the method on purpose. Companies that already download a bank file want the import path. Companies that still tick off a paper check register may start on the worksheet and move later. Leaving Auto. Match off, then wondering why a file will not load, comes from that setup switch. Copilot suggestions are marked preview on that page, so treat them as an aid a reviewer still accepts or rejects.
Fixed assets
Fixed assets cover acquisition, depreciation, revaluation, impairment, and disposal, plus maintenance, insurance, and multiple depreciation books. A tax book and an internal book is the example Microsoft gives. Posting to the general ledger goes through the Fixed Asset G/L Journal. The controller outcome is a depreciation run that hits the ledger you close, with a second book for the tax return, maintained in the same asset card.
US sales tax and 1099s
The United States local functionality page lists sales tax, use tax and purchase tax, unrealized sales tax, IRS 1099, IRS 1096, deposits, bank reconciliation, and electronic payments. Microsoft documents a newer 1099 form path and an older path planned for obsoletion from version 27.0. The same page says the US version cannot report VAT to European authorities. A US company with a European filing obligation needs a different localization story than the US company setup. Confirm that on your own tax calendar before you assume one tenant files everywhere.
Essentials, Premium, and who may touch the ledger
Essentials is the finance, sales, and operations plan. Premium is Essentials plus service management and manufacturing. Team Members is limited access: read data, approve workflows, and create or update select information. If the company only needs the books, sales orders, and inventory, Essentials is the full-user license. Premium costs USD 30 more per user per month, paid yearly (USD 110 minus USD 80). Spend that difference when production orders or service agreements are in scope.
Licenses are bought through the Cloud Solution Provider program. This is cloud subscription licensing. Paid user types documented by Microsoft Learn include Essentials, Premium, Team Member, and External Accountant. Read-only access through Microsoft 365 licenses is also described, once a full Essentials or Premium plan is already in the tenant. A Team Member license does not carry the rights for full accounting setup. Pair that with the general ledger rule: Team Member users are the people blocked from editing G/L accounts, account categories, and the chart of accounts.
Two other access paths are easy to misread.
A Device license is for a shared device such as point of sale, shop floor, or warehouse. Users are concurrent up to the number of device licenses purchased. A device user cannot be the first user to sign in. An Administrator, Full User, or External Accountant must sign in first. Ask for the Device price and the External Accountant price as their own lines on the quote. The October 2026 public cards list Essentials, Premium, and Team Members.
Microsoft 365 users can see Business Central data inside Teams with only a Microsoft 365 license. That access is for collaboration. It does not run the books. Online Services terms generally block reassigning a license within 90 days of the last assignment, except for a user's absence or a device that is out of service. Plan seats for the people who post, and keep a spare process for parental leave, so you are inside that exception when you need it.
What dynamics accounting costs per user in 2026
These are list prices, paid yearly, as of October 2026. Microsoft says they are informational.

A 5-user books team, list price times seats
Assume 5 people who post journals, customer invoices, and vendor payments, all on Business Central Essentials, and nobody on Team Members. At the October 2026 US list, 5 times USD 80 is USD 400 per month, paid yearly, which is USD 4,800 per year. The same 5 people on Finance, at USD 210, is USD 1,050 per month, or USD 12,600 per year, before any Supply Chain seat. Adding Supply Chain Management for those same 5 people, at another USD 210, would double that Finance-side license line to USD 2,100 per month. Checkout can differ.
Set that next to QuickBooks Online, using Intuit's list price and ignoring the 50 percent off for 3 months promotion shown beside it. QuickBooks Online Plus is USD 140 per month for 5 users, USD 1,680 per year at list, with no annual contract. Five Essentials users at list are about 2.9 times that Plus list (USD 4,800 divided by USD 1,680). The gap is the license, and it is still the smaller number once a partner implements the system.
A 20-person company with a light edge
Assume 8 full users and 12 people who only approve or look up orders. Eight Essentials seats are USD 640 per month. Twelve Team Members seats are USD 96 per month. Together that is USD 736 per month, or USD 8,832 per year, at US list, paid yearly. If those 8 full users needed Premium because production orders are in scope, the full-user line becomes 8 times USD 110, which is USD 880, plus USD 96, which is USD 976 per month, or USD 11,712 per year.
Move the same 8 full users to Finance and the full-user line alone is 8 times USD 210, which is USD 1,680 per month, before Supply Chain and before any Team Members equivalent on that suite. Price the suite you will post in. Team Members is a Business Central license, so keep its USD 8 price out of a Finance or Supply Chain total and price light users only with a license the Finance quote lists.
