Accounting software for nonprofit organizations in Canada
Accounting software for nonprofit organizations in Canada is a fund-tracking choice with a filing deadline attached.
Accounting software for nonprofit organizations in Canada is a fund-tracking choice with a filing deadline attached. A registered charity must file Form T3010 within six months after its fiscal period ends and include its own financial statements and notes (T4033 guide). When income is over CAD 250,000, the Charities Directorate recommends a professional audit of those statements (T4033 guide). Commercial ledgers can sort entries with classes or locations. A balance sheet by fund is a separate product claim, and only some of the packages below make it.
The rest of this page stays on the accounting-software decision: what the books must show, where QuickBooks, Xero and a purpose-built fund package stop, and when dimensions in Business Central or analytic plans in Odoo are worth the move. The companion page on ERP for nonprofits and associations covers the broader system choice. List prices below are as of October 2026.
What the books have to separate
A commercial ledger answers whether the organization covered its costs in total. A charity finance lead also has to show whose money is left. Donor-restricted gifts and time-restricted gifts are spending rules. Aplos, a US-oriented fund package, markets that job with the lines "Keep track of gifts with donor restrictions to make sure they are used for the correct purposes" and "Ensure you are using donations with time restrictions during the designated time periods" on its pricing and features page.
That split has to survive the statements you file. A complete T3010 includes the charity's own financial statements and notes, and most of the return plus all of those financial statements are public, according to the T4033 guide. Confidential areas include Section F and Schedule 4, the right-hand side of Form T1235, and Part II Section B of Form T2081. A workbook that adjusts fund balances after the export can become part of a public filing. Reviewers tie the statements back to the ledger.
The same file has to support the disbursement quota, which is a spending test. For a charitable organization, if the average value of property not used directly in charitable activities or administration over the prior 24 months exceeds CAD 100,000, the quota is 3.5% of that average up to CAD 1 million and 5% of the amount above CAD 1 million. Foundations use the same rates once that average exceeds CAD 25,000. The CRA disbursement quota page says the T3010 is how the quota is checked, points to line 5900 and, for the following year, line 5910 of Schedule 6, and says line 4250 must not be used for the calculation.
Grants to other organizations are a second split inside the same return. Since 23 June 2022, registered charities may make grants to non-qualified donees. Those grants are reported on Form T1441 and on specified T3010 lines, separate from gifts to qualified donees on Form T1236, again in the T4033 guide. One expense account named grants and gifts leaves that split to be rebuilt every year.
Internal trusts are easier to over-build than to miss. The CRA will not require registered charities to file a T3 for internal trusts. Those trusts are property received as a gift subject to legally enforceable terms that the charity holds as trustee, and they are reported in aggregate on the T3010. The fund list still has to show them. It does not have to become a second trust-accounting product for the CRA.
What the T3010 filing calendar forces on the close
Charities with a fiscal period ending on or after 31 December 2023 must file T3010 version 24. An earlier version is not accepted. The six-month clock in the T4033 guide runs from the fiscal period end, so a 31 March year end files by 30 September and a 31 December year end files by 30 June. Working papers have to match version 24. A copy of an earlier version is not accepted.
If income is over CAD 250,000, the recommendation is a professional audit of the statements that go with the return. Below that threshold, the treasurer should sign them. Either path needs a ledger an auditor or a treasurer can sample: a restricted gift hits a fund code at posting, a release from restriction is its own entry, and the fund balance ties to the statement note. Rebuilding that map in May, for a June deadline, is how restricted balances surface in the audit sample.
Missing the return is an organizational event. If a registered charity does not file its information return, its registered status will be revoked. It then cannot issue official donation receipts and may face a revocation tax on remaining assets. The software will not transmit the T3010. It either makes the statements and the Schedule 6 lines a report, or it leaves them as a seasonal project.
Two provincial points sit beside the federal return. As of 15 May 2021 the CRA no longer collects the Ontario annual information return. Registered charities in Quebec also have to file a provincial annual return. The T4033 guide points Quebec filers to Revenu Québec at 1-800-567-4692. Keep the federal six-month date on the close calendar either way, and ask your Quebec advisor which provincial form is current.
