Dynamics 365 demo: what to ask to see before you buy
Searching for demo dynamics on Bing, as of 5 October 2026, returns game demos and dictionary pages, so that two-word query will not get you a Dynamics 365 walkthrough.
Searching for demo dynamics on Bing, as of 5 October 2026, returns game demos and dictionary pages, so that two-word query will not get you a Dynamics 365 walkthrough. Search Dynamics 365 demo, Business Central demo, or Dynamics 365 Sales demo instead. Microsoft’s trial hub lets you try Sales, Field Service, Business Central, and several other apps free for 30 days, while Commerce, Finance, Supply Chain Management, and Human Resources only offer Request a demo. A guided tour and the CRONUS sample company stay on Microsoft's script and do not run your documents, stages, or exception rules.
Which Dynamics 365 demos you can start yourself
As of October 2026, the US trial hub splits the catalog into two doors. Sales, Customer Service, Contact Center, Field Service, Business Central, Customer Insights, and Project Operations show Try for free. Commerce, Finance, Supply Chain Management, and Human Resources show Request a demo. If your short list is Business Central plus Sales, or Business Central plus Field Service, you can start those trials yourself. If the short list is Finance or Supply Chain Management, you are waiting on a Microsoft-arranged demo.
Three official paths exist, and they answer different questions.
- A click-through guided tour. The Sales and Field Service product pages both offer Take a guided tour next to Try for free. The Business Central product page offers Watch the demo. Treat a guided tour and a CRONUS company as navigation that follows Microsoft’s script, because neither one runs your documents, your stages, or your exception rules. They do not use your stages, your items, or your approval rules.
- A self-serve trial. Business Central’s free trial opens on sample data. Microsoft’s sign-up page says, "If you want to try out things with your own data, switch to a free 30-day trial." A standard Power Platform trial starts at trials.dynamics.com. Sales Professional and Customer Service get-started pages create a subscription-based trial with a set number of licenses, usually 25. Both limits are on About trial environments.
- A partner-controlled demo or a sandbox that can hold your transactions. For Business Central, Microsoft documents an MDX demo environment (90 days or one year, partner-controlled), a prospect trial in your own tenant (up to 60 days), and a sandbox in an existing Business Central tenant (unlimited duration). Those durations are on the demonstration environments page.
US and Canada have a Microsoft localization, so the self-serve Business Central path applies. In countries Microsoft does not localize, a partner sets the trial up. Microsoft also says, "Using a trial version from one partner doesn't obligate you to purchase a license from them." Sitting through their environment does not lock the purchase.
Microsoft tells partners not to use a free Business Central trial to run the prospect’s business, and says demo environments cannot be used for production. A trial is a place to click your process. It is a poor place to issue live invoices.
How a Business Central trial is limited
Sign up with a work or school email. The trial FAQ states, "You can't use email addresses provided by consumer email services." Outlook.com, hotmail.com, and gmail.com are refused, and a trial cannot be created without a Microsoft 365 tenant. If the FAQ question "How do I sign up for the trial without a Microsoft 365 tenant?" is yours, the documented answer is that the tenant comes first.
The sample-data trial lasts as long as people keep signing in. Leave it unused for 45 days and Microsoft treats it as expired and deletes the Business Central tenant. The separate own-data trial is 30 days. A customer can extend a Business Central trial once. A partner’s delegated admin can run Extend Trial Period for another 30 days. Microsoft says the prospect can then have had up to 90 days with the trial experience. That path is on the trials and subscriptions page.
A partner-assigned Dynamics 365 Business Central Premium Trial license is a different object. It expires after 30 days, cannot be extended, and is a poor fit if you need more than 25 users. A second Premium trial license can add another 30 days. Microsoft’s own guidance to partners is: "If the prospect needs more than 30 days to decide, or if they want to add more than 25 users, then the viral trial is probably a better fit."
