Business Central as accounting software: cost and fit

Dynamics 365 Business Central is enterprise resource planning software, and Microsoft does not sell a general-ledger-only license.

FlecticUpdated 19 min read

Dynamics 365 Business Central is enterprise resource planning software, and Microsoft does not sell a general-ledger-only license. Finance is included in Essentials, the same plan that covers sales and operations, at USD 80 per user per month in the United States as of October 2026, billed yearly, or CAD 108.50 per user per month in Canada before tax. Five Essentials users are USD 4,800 in license fees for a year, before implementation. QuickBooks Online Plus lists at USD 140 a month for up to five users and has no annual contract, so the subscription gap shows up before any partner work is priced.

Microsoft describes Business Central as enterprise resource planning (ERP) for small and midsize businesses, covering finance, sales, projects, supply chain, and manufacturing, and says it is trusted by 55,000 companies. A finance-only rollout still pays the Essentials user price and still sets up posting groups, dimensions, and companies. The pages below separate that subscription from QuickBooks and Xero, then show what US and Canadian localizations add once the ledger is in place. If the license gap is the decision, a phased Business Central rollout is how we scope finance as the first usable phase for a company of about 20 to 100 people.

What the finance layer includes

Standard finance setup in Business Central covers the chart of accounts, posting groups, dimensions, payment terms, reminders, currencies, an additional reporting currency, cash-flow analysis, and audit trails. Microsoft's setup guidance treats intercompany posting and consolidation as optional, needed when more than one company is involved. A single-entity distributor can leave both off in phase one.

Day-to-day accounting tools on the financial management page include dimensions, deferrals, allocations, item charges, recurring revenue, and employee expense reimbursement. Reporting on that same page includes financial reports, budgets versus actuals, cash flow, the Power BI Finance app, and Excel. Those are the pieces a controller usually means by better accounting software. They ship inside an ERP plan, so sales and operations are on the same license even if phase one never turns them on.

A firm that is not buying service orders or production stays on Essentials. Pay the Premium difference only when phase one includes service management or manufacturing. Premium is the same finance product plus those two areas. The difference, as of October 2026, is USD 30 per user per month in the United States (110 minus 80) and CAD 40.70 per user per month in Canada (149.20 minus 108.50), paid yearly. A general-ledger phase stays on Essentials.

Essentials, Premium, Team Members, and the accountant

There is no accounting-only SKU. US list prices and Canada list prices as of October 2026 are below. Both pages bill per user per month, paid yearly. Canada adds applicable tax. Microsoft's pricing footer treats displayed prices as informational: the checkout price can differ by currency, country, and region. Quote the country page that matches the tenant, and treat a partner invoice as the binding number.

  • Essentials (finance, sales, and operations) (United States: USD 80 per user per month · Canada: CAD 108.50 per user per month, plus tax)
  • Premium (Essentials plus service management and manufacturing) (United States: USD 110 per user per month · Canada: CAD 149.20 per user per month, plus tax)
  • Team Members (limited read, approve, and selected updates) (United States: USD 8 per user per month · Canada: CAD 10.90 per user per month, plus tax)
  • External Accountant (United States: USD 0, up to three per tenant · Canada: Same license rule, up to three per tenant)

Sources for the table: US pricing, Canada pricing, and External Accountant terms, all as of October 2026.

Paid user licenses in the licensing documentation are Essentials, Premium, Team Member, and External Accountant, plus read-only access through eligible Microsoft 365 licenses. Licenses can only be purchased through the Cloud Solution Provider program. Our Business Central licensing guide covers assignment rules, including the limit on short-term reassignment within 90 days of the last assignment, except to cover a user's absence or a device that is out of service.

Approvers do not need Essentials. Team Members, at USD 8 or CAD 10.90, are the license for limited read, approve, and selected updates. A Microsoft 365 license is narrower still. It can only read Business Central data in the Business Central app for Microsoft Teams. It does not allow the web client, the mobile apps, or APIs, and it cannot create, edit, or delete records. The tenant still needs at least one paid Business Central user.

Both Essentials and Premium let you procure up to three External Accountant licenses per tenant. They are free and still have to be procured. The accountant's email must be a work address based on Microsoft Entra ID. That is the path for an outside bookkeeper who posts and reviews, as distinct from a staff approver on Team Members.

What five and ten users cost in year one

Assume the figures below use October 2026 list prices, paid yearly, with every full user on Essentials because the company is not buying manufacturing. Implementation sits outside the license. Ask each bidder to price data migration, the chart of accounts, opening balances, tax setup, and training as its own line.

A year of Essentials is USD 960 per user in the United States (80 times 12) and CAD 1,302 per user in Canada (108.50 times 12), before Canadian tax.

Assume five people post and reconcile, and nobody else needs a license.