Where QuickBooks, Xero and a fund package stop
QuickBooks Online Plus in Canada includes class and location tracking for up to 40 combined classes and locations, project profitability, and 5 users plus an accountant. Advanced includes unlimited classes and locations and 25 users. Both limits are on the QuickBooks Canada pricing page. Forty combined tags is a ceiling you can count. A charity with 15 funds, 12 programs and 10 locations is already at 37, with three tags left for the next campaign. Project profitability can show a grant as a project. That pricing page does not describe a fund balance sheet, a restriction control or a T3010.
As of October 2026 the same page prints one start price in the clear: QuickBooks Online Lite starts at CAD 20 per month and is shown at CAD 2 per month during the promotion, for 1 user. Regular list prices for EasyStart, Essentials, Plus and Advanced were behind the promotion. Take Plus or Advanced from a written quote, and treat CAD 20 as the only ongoing Lite figure the page stood behind. Lite, at one user, is the wrong tier once funds have to be coded.
Xero's Canada pricing page is an organization-wide ledger with published monthly prices and no nonprofit, fund or charity-return content. As of October 2026, after a three-month introductory rate, Starter is CAD 25 per organization per month (the intro is CAD 5), Standard is CAD 60 (intro CAD 12) and Premium is CAD 80 (intro CAD 16). Prices exclude tax and auto-renew monthly. Starter caps the file at 20 invoices and 5 bills. Premium is the tier that adds multiple currencies. A charity that bills in US dollars is looking at Premium for that currency feature. Nothing on the page prices a restriction or a disbursement quota.
Aplos sells fund accounting by name: a balance sheet by fund, an income statement by fund, donor-restricted gifts and time-restricted gifts. Advanced adds budgeting by fund or grant. The Aplos pricing page also lists US Form 1099 and Form 990-N and 990-EZ, and it says a US or Canadian bank is required for online payments. It does not mention the T3010. The page prints dollar signs without a currency code, and the tax forms are American, so treat the figures as USD.
As of October 2026, Aplos Lite is USD 79 per month for 2 users, Core is USD 129 per month for 2 users, and Advanced starts at USD 229 per month for 3 users, with a quote for organizations the page describes as 250K+ annual revenue. New customers were shown 50% off for three months with code FALL26 (USD 39.50 and USD 64.50 on the first two tiers) through 31 October. For a Canadian charity, the test is whether those fund statements match how your auditor reads restrictions, and whether GST/HST and the T3010 still get assembled beside the product. The subscription is the smaller number next to a year of side schedules.
How Business Central and Odoo tag a fund
Business Central dimensions categorize entries, such as by department or project, so a separate general-ledger account is not required for each department and project. A single entry can carry several dimensions. That is the mechanism a charity would point at a fund, a program and a location on the same bill. The dimensions article describes dimensions as analysis tags and filters. It does not describe restricted net assets, a fund balance sheet or a grant agreement.
You get two global dimensions and up to eight shortcut dimensions. Changing a global dimension updates posted entries and can lock tables, so the fund dimension and the program dimension should be chosen before history is posted. Value Posting can be set to Code Mandatory so an account cannot be posted without a dimension value. A revenue account used for restricted gifts can then refuse to post until a fund is chosen. The tag still has to be turned into the statement your auditor signs, including releases between restricted and unrestricted balances. Have that report run on your own chart before you accept a design.
Business Central for Canadian finance teams is how we implement that design when the dimensions, the close and the operating side of the charity need to land together. The commercial price page has no nonprofit fund story. The work is the fund list, the mandatory rules and the statements already in your audit file.
Odoo tracks costs and revenue by analytic account. Plans can be Optional, Mandatory or Unavailable, a line can be split by percentage across accounts, and a plan can be limited to account-code prefixes, as described in the Odoo 19 analytic accounting page. Setting the fund plan to Mandatory is the posting control: a line in range carries an analytic account. Percentage splits matter for a shared bill, such as occupancy charged 40% to a restricted program and 60% to administration. The same page does not document a nonprofit fund or restricted-net-asset feature. Analytic plans are a profitability and cost-allocation tool.