Microsoft says an unlimited number of users can be added to a Business Central trial environment, up to the trial license limit administered in the Microsoft 365 admin center. Ask the person who created the tenant what that cap is before you invite the warehouse and the sales desk. A room full of people who cannot sign in is a failed demo, even when the script was fine.
New sandboxes contain demonstration data for the fictitious CRONUS company. No production data is copied into that sandbox. If the presenter is clicking CRONUS items, you are watching sample data. The buyer question "How do I remove sample data from the trial?" is the right instinct. The documented route to your own customers and items is the separate 30-day trial, or a sandbox you load on purpose.
Essentials screens and Premium screens
Business Central Essentials shows common finance, sales, purchasing, and inventory features. Premium adds Manufacturing and Service Management. Users with an Essentials license cannot sign in to a company set to the Premium experience. Selecting Premium on Company Information does not assign Premium licenses. Only a user with an Evaluation or Premium license can change the experience from Essentials to Premium. Those rules are on Enable Premium features.
If the demo suddenly shows production orders or service orders, record the company experience and whether the signed-in user is Evaluation or Premium. An Evaluation license can switch the company to the Premium experience, so the screen alone is not a Premium license on the quote. Put Premium on the quote when the people who will do that work must sign in to a Premium company, because Essentials users cannot.
What a Business Central demo should show on your documents
Send this list two days before the meeting. A scripted tour fails the test when the presenter will not load three of your documents or will not click an exception. Score each line as shown, configured, or skipped. Shown means you watched the click path. Configured means your item, your vendor, or your approval rule was in the company. Skipped means it was described in words.
- Quote to cash on one of your items. Start from your customer, your unit of measure, and your price. Post the invoice and open the resulting customer ledger entry.
- A partial shipment. Ship part of the order, invoice that part, and leave the rest open. Watch the remaining quantity.
- A vendor bill that does not match the receipt. Enter the receipt quantity, then the invoice quantity or price that differs. See whether the difference stops for someone to accept.
- A month-end bank reconciliation on one bank account, including one unmatched statement line.
- Manufacturing or service orders, and whether they appear only after the company is switched to the Premium experience.
Add one document that hurts today: a landed-cost receipt, a return, or a job that consumes inventory. One painful document teaches you more than another happy-path order.
Read-only access to Business Central data inside Microsoft Teams is included with a Microsoft 365 license at no additional charge, according to the Business Central product page. If a manager only needs to look up a posted invoice from Teams, put that on the license list before you buy them Essentials.
What a Dynamics 365 Sales demo should show
The Sales product page lists three licenses, paid yearly, as of October 2026: Professional at USD 65 per user per month, Enterprise at USD 105, and Premium at USD 150. The same page marks mobile opportunity management, in-flow recommended actions, and autonomous CRM data enrichment as available only in Sales Premium. Sales Close Agent is labeled now in preview. A preview label means you are watching something Microsoft has not finished shipping. Ask what happens to that step if the preview ends or changes before you go live.
Run the demo on your pipeline, in this order:
- Your real stages, with your stage names, on one opportunity that matches how the team works this quarter.
- A discount that needs approval. Use a percent your policy would stop, and watch who must approve it.
- A quote that becomes an order. If Business Central is also in scope, follow that order into Business Central. If it stops at the CRM quote, say so in the notes.
- Forecast categories on that same opportunity, and which license opened the screen you just saw.
- Any Copilot or mobile step the presenter used. Check it against the Premium-only marks on the product page before you treat it as included in Professional or Enterprise.
Assume 8 sellers. Eight Sales Enterprise licenses at USD 105 is USD 840 per month, paid yearly, or USD 10,080 per year. The same eight people on Sales Premium at USD 150 is USD 1,200 per month, or USD 14,400 per year. The gap is USD 360 per month, USD 4,320 per year, before any Copilot credits. If the demo spent ten minutes on a screen the product page marks Premium only, the quote has to say Premium, or the screen comes out of scope.
