ERP for Canadian distributors: what to look for and what it costs

Canadian distributors hit the wall in a predictable order. A second warehouse opens, a retailer sends its supplier pack, and the tax line on an Ontario invoice stops matching the tax line on a Manitoba one. Business Central Essentials lists at CAD 108.50 per user per month as of October 2026. Published package prices start at Coretec's CAD 9,500 finance tier and Gestisoft's CAD 37,500 distribution scope. Alphavima's bands run to CAD 320,000 and above and are one firm's planning ranges, not packages.
Licences are published math; implementation is a negotiation. Business Central documents multi-warehouse locations, lot traceability and item charges; Odoo documents the same mechanics and adds provincial fiscal positions for ship-to tax in its Canada localization. Retailer EDI document exchange does not appear on Microsoft's Essentials and Premium comparison for Business Central, and trading-partner EDI is sold by add-on vendors. The differences that decide your project sit in warehouse depth, how EDI gets bought, and what each bidder puts in scope.
Where QuickBooks Online and Sage 50 hit their limits
QuickBooks Online tracks inventory quantity only on its Plus and Advanced plans. Plus allows 5 billable users and caps combined classes and locations at 40 (Intuit's usage limits page); it counts classes and locations together, so a handful of warehouses plus a long list of channel classes can reach 40. Advanced drops that cap and raises the billable-user limit from 5 to 25, with unlimited classes and locations.
Buyers put the scale question to Intuit directly: "What is the maximum stock / inventory items that can be loaded on QB advanced?" (Intuit Community). An Intuit staff reply dated 16 December 2025 states that Advanced has no usage limit on list items, stock items included, and that product imports run 1,000 rows at a time (usage limits). The wall, then, is structural: Plus carries 5 billable users and a combined 40 classes and locations, and Advanced raises the user count to 25 with unlimited classes and locations and no usage limit on list items. The 1,000-row figure is the size of one product import, a batch size to plan around when you refresh the catalogue.
Sage 50 draws its line at a paywall. Multiple inventory locations require Sage 50 Premium Accounting or higher. Once a location appears on a transaction it cannot be removed, and locations cannot be turned off (Sage 50 2026 help, published 10 June 2026). Sage's own comparison rates inventory Basic on Pro, Advanced on Premium and Advanced Plus on Quantum, with multi-location inventory and serial-number tracking appearing as rows further up (feature comparison).
The move to ERP happens for operational reasons: receipts, transfers, seats, location depth and retailer documents are daily workflows, and each one tests the limits listed above.
The tax rate follows the ship-to province
For goods, the Canada Revenue Agency sets the place of supply at the province where you deliver them or make them available, and goods you mail or courier are supplied in the province they are sent to (place-of-supply rules). CRA's worked examples land close to home for distributors: a British Columbia seller delivering a mattress to a Toronto address charges 13% Ontario HST; a Winnipeg seller shipping a laptop to Halifax charges 14% HST; if the customer collects the laptop in Winnipeg, the supply happens in Manitoba at 5% GST plus provincial tax (CRA guidance).
Rates as of October 2026 (CRA calculator), with Nova Scotia's HST at 14% since 1 April 2025 (same page):
- Alberta, Northwest Territories, Nunavut, Yukon (Federal: 5% GST · Provincial: 0% · Customer pays: 5%)
- British Columbia (Federal: 5% GST · Provincial: 7% PST · Customer pays: 12%)
- Manitoba (Federal: 5% GST · Provincial: 7% PST · Customer pays: 12%)
- Saskatchewan (Federal: 5% GST · Provincial: 6% PST · Customer pays: 11%)
- Quebec (Federal: 5% GST · Provincial: 9.975% QST · Customer pays: 14.975%)
- Ontario (Federal: 13% HST · Customer pays: 13%)
- Nova Scotia (Federal: 14% HST · Customer pays: 14%)
- New Brunswick, Newfoundland and Labrador, Prince Edward Island (Federal: 15% HST · Customer pays: 15%)
One afternoon of shipments can produce three tax treatments out of one dock. Odoo's Canada localization (l10n_ca) creates default fiscal positions because rates and taxable items vary by province and territory, managed under Accounting, Configuration, Fiscal Positions (Odoo documentation). That is the mechanism a distributor needs: rates that change with the ship-to address. Whatever platform you shortlist, make the test symmetrical: have each bidder post a sale to Ontario, one to British Columbia and one to Quebec, on your addresses, and read the tax lines.