Microsoft's nonprofit page says Business Central can help you "Gain better visibility into contributions" (Dynamics 365 Business Central for nonprofits). The dimensions article calls the same idea analysis tags and filters. On either product, ask for the fund balance sheet and the release entries on a copy of your chart. If the demo only shows a filtered profit and loss, the year-end statement is still ahead of you.
The country selected when an Odoo database or extra company is created installs a fiscal localization and a standard chart of accounts. The fiscal localization cannot be changed after a journal entry is posted (Odoo chart of accounts). For a Canadian charity that choice is early: create the company as Canada, and treat a related foundation as another company whose localization is set before anyone posts.
How grant reports leave the spreadsheet
A funder asks for budget versus spent, people time and what is left. The finance manager exports the ledger, retags rows and pastes them into last year's workbook. Business Central projects cover tasks, resource scheduling, budgets versus actual usage, time sheets, work in process and customer invoicing. The project management article does not mention grants or restricted funds. A grant becomes reportable when you model it as a project, or as a dimension the project entries also carry. Budget versus actual usage and time sheets are the columns many funders already ask for. Work in process and customer invoicing matter when you also run fee-for-service programs.
Odoo's percentage distribution and account-prefix rules are the matching move on a bill. A plan limited to an expense-code prefix can require program coding on that range, and a distribution can split a hydro bill across analytic accounts by a percentage you set, instead of a workbook formula someone overwrites in June. These features do not write Form T1441. They stop the export-and-retag loop when the grant and the fund are on the line at posting.
Count the hours on one recurring grant before you compare subscriptions. A quarterly package that takes one person two days is eight days a year, before T3010 season. A first phase that brings fund and grant coding onto the entry, and leaves payroll or inventory where they are, is often the right cut. Our target for a first usable phase is 8 to 12 weeks. That figure is our target for a defined slice of the books, and it depends on the fund list and the grant list being agreed before configuration starts.
What the licenses cost as of October 2026
Canadian commercial list prices for Business Central are in CAD, paid yearly, plus applicable tax, on the Canada price list. Essentials is CAD 108.50 per user per month. Premium is CAD 149.20. Team Members is CAD 10.90. Essentials is the finance license to price when the organization is not buying the extra Premium workloads. Premium adds service and manufacturing depth you can skip when you do not run those workloads. Team Members is the light license for people who approve or look up, and the controller who posts needs a full license.
Assume 8 people post journals, payables, grants and bank entries on Essentials, and 15 program managers use Team Members to look up their project. Monthly license cost at the October 2026 Canada list is 8 times CAD 108.50 plus 15 times CAD 10.90, which is CAD 868.00 plus CAD 163.50, or CAD 1,031.50 per month before tax. Over a year that is CAD 12,378.00 before tax. Moving one of those eight full users to Premium changes that seat from CAD 108.50 to CAD 149.20 and adds CAD 40.70 a month. Microsoft does not publish a Canadian implementation price beside these figures. The license table is the subscription floor. Configuration, migration and reports are a separate quote.
Eligible nonprofits are offered Business Central starting at USD 32.00 per user per month, which Microsoft describes as 60% off commercial pricing on the nonprofit Business Central page. The US commercial list shows Essentials at USD 80.00 per user per month, paid yearly, Premium at USD 110.00 and Team Members at USD 8.00. Sixty percent off the USD 80.00 Essentials list equals USD 32.00. The nonprofit page does not publish a CAD price, a billing term, or a line that says USD 32.00 is Essentials only. Leave CAD 108.50 out of any homemade discount. On the same 8 full users, the published starting rate is 8 times USD 32.00, or USD 256.00 per month. Confirm eligibility, the billing term and any Team Members price in writing before that USD figure goes into a board budget.