On the Canada Sales page, as of October 2026, the same three licenses list at CAD 88.20, CAD 142.50, and CAD 203.50 per user per month, paid yearly, plus applicable tax. Microsoft says list prices are informational and may differ from checkout because of currency, country, and regional variants.
A standard Power Platform trial lasts 30 days and is then disabled and deleted. In the last seven days the admin can self-extend it once, adding 30 days from the original expiration date. A second extension requires converting the environment to production. A standard trial cannot be reset, backed up, restored, or copied. Standard trial environments with no database activity for 30 days are deleted. A subscription-based Dynamics 365 trial for new customers creates an admin-managed subscription with a set number of licenses, usually 25. Sales Professional and Customer Service get-started pages create subscription-based trials. Those limits are on About trial environments. Do not load a year of pipeline into a trial you cannot back up.
What a Field Service demo should show
Field Service lists at USD 105 per user per month, paid yearly, as of October 2026. Field Service Contractor lists at USD 50 per user per month, paid yearly. The Scheduling Operations Agent is labeled now in preview. The product page also mentions a data flow with Business Central. Business Central Premium service management is a separate product, with its own license. If the presenter opens a service order inside Business Central, you are in Premium service management. If they open the Field Service app, you are on the USD 105 (or Contractor USD 50) license. Ask which product is on the screen before you accept the price.
Walk one job:
- Create a work order from a sales quote your team would recognize.
- Schedule a technician who is already booked that morning. Watch the conflict, and watch what the dispatcher does next.
- Consume a truck-stock part that is short. See whether the work order waits, substitutes, or lets the tech finish without the part.
- Complete the work order on the mobile app with the network off, then sync.
- Invoice the work back to Business Central and open the posted invoice.
Assume 6 dispatchers and techs on Field Service at USD 105, and 4 contractors on Field Service Contractor at USD 50. That mix is USD 630 plus USD 200, or USD 830 per month, paid yearly: USD 9,960 per year. Putting the 4 contractors on the full Field Service license instead raises them from USD 200 to USD 420 per month. The difference is USD 220 per month, USD 2,640 per year. Ask which screens a Contractor license cannot open, on your work order, during the demo.
How to score the meeting
Print the checklist. Give the presenter the three documents the day before: one quote or order, one vendor bill that will not match, and one exception (partial shipment, discount over the limit, or a short part). During the meeting, mark each line.
- Happy path on your item or your opportunity (Shown: Click path completed · Configured on your data: Your customer, item, or stage was loaded · Skipped: Described only)
- One exception (Shown: Difference, approval, or shortage was clicked · Configured on your data: Your rule or your quantity was used · Skipped: Deferred to a later call)
- License on that screen (Shown: Name of the SKU was stated · Configured on your data: Matches the users who will do the work · Skipped: Left unnamed)
- Handoff to the next app (Shown: Posted document opened in the other app · Configured on your data: Same customer and amount · Skipped: Stopped at the boundary)
- Preview or Copilot step (Shown: Labeled preview or credit-based in the room · Configured on your data: Named as in scope or out of scope · Skipped: Presented as if it were a standard feature)
A guided tour and CRONUS data can fill the Shown column and still leave Configured empty. You saw navigation. Your items, stages, and exception rules were never in the company. When the exception lines are mostly Skipped, stop the commercial conversation and book a second session with your documents loaded. A score that is full in the Shown column and empty in the Configured column means the license conversation is early.
License questions to ask before the demo ends
Prices below are Microsoft list prices as of October 2026, per user per month, paid yearly, except Customer Insights, which is per tenant. Microsoft prints that list prices are informational and may differ at checkout because of currency, country, and regional variants. Canadian pages add plus applicable tax.
- Business Central Team Members (US list price: USD 8 · What the demo should prove: The person only needs the tasks Team Members allows. Read-only Teams access may already be covered by Microsoft 365.)
- Business Central Essentials (US list price: USD 80 · What the demo should prove: Finance, sales, purchasing, and inventory on your documents, with no manufacturing or service orders required.)