  1. United States: 5 times USD 960 = USD 4,800 for the year.
  2. Canada: 5 times CAD 1,302 = CAD 6,510 for the year, plus tax.
  3. The same five people on Premium would be USD 6,600 in the United States (110 times 12 times 5) or CAD 8,952 in Canada (149.20 times 12 times 5), plus tax. That premium only buys service management and manufacturing on top of Essentials.

Assume a 20-person company where eight people create and edit finance, sales, or operations documents, and twelve people only approve or make limited updates.

  1. United States: 8 times USD 960 = USD 7,680, plus 12 Team Members at USD 96 a year each (8 times 12) = USD 1,152. Year-one licenses are USD 8,832.
  2. Canada: 8 times CAD 1,302 = CAD 10,416, plus 12 Team Members at CAD 130.80 a year each (10.90 times 12) = CAD 1,569.60. Year-one licenses are CAD 11,985.60, plus tax.
  3. Putting all 20 on Essentials would be USD 19,200 or CAD 26,040 before tax. Team Members exist so approvers are not priced as full users.

Ten full Essentials users, with no Team Members, are USD 9,600 or CAD 13,020 before tax. Use that figure only when all ten people create and edit records. Microsoft 365 read access in Teams does not replace either count, because those users cannot post.

How that compares with QuickBooks and Xero

QuickBooks Online in the United States is a company subscription with a named user cap. Business Central charges each user. As of October 2026 the US pricing page lists Simple Start at USD 38 a month (1 user), Essentials at USD 85 (3 users), Plus at USD 140 (5 users), and Advanced at USD 340 (25 users). Each plan includes extra accountant access. Paid plans have no annual contract and can be cancelled at any time. The same page shows a 50 percent introductory discount for three months (USD 19, USD 42.50, USD 70, and USD 170).

Xero US subscriptions auto-renew monthly. Regular prices as of October 2026 are Early at USD 27 a month (after USD 5.40 for three months; 20 invoices and 5 bills), Growing at USD 59 (after USD 11.80 for three months), and Established at USD 97 (after USD 19.40 for three months). Multiple currencies are listed on Established. Early and Growing omit them. Xero's page prices the subscription, while Business Central prices each user.

  • Business Central Essentials, 5 users, US (What you are buying: Per-user ERP license, finance plus sales and operations · Year at the regular monthly rate: USD 4,800)
  • QuickBooks Online Plus, US (What you are buying: Up to 5 named users, company subscription · Year at the regular monthly rate: USD 1,680)
  • QuickBooks Online Advanced, US (What you are buying: Up to 25 named users, company subscription · Year at the regular monthly rate: USD 4,080)
  • Xero Established, US (What you are buying: Subscription that includes multiple currencies · Year at the regular monthly rate: USD 1,164)
  • Business Central Essentials, 5 users, Canada (What you are buying: Per-user license before tax · Year at the regular monthly rate: CAD 6,510)
  • Xero Premium, Canada (What you are buying: Subscription that includes multiple currencies, before tax · Year at the regular monthly rate: CAD 960)

QuickBooks year totals are 140 times 12 and 340 times 12. Xero Established is 97 times 12. Canada Essentials is 108.50 times 12 times 5. Xero Premium Canada is CAD 80 a month times 12. Xero Canada prices exclude tax and auto-renew monthly. Multiple currencies sit on Premium, not on Starter (CAD 25) or Standard (CAD 60). Introductory Xero rates last three months, so a steady-state year is the right comparison with a Business Central license that is paid yearly.

Five Essentials users in the United States cost USD 3,120 more in subscription fees than QuickBooks Plus (4,800 minus 1,680) and USD 3,636 more than Xero Established (4,800 minus 1,164). QuickBooks Plus cannot hold a sixth named user. The next QuickBooks cap on that page is Advanced at USD 4,080 a year for up to 25 users. Five Essentials users still cost USD 720 more than Advanced (4,800 minus 4,080), and ten Essentials users cost USD 9,600, which is USD 5,520 more than Advanced. The eight-plus-twelve mix above (USD 8,832) is USD 4,752 more than Advanced. In Canada, five Essentials users at CAD 6,510 are CAD 5,550 more than Xero Premium at CAD 960, before tax and before implementation.