Odoo publishes in USD, with no CAD column, on Odoo pricing. As of October 2026, Standard is USD 31.10 per user per month for the first 12 months on the initial users ordered, then USD 38.90. Custom is USD 61.00 then USD 76.20, and it includes Odoo.sh or on-premise, Studio, multi-company and the external API. Odoo.sh hosting is extra. A light user is USD 8.90 and requires a quote from an advisor. One App Free is USD 0 for one app and unlimited users on Odoo Online. The pricing page says implementation service is not included in the subscription.
Assume 10 Standard users, all in the initial order. The first year of subscription is 10 times USD 31.10, or USD 311.00 per month, then 10 times USD 38.90, or USD 389.00 per month. A second company for a related foundation sits on Custom, because multi-company is listed there. Implementation sits on top. Odoo says companies under 50 employees usually implement with Success Packs, and companies above 50 employees usually use a partner.
New-customer Success Packs, with 15% off the first pack, are USD 493 (Starter, 4 hours), USD 3,060 (Basic, 25 hours), USD 5,950 (Standard, 50 hours), USD 10,625 (Custom, 100 hours) and USD 21,250 (Pro, 200 hours), on the Success Packs page. Returning-customer prices for the same hour blocks are USD 580, USD 3,600, USD 7,000, USD 12,500 and USD 25,000. The same page treats travel and custom-module maintenance as extra charges on top of the pack price. A 25-hour Basic pack can cover a chart, a fund analytic plan and a short training block. A five-year history load, a second company and a T3010 extract are further lines. Ask for them priced separately.
Who can use the Microsoft nonprofit price
Microsoft nonprofit eligibility requires recognized legal status in the organization's country, described as equal to US 501(c)(3), plus a community-benefit mission. The rules are on the nonprofit eligibility page. A Canadian registered charity is the case that wording points at, and the discount still has to be approved. The words nonprofit on a letterhead are not the approval.
Professional, commerce and trade associations are listed as ineligible, as are government bodies and schools. An industry association of 40 staff, with dues and events, can feel the same reporting strain as a charity and still be on the commercial CAD list. Keep USD 32.00 out of the board budget until the eligibility answer is in writing.
What to protect in a migration
QuickBooks Desktop is no longer available for new subscribers in Canada. Support for QuickBooks Desktop 2023 and older versions ends after 31 May 2026, on the QuickBooks Canada pricing page. A charity still closing on Desktop is past that support date. Support has already ended. Export the class list, the open grants and the last audited trial balance now, and post the next fiscal year in the new system. Treat a decade of Desktop history as a later decision with its own price.
Two product rules punish a rushed setup. In Business Central, changing a global dimension updates posted entries and can lock tables (dimensions). If fund and program start as shortcut dimensions and you later promote them to global, you rewrite history during a close. Name the two global dimensions in design. In Odoo, the fiscal localization cannot be changed after a journal entry is posted. A test company created under the wrong country, then reused because vendors are already in it, freezes that choice. Create the Canadian company, post nothing until the localization is confirmed, and load opening fund balances as a dated journal with the restriction code on the line.
History scope is the other cost driver. Opening balances by fund, one comparative year and open grant budgets are a different project from a load of every year since 2014. Ask each bidder to price data migration as its own line, with the fiscal years and the fund count written on it. The same bid should name who sets the mandatory dimension or the mandatory analytic plan, and who owns the report that ties restricted balances to the statement note.
How the operational line is drawn between a ledger and an ERP is covered in ERP versus accounting software. Payroll, program delivery or a second entity that must share the fund code is past a bookkeeping upgrade.
How to decide, then what to do next
Stay on QuickBooks Plus when you have one legal entity, the combined class and location list fits under the 40-tag cap, project profitability already produces the grant report, and the T3010 workbook takes hours. Advanced is the QuickBooks step when the tag list or the 5-user cap is what hurts, up to unlimited classes and locations and 25 users. Stay on Xero Premium when you have one organization, you need the published multi-currency feature at CAD 80 per month, and the fund statement is still a short side schedule you can tie by hand. Move to a fund package such as Aplos when the missing piece is a balance sheet and an income statement by fund, a US-shaped product is acceptable, and payroll, inventory and a second company can stay outside it.