How Business Central and Odoo run stock across warehouses
Partner pages compress the requirement into a promise like "real-time inventory visibility across bins, warehouses, and locations" (one NetSuite partner's Canadian page). The mechanics underneath are what to examine: the location on the order line, availability by location, transfers that keep their contents intact, and pick instructions at bin level.
In Business Central, locations are the places where you buy, store or sell items. A location sits on document lines, availability reports by location, and transfer orders move inventory between locations. Each location carries a card with bins and warehouse policies, including directed put-away and pick (Microsoft Learn). When bins and pick paths grow, directed put-away and pick is the item to confirm in the demo. Our Business Central warehouse management guide walks through the setup decisions.
Odoo documents selling from more than one warehouse as a virtual parent warehouse with at least two child warehouses, and its own documentation notes limitations in that pattern (Odoo documentation). Treat that parent-child flow as the one to stress-test: bring a cross-warehouse replenishment, a stock count spanning two sites and a partial transfer, and watch the friction.
Lot and serial tracking that survives a transfer
Business Central's item tracking codes cover serial numbers, lot numbers and package numbers. Specific tracking forces the number onto every outbound handling, warehouse tracking has to be switched on before numbers can be assigned in warehouse activities, and transfer orders ship and receive the same tracking numbers between locations (Microsoft Learn). In practice, the lot you received in Toronto is still the lot in Calgary, with its history intact.
Odoo treats lots and serial numbers as its traceability method for batches and supports valuation by lot, so unit cost can differ by lot or serial under AVCO or FIFO (Odoo documentation). That second capability earns its keep when two purchases of the same item land at different costs; the lots keep separate values.
In the demo, receive a lot, transfer part of it to a second warehouse, ship the rest, and pull the history. Judge the result on your own items, because catalogue structure decides how much setup each platform needs.
Freight, duty and brokerage in unit cost
Buying from US vendors adds freight, brokerage and duty to a purchase before it can be priced for sale. Both platforms document the mechanism.
Business Central defines the landed cost of a purchased item as the vendor price plus other direct item charges assigned to receipts or return shipments. Charges can be assigned on the purchase document or on a later invoice linked to a posted receipt, and the suggested methods are equally, by amount, by weight and by volume (Microsoft Learn). Freight tends to map to weight and brokerage to amount; the methods exist because bills arrive in different shapes.
Odoo enables landed costs under Inventory settings: the charge is a service product flagged as a landed cost and applied to a receipt, pulling shipment fees, insurance and customs duties into product valuation (Odoo documentation).
Duty percentages depend on tariff classification, so resist any template number. Have each bidder show a receipt with a duty line built from one of your broker's actual entries.
What retailer EDI requires, and where it is written
The supplier pack a retailer sends before the first purchase order is where Canadian EDI reality lives. Walmart Canada's 2026 supplier standards require a GST/HST number that matches CRA records, a QST number when the supplier is in Quebec or does business there, a GS1 membership to obtain GTIN or UPC codes, and payment by EFT to a Canadian bank account; the document lists no EDI transaction sets (Walmart Canada standards, PDF). A Loblaw supplier guide dated February 2017 and hosted by SPS Commerce names contacts for 856 advance ship notices, 812 debit notes and 820 remittances, and points suppliers to a portal for the ASN manual (SPS-hosted guide, PDF). It dates from 2017, so treat current specs as portal material and get the live pack in writing before anyone prices the work.
The ERP side has a simple shape. Microsoft's plan comparison for Business Central lists inventory and warehouse management as rows on Essentials and Premium. Retailer EDI document exchange does not appear on that comparison (Microsoft's Canada pricing page), and trading-partner EDI is sold by add-on vendors. For Business Central, a US wholesale comparison records that EDI path as an add-on (a wholesale ERP comparison). Price it as its own project line: the add-on subscription, mapping for each partner's documents, and testing time around each retailer's calendar. Ask every bidder to quote one named retailer's document cycle with that retailer's pack open, then compare the quotes line by line.
Quebec labeling sits beside the ERP
Goods into Quebec carry a compliance requirement the ERP does not settle on its own. Under Charter of the French Language rules in force since 1 June 2025, every inscription on a product, its container, its wrapping or a document supplied with it must be in French, and no other language may be more prominent. A generic term or product description inside a recognized trademark must also appear in French on the product or a medium permanently attached to it, with a transition running to 1 June 2027 for some stock produced before the change (Lavery's summary). Make it a demo item: have each bidder print the product label and shipping documents their system produces for one of your Quebec-bound items, and check the print against the rules.