- Business Central Premium (US list price: USD 110 · What the demo should prove: The people who will run manufacturing or service orders must sign in to a Premium company. Essentials users cannot.)
- Sales Professional (US list price: USD 65 · What the demo should prove: Your stages, quote, and discount approval completed without an Enterprise or Premium screen.)
- Sales Enterprise (US list price: USD 105 · What the demo should prove: The forecast or handoff you need was available here, and no Premium-only feature was required.)
- Sales Premium (US list price: USD 150 · What the demo should prove: The demo used a feature the product page marks Premium only, and you still want that feature.)
- Field Service (US list price: USD 105 · What the demo should prove: Dispatch, agreements, or the mobile path you need sits on this license.)
- Field Service Contractor (US list price: USD 50 · What the demo should prove: The contractor completed your work order on this cheaper license.)
- Customer Insights (US list price: USD 1,700 per tenant · What the demo should prove: You have a stated use for the included quantities, below.)
Sources for the table: Business Central pricing, Sales, Field Service, and Customer Insights. Canadian list prices, as of October 2026, plus applicable tax: on the Canada Business Central pricing page, Essentials is CAD 108.50, Premium is CAD 149.20, and Team Members is CAD 10.90. Field Service lists at CAD 142.50 on the Canada Field Service page. Customer Insights lists at CAD 2,306.60 per tenant per month on the Canada Customer Insights page.
Customer Insights includes up to four environments, 100,000 Unified People, and 10,000 Interacted People, and the product page also offers Try for free. For a 20 to 100 person company, USD 1,700 per tenant per month is USD 20,400 per year before anyone has a user license. Leave it out of scope unless the demo showed a profile you will use in the first phase. If a proposal places Customer Insights next to Sales, ask the presenter to say whether those profiles are in the first phase.
Agents that use Copilot Credits are sold separately and require an Azure subscription. The Business Central pricing page says a prepaid commit can save up to 20 percent. It does not list a per-credit price, so the demo should name every agent step and mark it as extra. Sales Close Agent and the Field Service Scheduling Operations Agent are both labeled now in preview. Preview agents do not belong in the go-live critical path.
Worked mix, stated assumptions: 12 people post sales orders, purchase orders, and invoices and need Business Central Essentials at USD 80. Six warehouse and admin staff fit Team Members at USD 8. Four sellers need Sales Enterprise at USD 105. Nobody needs Premium manufacturing, Field Service, or Customer Insights.
- Essentials: 12 times USD 80 = USD 960 per month.
- Team Members: 6 times USD 8 = USD 48 per month.
- Sales Enterprise: 4 times USD 105 = USD 420 per month.
- Together: USD 1,428 per month, paid yearly, which is USD 17,136 per year.
Move the 12 Essentials users to Premium because the demo showed service orders, and the Business Central line becomes 12 times USD 110 = USD 1,320. The monthly total becomes USD 1,788, and the year becomes USD 21,456. The Premium switch on that assumption is USD 360 per month, USD 4,320 per year. If only four of the twelve need Premium, you still have to put the company on the Premium experience, and Essentials users cannot sign in to that company. In that case the practical license count is twelve Premium users, or a separate company you are willing to operate. Ask for that choice in writing.
Use the Dynamics 365 license calculator with the roles you saw, then ask Microsoft or the reseller to confirm checkout. US Dynamics pricing pages list phone hours Monday to Friday, 6 AM to 3 PM PT, at (800) 642-7676, on the Business Central pricing page.
What to ask about implementation in the same meeting
License list price is the part Microsoft publishes. Implementation scope is the part you have to specify. Ask each bidder to price data migration, integrations, and training as their own lines, against the scenarios you scored.
FastTrack for Dynamics 365 gives eligible customers guidance, workshops, and go-live reviews based on Success by Design. The public page tells you to check eligibility and does not publish a dollar minimum. Ask the presenter whether your license total would qualify, and get the answer from the eligibility check. A spoken assurance in the demo waits on that check.