Move to Business Central or Odoo when the 40-tag cap is in sight, more than one entity must report, program staff need grant budgets beside the ledger, or the quarterly funder package is an export. Business Central fits a team that wants dimensions and projects on Microsoft licensing and that may qualify for the USD 32.00 starting price. Odoo fits a team that wants analytic plans, percentage splits and a published pack menu, and that will create the Canadian company once, before the first posting. An Odoo rollout for a growing organization follows that order: chart and funds first, then the workflows that currently live in side files.
Whichever name you shortlist, judge the bid on named people, hours in the first phase, references from a charity or association of similar size, a phase plan that can leave payroll or inventory for later, and ownership of the configuration and the reports after go-live. A partner badge does not show whether Code Mandatory is set on the restricted revenue accounts.
If the last grant report was a spreadsheet, book the call with one funder template and last year's audited statements. We will say whether a tighter setup on the package you have is enough, or which slice belongs in a first phase, and what that slice costs at the list prices above.

Frequently asked questions
Which QuickBooks plan is best for a small business?
For a Canadian charity, Plus is the tier that includes class and location tracking, and the cap is 40 combined classes and locations, with 5 users plus an accountant. Advanced removes that tag cap and allows 25 users. As of October 2026 the Canada pricing page printed a start price only for Lite, CAD 20 per month shown at CAD 2 during a promotion for 1 user, so price Plus and Advanced from a written quote.
Is there an annual billing option, and does it save money?
The QuickBooks Canada pricing page that listed Lite showed a monthly start price and a promotional monthly rate. It did not print an annual discount for Plus or Advanced, and those regular list prices were hidden behind the promotion. Ask Intuit or your advisor to quote the billing term in writing before you assume a yearly prepay is cheaper.
Are there any additional costs beyond the subscription price?
Odoo states that implementation service is not included in the subscription. Success Pack travel and custom-module maintenance are extra, and Odoo.sh hosting is extra on the Custom plan. Microsoft publishes Business Central license prices and does not publish a Canadian implementation price, so migration, reports and training need their own quote.
Is QuickBooks Desktop still available in Canada?
QuickBooks Desktop is no longer available for new subscribers in Canada. Support for QuickBooks Desktop 2023 and older versions ended after 31 May 2026, so that support has already ended. Export the class list, open grants and last audited trial balance now, and post the next fiscal year in the new system.
Can I pay the Xero subscription annually?
Xero's Canada pricing page lists Starter, Standard and Premium as monthly prices that auto-renew, after a lower rate for the first three months. The page does not publish an annual prepay discount. Budget the post-introductory monthly rate, plus tax: CAD 25, CAD 60 or CAD 80 per organization as of October 2026.
What is the difference between the Odoo standard plan and the custom plan?
As of October 2026, Standard is USD 31.10 per user per month for the first 12 months on initial users, then USD 38.90. Custom is USD 61.00 then USD 76.20 and includes Odoo.sh or on-premise, Studio, multi-company and the external API, with Odoo.sh hosting extra. A related foundation kept as a second company is a reason to price Custom. Implementation is not included on either plan.
Is my organization eligible for Microsoft nonprofit pricing?
Microsoft requires recognized legal status in your country, described as equal to US 501(c)(3), plus a community-benefit mission. Professional, commerce and trade associations are listed as ineligible, as are government bodies and schools. A registered charity can fall inside the wording while an industry association of similar size stays on commercial list prices. The published starting price is USD 32.00 per user per month, and the page does not give a CAD amount.
What happens if a registered charity does not file its T3010?
If a registered charity does not file its information return, its registered status will be revoked. It then cannot issue official donation receipts and may face a revocation tax on remaining assets. The return is due within six months after the fiscal period ends, and version 24 is required when that period ends on or after 31 December 2023.