Those gaps are the subscription only. A finance rollout still has to design posting groups and dimensions, load balances, and train the close. If the only pain is the bookkeeper's subscription, split the comparison by named users. For five or fewer named users, Plus at USD 1,680 and Xero Established at USD 1,164 are the smaller US subscription. For six to twenty-five named users, Plus cannot hold the roster. The QuickBooks comparison on that page is Advanced at USD 4,080, which is still below ten Essentials users at USD 9,600 and the eight-plus-twelve mix at USD 8,832. A first year that uses the published introductory rates widens the gap and does not close it. The steady-state gap versus Plus is USD 3,120 (4,800 minus 1,680). QuickBooks Plus at half price for three months, then USD 140, is 3 times 70 plus 9 times 140, or USD 1,470, so the first-year gap moves from USD 3,120 to USD 3,330 (4,800 minus 1,470). The steady-state gap versus Xero Established is USD 3,636 (4,800 minus 1,164). Xero Established at USD 19.40 for three months, then USD 97, is 3 times 19.40 plus 9 times 97, or USD 931.20, so the first-year gap moves from USD 3,636 to USD 3,868.80 (4,800 minus 931.20). Five Essentials users stay at USD 4,800 while those subscriptions cost less for three months.

The QuickBooks Canada pricing page shows Lite starting at CAD 20 a month, with a promotional price of CAD 2 a month, for one user, and online plans that include GST/HST tracking for the CRA. The same page says QuickBooks Desktop is no longer available for new subscribers, and support for QuickBooks Desktop 2023 and older ends after May 31, 2026. A Canadian firm still on Desktop 2023 has a support date to plan around, separate from any move to Business Central.

US sales tax, 1099s, and consolidation

The US localization calculates sales tax from tax groups, tax areas, and jurisdictions such as state, county, city, and locality. Base documentation uses a maintained tax setup, including a Miami example of city, county, and state. It does not describe an automated third-party rate service. Budget time to maintain rates, or ask the implementer to show how rates get into the tax areas on your own items and ship-to addresses. That maintenance is one reason a US finance phase is more than a chart of accounts import.

US local functionality includes IRS 1099 setup, use, and submission, IRS 1096, deposits, bank reconciliation, electronic payments, and e-invoicing. The US version cannot report VAT to European authorities. A US company with a European VAT obligation needs a different localization or a filing path outside this version. Do not assume the US company database files that return.

Consolidation is the feature accounting packages are often missing when a group adds a second company. Business Central can consolidate general ledger entries from two or more companies, including companies with different charts of accounts, fiscal years, and currencies, and companies in other environments or other accounting systems. A percentage of a company can be consolidated. The consolidation article describes eliminations as a manual process: the accountant finds repeated transactions, enters general journal lines, reviews the G/L Consolidation Eliminations report, and posts the adjustments. The Consolidated Trial Balance (4) report is a four-column layout, not a four-company product limit. If you have several entities, ask for a consolidation walkthrough on your charts and your intercompany accounts, and plan accountant time for eliminations each close. That labor belongs in the operating cost, next to the license.

Canadian GST, HST, PST, and GIFI

The Canadian version can report GST and HST with a GST/HST Internet File Transfer batch job that creates a .tax file, documented under Reporting GST/HST in Canada. If a vendor charges only GST or HST and the province has PST, the purchaser can calculate PST with a provincial tax area code and post a tax liability in the same sales-tax model.

In the Canadian sales-tax model, tax amounts must be detailed by jurisdiction, and up to four jurisdictions can be displayed on a document. Tax can be calculated on an amount that already includes tax from another jurisdiction. A province stack that needs a fifth jurisdiction printed on the document will not fit that display limit. Have the implementer print a sample invoice for your highest-tax ship-to and show the four lines.

Canadian companies can assign CRA GIFI codes to posting accounts and export balances by GIFI code to Excel for tax-preparation software. Each account can have only one GIFI code. Map codes while you design the chart, before the first year-end file is due. Those Canadian pages document GST, HST, and PST. For Québec sales tax, ask the implementer to show the filing steps on a Québec company before you sign, using your own documents. List prices in CAD are summarized in our Business Central pricing in Canada in CAD article so the license math stays tied to the Canada price card.

The administration tool and Power Platform

The Business Central administration tool is the tenant portal for environments. Posting still happens in the Essentials app. The Business Central administration center manages production and sandbox environments, notification recipients, environment access, and Application Insights. Access requires a Dynamics 365 Administrator or Dynamics 365 Business Central Administrator role. Delegated partner admins do not need a Business Central license on the customer tenant. None of that replaces Essentials for someone who posts journals. Assign the admin role to whoever owns environments. Give posting staff a paid license.

Power Platform extends Business Central after the ledger is in place. Virtual tables in Dataverse expose Business Central API data to Power Platform with create, read, update, and delete, without copying the data into Dataverse. Charts, attachments, images, and multiline BLOB fields are not supported in those virtual tables. A collections app or an approval app can sit on virtual tables. A report that depends on attachments stored as multiline BLOBs cannot, until someone designs a different store.