A trial is a short environment with sample data or a small load of your data. A proof of concept is a time-boxed test of the few processes that will decide the purchase, with success criteria you write first. The backup limit matters here: a standard Power Platform trial cannot be backed up. Do not treat a 30-day Sales trial as the design record for the project. Our page on when to run an ERP proof of concept separates that test from a tour. When you are ready to ask more than one firm for the same scope, the how to write an ERP RFP guide is the place to turn the scorecard into questions every bidder answers.
On Business Central implementation and Dynamics 365 Sales implementation, the work we scope is configuration, migration, and training around the scenarios you already scored. Our target for a first usable phase is 8 to 12 weeks. That target assumes the phase is finance and distribution, or sales through to the order, and that your team can attend the working sessions. A phase that also includes manufacturing, field service, and a customer data platform is a larger project, and the scorecard is how you keep it out of phase one.
Bring three documents, the license names you heard, and the skipped lines to a working session. We will put the skipped lines in order, match them to licenses, and tell you which ones belong in a first phase on a Dynamics 365 implementation.

Frequently asked questions
Which email address should I use to sign up for a Business Central trial?
Use a work or school email on a Microsoft 365 tenant. Microsoft refuses consumer addresses such as outlook.com, hotmail.com, and gmail.com, and a Business Central trial cannot be created without that tenant. Have the admin who owns the tenant start the signup if you do not.
How do I sign up for the trial without a Microsoft 365 tenant?
You need a Microsoft 365 tenant before a Business Central trial can be created. The trial FAQ treats a missing tenant as a blocker, and consumer email services are not accepted as a workaround. Create the work tenant first, then start the trial from a work or school address on that tenant.
Can I sign up for other Dynamics 365 apps such as Sales, Marketing, and Customer Service?
As of October 2026, the US trial hub offers Try for free on Sales, Customer Service, Contact Center, Field Service, Business Central, Customer Insights, and Project Operations. Commerce, Finance, Supply Chain Management, and Human Resources offer Request a demo instead. Marketing is not on that Try for free list, so confirm it on the hub the day you sign up.
How many users can I add to my trial environment?
Microsoft says an unlimited number of users can be added to a Business Central trial, up to the trial license limit set in the Microsoft 365 admin center. A partner-assigned Premium Trial is a poor fit above 25 users. A subscription-based Dynamics 365 trial for apps such as Sales usually includes a set number of licenses, often 25.
How long does the Business Central trial last?
The sample-data trial continues while people keep signing in, and Microsoft deletes the tenant after 45 days of non-use. The separate trial for your own data is 30 days. A customer can extend a Business Central trial once, and a partner delegated admin can add another 30 days, for up to 90 days on that path. A Premium Trial license expires after 30 days and cannot be extended, though a second Premium trial license can add 30 days.
How do I remove sample data from the trial?
The sign-up guidance for your own customers and items is to switch to the separate free 30-day trial. New Business Central sandboxes open with demonstration data for the fictitious CRONUS company, and production data is not copied into that sandbox. If the screens still show CRONUS, you are on sample data, so load your own documents in the own-data trial or in a sandbox created for that purpose.
How do I extend the trial?
On Business Central, a customer can extend the trial once, and a partner delegated admin can run Extend Trial Period for another 30 days. The partner-assigned Premium Trial cannot be extended; a second Premium trial license is what adds another 30 days. On a standard Power Platform trial, an admin can self-extend once during the last seven days, adding 30 days from the original expiration, and a second extension requires converting that environment to production.
What type of account can create a free trial environment?
A Business Central trial needs a work or school account on a Microsoft 365 tenant. Consumer mailboxes are refused. Standard Dynamics 365 trials for new customers, including paths started for Sales Professional, create an admin-managed subscription, usually with a fixed license count, and an admin has to own that environment.