QuickBooks list prices you are leaving
Intuit's US page, seen October 2026, shows list prices before the displayed 50 percent off for 3 months: Simple Start USD 38 per month (1 user), Essentials USD 85 (3 users), Plus USD 140 (5 users), Advanced USD 340 (25 users). Promotional prices beside them were USD 19, USD 42.50, USD 70, and USD 170. Paid plans have no annual contract and can be cancelled anytime. Accountant seats included are 2 on Simple Start, Essentials, and Plus, and 3 on Advanced. Compare Dynamics to the list price you would pay after the three-month promo, because the promo is temporary and the Dynamics card is a yearly commitment.
When QuickBooks Online runs out of room
Intuit publishes the wall on its own pricing page. User caps are 1, 3, 5, and 25 across Simple Start, Essentials, Plus, and Advanced. The FAQ says QuickBooks Online Advanced "supports up to 25 users with no additional fees" and is aimed at companies moving from QuickBooks Desktop Pro or Premier. The same FAQ points multi-entity organizations that need heavy project costing to Intuit Enterprise Suite, in Intuit's words "built for multi-entity organizations needing heavy project costing". QuickBooks Desktop Enterprise scales to 40 users. Intuit's own question on that page is "What's the difference between QuickBooks Online Advanced, Intuit Enterprise Suite, and QuickBooks Desktop Enterprise?". That question is the moment a Dynamics conversation is rational: you are past a 25-user online file, or you need more than one entity with heavier project cost, and you want the ledger and operations designed together.
Ask Intuit to price Enterprise Suite, since that FAQ names the product and leaves the dollars off the page. If you are leaving Sage, ask your Sage reseller for the user cap on the edition you run, and compare that cap to the same seat count on Essentials. The decision test that is already public is the Intuit cap plus the way your close works: a chart that grew a new account for every class, a bank rec that lives in a spreadsheet, or a second company file you consolidate by export.
Twenty-five Essentials users at USD 80 is USD 2,000 per month, USD 24,000 per year, against Advanced at USD 340 per month list, USD 4,080 per year, for up to 25 users. The license multiple is large. It is justified when you need dimensions, fixed-asset books, intercompany, and inventory in the same posting engine, and it is premature when Advanced's 25 users and your current entities still match how you close. Our page on what ERP in accounting means is the operational version of that test.
When Finance is the accounting product
Choose Finance when the finance team's requirements match what Microsoft sells on that product: financial planning and analysis, accounting and close, tax, quote to cash, cash management, and business performance management, with the stated compliance coverage of 57 countries and regions and 67 languages. The Finance pricing page lists USD 210 for Finance and USD 300 for Finance Premium, per user per month, paid yearly. Finance Premium includes 1,000 Copilot Credits per license and higher capacity and storage than Finance. Some Business Central agent scenarios require credits sold separately. Ask for the credit unit price before you treat extra Copilot use as included.
Finance does not become a one-app ERP because you bought the finance SKU. Warehouse and inventory operations on that suite are Supply Chain Management, priced like Finance (USD 210, or USD 300 for Premium), as of October 2026. A company that wants the general ledger, order entry, and the warehouse in one license family at the Business Central price is describing Essentials or Premium. A company that wants the enterprise finance app, then a separate operations app, is describing Finance plus Supply Chain.
For the Finance module list and the current USD and CAD prices, see Dynamics 365 Finance modules and pricing. Read it after you know you are past a single-entity Business Central ledger, so the higher per-user price has a job to do.
The Business Central product page also speaks to companies already on Dynamics NAV, under the heading "What's next after NAV?". The pages behind that banner position Business Central as the successor app. If a vendor quotes a cutoff date for GP, NAV, or SL, ask them for the lifecycle page they are reading and match it to your version.
Microsoft's product page also summarizes a Microsoft-commissioned Forrester Consulting Total Economic Impact study: more than 200 percent ROI over 3 years, a 6-month potential payback, and more than USD 460,000 net present value for a composite organization. Use them as Microsoft's commissioned composite, beside the license cards, and build your own case from your license count and a scoped project.
What the user license does not include
The Business Central pricing page tells buyers to "Contact a partner to purchase or to get an assessment, consulting services, or additional pricing." That sentence is the budget gap. The USD 80 seat is a subscription. Chart design, opening balances, open AR and AP, inventory quantities, fixed-asset books, bank rules, sales tax setup, 1099 setup, training, and the first month of close support are a project. No public package on Microsoft's pricing card states that project in dollars. Treat any single number in a proposal as something to unpack, line by line.
Ask each bidder to price these as their own lines:
- License resale at the list you can see, with the country and billing term written on the quote.
- Design of the chart of accounts, dimensions, posting groups, and US tax and 1099 setup.
- Data migration: customers, vendors, open items, items, and fixed assets, each with a volume.
- Training for the people who will post, and a separate plan for Team Members who only approve.
- Support after go-live, with a named period and what a fix costs after that period.