Licence costs: Business Central in CAD, Odoo in EUR
Microsoft publishes Business Central prices in CAD on its Canada page, per user per month, paid yearly, plus applicable tax, as of October 2026 (Microsoft Canada):
- Essentials: 108.50
- Premium: 149.20
- Team Members: 10.90
The comparison table on the same page includes inventory and warehouse management on Essentials and Premium, with Premium adding service order management and manufacturing (Microsoft Canada). The fork worth knowing: kitting or light assembly that runs as a production activity points to Premium; pure distribution runs on Essentials. Assume 10 full users on Essentials: 10 × CAD 108.50 = CAD 1,085 per month, about CAD 13,020 per year before tax. The US page lists the same plans at USD 80, USD 110 and USD 8, with a note that displayed prices are informational and checkout pricing can differ by country (Microsoft US).
Odoo prices per user as well. As of October 2026 its public pricing page showed Standard at EUR 19.90 per user per month on the yearly toggle and EUR 24.90 monthly, Custom at EUR 35.90 yearly and EUR 44.90 monthly, and a Light user at EUR 7.90 (Odoo pricing). A second figure showed EUR 31.10 beside Standard and EUR 56.90 beside Custom, unmarked and with no currency label, and the page's footnote says the discount applies for 12 months to the initial users ordered (Odoo pricing).
Standard covers Odoo Online with all apps. Custom adds Odoo.sh or on-premise hosting, Studio, multi-company and the external API, with hosting billed separately, and implementation is excluded from both plans. Odoo's guidance on the same page: companies under 50 employees usually buy implementation as Success Packs, and companies over 50 usually work with a partner; no pack price is published. Two actions for a Canadian buyer: confirm the currency and the figure at the Canadian checkout before budgeting, and note that a second company, such as a US buying entity, moves you to Custom.
Implementation costs: the published CAD range
Before the first sales call, published prices already bracket the budget.
Gestisoft lists consumer-goods distribution packages on Microsoft's Marketplace: CAD 37,500 for a three-month Essential scope, CAD 52,500 for four months at Growth level with barcoding and advanced shipping added, and from CAD 69,500 for a five-month Scale scope across multiple sites; data migration is marked optional on the scope list (Marketplace listing).
Coretec starts lower: CAD 9,500 for a finance-only tier, CAD 19,000 adding purchase orders, sales orders and inventory, and CAD 29,000 for manufacturing or distribution and supply chain. Locations and warehouse management sit outside the top package and bill as time and materials (Coretec's packages).
Alphavima's numbers are planning bands: CAD 45,000 to 110,000 for small rollouts, CAD 130,000 to 320,000 for 25 to 50 users, and CAD 320,000 to 800,000+ for complex builds. A worked example of a 30-user, two-warehouse distributor totals about CAD 247,500 in partner cost before internal time (Alphavima's cost guide).
Every figure above is one firm's price for its own scope; none is a market rate. Gestisoft's buyer guide sets a typical first-year band for an SMB distributor leaving QuickBooks for Business Central at CAD 40,000 to 150,000 across licensing, implementation, migration, training and stabilization (the buyer guide); treat it as one firm's planning estimate. Read a quote with warehouses in scope line by line against Coretec's CAD 29,000 tier, where locations and warehouse management are extra. For a quote that lands near 30 users and two warehouses, Alphavima's worked example of exactly that shape totals about CAD 247,500, and the firm's CAD 130,000 to 320,000 band covers 25 to 50 users; ask for hours by phase either way.
Where Flectic lands: our method, the Flectic Accelerated Delivery Framework, prices discovery, configuration, migration and training as separate phases with a named team on each. Add your own hours to any quote: data cleanup, super-user time and test cycles cost real weeks even when a package marks migration optional.
Choosing between Business Central and Odoo
Both platforms can run a Canadian distribution business; the deciding evidence is specific to your operation.
Shortlist Business Central when warehouse execution is the daily battle. Bins, directed put-away and pick, and lots that stay attached through transfers are documented capabilities, the CAD licence price is published, and Premium covers the case where kitting grows into production. Our Business Central implementation page shows how we phase the rollout.