The product page says workflows can be built with the embedded Power Automate experience, and that some agents require Copilot Credits sold separately on top of Copilot included in the base plans. Ask the Cloud Solution Provider for the current credit price before you budget agents. A finance-first phase can go live with financial reports, Excel, and the Power BI Finance app already listed in the product, and add flows only where a person is re-keying or chasing an approval.

When a finance-only move is worth the license gap

Stay on QuickBooks or Xero when all of the following are true: one legal entity, named users inside the plan cap you already pay for, one currency or a plan that already includes more, and a close that finishes inside the accounting product. On those facts, five Essentials users at USD 4,800 a year plus implementation is a larger bill than Plus at USD 1,680, Advanced at USD 4,080, or Xero Established at USD 1,164.

Move the finance layer to Business Central when the accounting package is forcing work the license comparison cannot see:

  1. A second company, or a partial ownership stake, that you need in one consolidation, knowing eliminations stay manual.
  2. Dimensions for department, location, or line of business that today live in spreadsheets beside the chart of accounts.
  3. Inventory, projects, or job costs that must post to the ledger, which is ERP work even if phase one is the chart, dimensions, and opening balances. Finance implementation for companies this size is the scope we use when that posting is the reason the books are failing.
  4. A Canadian GST/HST .tax file, PST self-assessment, or GIFI export the current file does not produce cleanly.
  5. A US 1099 and 1096 process, or tax areas you are willing to maintain, with a multi-entity close across different charts or fiscal years.
  6. More than 25 named QuickBooks users, which is the Advanced cap on the US page, or a Xero plan that still cannot hold multiple currencies without a step up to Established or, in Canada, Premium.

Order the work in that sequence. Phase one is companies, posting groups, dimensions, currencies, tax, opening balances, and the people who post, on Essentials, with Team Members for approvers and up to three External Accountant licenses. Sales, inventory, projects, and manufacturing wait until the close works. Premium waits until you need service management or manufacturing. Power Automate waits until a named process is still manual after go-live.

We implement Business Central for US and Canadian companies in that size band, and we also implement Odoo when the license gap above is the wrong trade. Bring the five-user or eight-plus-twelve mix that matches your roster, the list of entities, and one recent month-end file. The call is there to put a finance-first phase next to the subscription you pay now, with migration priced as its own lines.

Frequently asked questions

How can I purchase Copilot Credits?

The Business Central product page says some agents sit on top of included Copilot and require Copilot Credits sold separately. Ask the Cloud Solution Provider who sells the tenant for the current credit price and which agent scenarios your finance team would turn on before you add agents to a finance budget.

Can I add my accountant, bookkeeper, or tax pro?

Essentials and Premium both allow up to three External Accountant licenses per tenant. The licenses are free and still have to be procured. The accountant email must be a work address based on Microsoft Entra ID. Staff who only approve can use a Team Members license instead of a full Essentials user.

Can I switch plans or cancel at any time?

QuickBooks Online US paid plans have no annual contract and can be cancelled at any time. Xero US and Canada subscriptions auto-renew monthly. Business Central user licenses are paid yearly through a Cloud Solution Provider, and the licensing terms do not allow short-term reassignment of a license within 90 days of the last assignment, except to cover a user's absence or a device that is out of service.

Is QuickBooks Desktop still available in Canada?

QuickBooks Canada says QuickBooks Desktop is no longer available for new subscribers. Support for QuickBooks Desktop 2023 and older ends after May 31, 2026. Online plans shown on that pricing page include GST/HST tracking for the CRA.

Are there any additional costs beyond the subscription price?

List prices cover the subscription only. A finance rollout still needs chart of accounts design, posting groups, dimensions, opening balances, tax setup, and training, priced by the implementer. Canada list prices exclude applicable tax. Some agent scenarios need Copilot Credits sold separately, and the checkout price can differ from the displayed list by currency, country, and region.

Which QuickBooks plan is right for a growing or mid-sized business?

On the US pricing page, Plus is capped at 5 users and Advanced at 25 users, each with extra accountant access. A firm that needs more than five people in the books and wants to stay on QuickBooks is looking at Advanced at USD 340 per month list, as of October 2026, before the three-month introductory discount. If the constraint is a second company or a close built in spreadsheets, the user cap alone does not choose the product.

Can I pay the Xero subscription annually?

The Xero US and Canada pricing pages describe subscriptions that auto-renew monthly, with regular prices after a three-month introductory rate. Budget the regular monthly rate times twelve when you compare a full year with Business Central, which is paid yearly.

Which QuickBooks plan is best for a small business?

Simple Start is one user at USD 38 per month list, Essentials is three users at USD 85, and Plus is five users at USD 140, as of October 2026. Each shows a 50 percent discount for three months and no annual contract. For a one- or two-person bookkeeping desk, Simple Start or Essentials is the smaller bill. The plan stops fitting when you need more named users than the cap.