A quote that folds all five into one figure makes the license and the labor impossible to compare. A quote that is only the license leaves you holding the migration. Our Business Central implementation work is scoped as that project: the books first, then the operational depth your team uses. We are an independent consultancy. Microsoft sells the license through a Cloud Solution Provider, and the pricing page is where Microsoft sends buyers for the purchase.
How to choose and start
Score the choice in this order.
- Count people who must create or edit ledger entries. They need Essentials, Premium, or Finance. Approvers can be Team Members on Business Central only after a full user exists.
- Decide whether inventory, production, or service agreements must post in the same app in the first phase. If they must, Business Central Premium or Essentials is the candidate. If warehouse execution is a later, separate program, write that as a later license so it does not inflate phase one.
- Decide whether you are a single-entity or light multi-company close inside Business Central, or a finance organization that needs Finance's country coverage and planning tools. If you cannot say which, you are early for a Finance purchase at USD 210 per user.
- Put the US localization on the requirements list: sales tax, use tax, 1099 path, and bank rec method (imported statement or the check worksheet).
- Ask for the project lines in the previous section, and refuse a blended total you cannot audit.
A Microsoft-commissioned composite ROI does not replace step 5. Neither does a 30-day trial, which is the right place to click through a payment journal and a bank import, and the wrong place to judge a data migration.
For a company in the 20 to 100 person range, start the first phase with the general ledger, payables, receivables, bank, and fixed assets, and add inventory posting once the opening trial balance ties. That sequence keeps Premium and Supply Chain off the first invoice when the shop is still on a separate process. If you want that phasing designed against your chart and your user list, our ERP implementation approach is the broader engagement, and the Business Central page is the product-specific one.
Bring the current user count, the number of legal entities, and one month of bank rec pain to the call. We will tell you which product we would implement, which seats we would not buy, and what we would need from you before a fixed first phase is realistic.
How Flectic can help
Flectic implements Business Central and the rest of Dynamics 365 for companies on Microsoft 365 that have outgrown QuickBooks, Sage or Dynamics NAV, with reconciled opening balances at go-live. At Microsoft's 2026 list prices, which are separate from Flectic fees, Business Central Essentials is $80 per user a month and Premium is $110. For the general ledger setup and the migration, see Microsoft Dynamics 365 implementation. Book a free discovery call with Flectic to choose the product and tier before you sign.

Frequently asked questions
Do we buy Business Central from Microsoft or from a partner, and is there a free trial?
Microsoft's pricing page says to contact a partner to purchase Business Central or to get an assessment, consulting, or additional pricing. Licenses are sold through the Cloud Solution Provider program. A 30-day trial is free. The trial is useful for clicking through a journal or a bank import, and the partner quote is where setup and migration get priced.
Can a Team Member license run accounts payable or edit the chart of accounts?
Team Members is limited access: read data, approve workflows, and create or update select information. Microsoft's general ledger guidance says that in small organizations most users can edit G/L accounts, account categories, and the chart of accounts, except users with a Team Member license. People who maintain the books need Essentials, Premium, or, on the other product, Finance.
Does a Microsoft 365 license let someone run Business Central accounting?
Microsoft 365 users can see Business Central data inside Teams with only a Microsoft 365 license, once a full Essentials or Premium plan is already in the tenant. That access is for collaboration. People who post invoices, pay vendors, or reconcile the bank still need a full Business Central user license.
What is a Device license, and what does it cost?
A Device license is for a shared device such as point of sale, shop floor, or warehouse, with concurrent users up to the number of device licenses you buy. A device user cannot be the first person to sign in. An Administrator, Full User, or External Accountant must sign in first. Ask for the Device price as its own line on the quote, next to Essentials or Premium.
Can the US version of Business Central file European VAT?
The United States version includes sales tax, use tax, purchase tax, unrealized sales tax, IRS 1099, IRS 1096, deposits, bank reconciliation, and electronic payments. Microsoft says that US version cannot report VAT to European authorities. A company with a European VAT filing needs that requirement designed on its own, using the localization that matches the filing.
What does Finance Premium add compared with Finance?
Both are enterprise finance licenses, paid yearly. In the US, Finance is USD 210 per user per month and Finance Premium is USD 300. Finance Premium includes 1,000 Copilot Credits per license and higher capacity and storage than Finance. It does not add Business Central's manufacturing and service modules, and warehouse operations remain a Supply Chain Management license.
How should we read the ROI figures on the Business Central product page?
Microsoft summarizes a commissioned Forrester Total Economic Impact study: more than 200 percent ROI over 3 years, a 6-month potential payback, and more than USD 460,000 net present value for a composite organization. Those figures are not a license price and not a published implementation quote. Build your budget from your own seat count plus a line-item project quote.