Shortlist Odoo when one database for every app at a low published user price is the priority and lot-level valuation matters to your margin. Test the multi-warehouse pattern against your flows, confirm the currency and the figure at the Canadian checkout before you budget, and plan for Custom the moment a second company enters the structure. Our Odoo implementation page covers the phased approach.
Shortlists in this market usually carry NetSuite and Acumatica too. We implement Business Central and Odoo, so this page compares the two we can demonstrate on your data.
Run the same script against both, on your own numbers:
- Post three sales orders to ship-to addresses in Ontario, British Columbia and Quebec, and read the tax lines.
- Receive a purchase with freight and duty, and check the unit cost on the item.
- Transfer a lot between two warehouses, then pull its history.
- Price the EDI add-on for one named retailer with their supplier pack open.
- Ask who writes and owns custom code, and what support rates apply after go-live.
Then judge the bidder on things that hold up during the project: named people on the team, hours estimated by phase, references from distributors of similar shape, a phase plan with a usable first phase, and code ownership in writing. The vendor-neutral version of this scoping is in our ERP for wholesale distribution guide, and our wholesale distribution ERP page shows the industry service in full. Bring a warehouse count, a top-ten item list by volume and any supplier pack you have received to the first call; those three items turn an introduction into an estimate.
How Flectic can help
For Canadian distributors of 20 to 100 people, Flectic's wholesale and distribution ERP work connects pricing, multi-warehouse inventory and finance on Dynamics 365 or Odoo, so each order carries the right price and posts to the ledger without re-keying. We pilot one branch, then connect the rest in planned windows so orders keep shipping. Branch sourcing ships each order line from the branch that can fill it at the lowest cost and time. To review your branch layout and pricing before you pick between Business Central and Odoo, select Book a free discovery call and Flectic will go through them with you.

Frequently asked questions
Which GST/HST rate do I charge when I ship to another province?
For goods, the place of supply is the province where you deliver them, and goods you mail or courier are supplied in the province they are sent to. A mattress shipped from a British Columbia warehouse to a Toronto address carries 13% Ontario HST. If the customer collects the order at your Manitoba dock, the supply happens in Manitoba at 5% GST plus provincial tax.
Does Business Central track lots and serials across more than one warehouse?
Yes. Item tracking codes cover serial, lot and package numbers, and transfer orders ship and receive the same tracking numbers between locations. Warehouse tracking has to be switched on before those numbers can be assigned in warehouse activities.
Is retailer EDI included in Business Central Essentials, or is it a separate app?
Microsoft's plan comparison lists inventory and warehouse management on Essentials, and retailer EDI document exchange is not a line on that table. Trading-partner EDI is sold by add-on vendors, so budget the subscription, the per-partner mapping and the testing as its own line.
When do QuickBooks Online locations or Sage 50 stop being enough for multiple warehouses?
QuickBooks Online tracks inventory quantity only on Plus and Advanced, and Plus caps combined classes and locations at 40 with 5 billable users; Advanced allows 25 billable users. Sage 50 offers multiple inventory locations from Premium and higher, and a location cannot be removed once it appears on a transaction. Growth in warehouses, seats and sales channels is what typically forces the move.
How are freight and duty added to inventory cost in Business Central or Odoo?
Business Central assigns item charges to receipts, with suggested methods of equally, by amount, by weight and by volume. Odoo uses service products flagged as landed costs and applied to a receipt, covering shipment fees, insurance and customs duties. Duty percentages depend on tariff classification, so have each bidder build the duty line from one of your broker's entries.
Do product descriptions on goods sold in Quebec have to be in French, including words inside an English trademark?
Under Charter of the French Language rules in force since 1 June 2025, inscriptions on products, containers, wrapping and supplied documents must be in French, and no other language may be more prominent. A generic term or description inside a recognized trademark must also appear in French on the product or a medium permanently attached to it. Some stock produced before the change has a transition running to 1 June 2027.
What should a 20 to 100 person Canadian wholesaler budget for a first year, in CAD?
Licences start at CAD 108.50 per user per month for Business Central Essentials, paid yearly, plus applicable tax. Published package prices start at a CAD 9,500 finance tier and a CAD 37,500 distribution scope, with a multi-site package from CAD 69,500. One firm's planning bands run to CAD 320,000 and above. Gestisoft's first-year estimate for an SMB distributor leaving QuickBooks is CAD 40,000 to 150,000.
