Cloud accounting software for small business in Canada
Cloud accounting software for a small business in Canada still fits one legal entity, light inventory, and payroll your bookkeeper already runs. QuickBooks users must fit the published cap.
Cloud accounting software for a small business in Canada still fits one legal entity, light inventory, and payroll your bookkeeper already runs. QuickBooks users must fit the published cap. Xero and Sage depend on the seat count the vendor confirms in writing. Register for GST/HST once taxable supplies exceed CAD 30,000 in a quarter or over four consecutive quarters, and read ERP versus accounting software when stock or entities outgrow the file. As of October 2026, Xero Premium is CAD 80 a month, and ten Business Central Essentials users are CAD 1,085 a month before tax.
When QuickBooks, Xero or Sage is still enough
Stay when five conditions hold together. You have one legal entity. Inventory is light enough that quantity on hand is not living in a spreadsheet, and you are not assembling or manufacturing. On QuickBooks, the people who post transactions fit the published cap of 1, 3, 5 or 25 users. On Xero and Sage, the stay test uses the seat count the vendor confirms in writing. Payroll already remits from an add-on your bookkeeper trusts. Approvals, warehouse moves and shop-floor status are outside the daily close.
Assume a 15-person service firm in Ontario: one corporation, no stock, invoices in CAD, payroll on Wagepoint. Xero prices Premium at CAD 80 per organization per month after the intro period, tax extra. Wagepoint Unlimited, as Xero states it, is CAD 40 per month plus CAD 6 per person, tax extra, and the Xero subscription is separate. Fifteen people on that formula is CAD 130 of Wagepoint plus CAD 80 of Xero, CAD 210 per month before tax. That firm can stay on cloud accounting. A cleaner chart of accounts spends less than a jump to ten full ERP users.
Ownr's Canadian roundup draws the same line: "Skip it if you need advanced inventory or multi-entity features." The headline subscription is a weak planning number. "The starting price isn't the full picture. Payroll, extra users, and receipt-scanning add-ons all add up."
A smaller file can stay too. A sole proprietor under the small-supplier line, billing in one province, can live inside a tight invoice cap. Xero Starter is CAD 25 per organization per month after the intro, limited to 20 invoices and 5 bills. New customers in Canada get 80% off the base plan for the first 3 months, shown as CAD 5, CAD 12 and CAD 16, with code DC8032614GL. Xero bills monthly and does not sell an annual prepay. A second currency means Premium, the plan that includes multiple currencies, at CAD 80. That step stays inside the same accounting product.
Intuit says over 200,000 Canadian small businesses chose QuickBooks. Volume on a landing page does not tell you whether your warehouse still fits. The caps below do.
Where QuickBooks Online, Xero and Sage 50 stop
User caps decide cloud accounting software for a small business faster than feature grids. QuickBooks Online Canada, as of October 2026, publishes this comparison:
- EasyStart (Users who count: 1 · What this tier adds: The base ledger)
- Essentials (Users who count: 3 · What this tier adds: Multi-currency and bill management)
- Plus (Users who count: 5 · What this tier adds: Inventory tracking, project profitability, class and location tracking up to 40)
- Advanced (Users who count: 25 · What this tier adds: Custom roles, unlimited classes and locations, workflow automation, batch invoices, revenue recognition, backup and restore)
Each plan includes one accountant seat that does not count toward the limit. A second legal entity needs a second QuickBooks Online subscription. Intuit's pricing FAQ describes no single-database consolidation product. A sales line, 1-888-908-3802 on the FAQ and also 1-888-908-8589, may offer a multi-company discount. Price that discount as a second subscription with a concession, and ask what the combined report will be. If the answer is an export to Excel, you still have two files.
Intuit no longer sells QuickBooks Desktop to new subscribers in Canada. Support for QuickBooks Desktop 2023 and older ends after 31 May 2026. If the company is still on that release, export the file while the login works. The support date is a desktop deadline. It does not pick the next product for you.
Xero's constraint is different. The Canada price page bills per organization: Starter CAD 25, Standard CAD 60, Premium CAD 80, tax extra, after the three-month intro. Starter stops at 20 invoices and 5 bills. Multiple currencies start on Premium. Ask Xero how many people can sign in on the plan you pay for, and get that number in writing. A second currency is a reason to move from Standard to Premium. Stock in two buildings is a different problem.
Sage 50 Accounting, Canadian Edition, is desktop software with cloud access around it. The help home published 10 June 2026 for Release 2026 covers expenses, invoices, payroll, inventory, payments, cash flow and taxes, and the English help links to a French set. Ask Sage for the current licence, user count and payroll module on a written quote. Until that quote arrives, treat the product as a desktop file you can reach remotely.
Signs the accounting package is too small
Match each sign to a limit you can show a salesperson. A general sense that the company has grown is a weak brief. A cap you have already hit is a strong one.
Assume a 40-person distributor on QuickBooks Online Plus. Plus allows 5 users plus the accountant seat. Class and location tracking stops at 40. The owner is about to buy a second company subscription for a related corporation. The warehouse keeps quantity in a spreadsheet because the people who count stock sit outside the 5-user cap. Advanced would lift the cap to 25 users and remove the class ceiling. It would still mean a second subscription for the second entity, and 25 named users still leave warehouse staff outside the file if everyone who counts stock has to post.
The same company on Xero Premium is paying CAD 80 per organization. That plan covers the books and extra currencies. Payroll stays in a separate app with a per-person fee. Premium is the plan that includes multi-currency. How Xero bills a second company was not confirmed in this pass. The published multi-entity rule we can cite is Intuit's: a second legal entity is a second QuickBooks Online subscription. Read Business Central for a company that has outgrown the ledger when you need the next product conversation.
Walk the file in this order.
- Count people who post or approve. Set the count beside 1, 3, 5 or 25 on QuickBooks, or beside the seat count Xero confirms.
- Count legal entities that need books of their own and a combined view for the owner.
- Count stock locations. Note any assembly or manufacturing step.
- List approvals that still happen in email.
- List provinces you shipped to last quarter, and whether invoices go out in USD as well as CAD.
- Name who files GST/HST, who files Quebec taxes if you have them, and who keeps the six-year record.
A single miss is often a higher plan or a payroll add-on. Entities plus stock plus a full user list are the case for a phased move. Our guide to small business ERP follows that size of company past the accounting file. Odoo accounting features are the matching read if the operational apps, not only the general ledger, are what you need next.
GST, HST and QST your file has to get right
Registration is a threshold, and the software does not make the judgment for you. Most Canadian businesses register once worldwide taxable supplies exceed CAD 30,000 in a single calendar quarter, or over the previous four consecutive calendar quarters. Charities and many public service bodies use a CAD 50,000 taxable-supplies test. Charities also face a CAD 250,000 gross-revenue test. A sole proprietor who crosses CAD 30,000 registers. A corporation that stays under the line can remain a small supplier. Incorporation status is a different question from the small-supplier test.
After you register, the rate follows place of supply. CRA's rate table, current with the Nova Scotia change on 1 April 2025, is the list to load into tax codes.
- Alberta, British Columbia, Manitoba, Northwest Territories, Nunavut, Quebec, Saskatchewan, Yukon (GST or HST: GST 5% · Provincial sales tax on the same CRA table: BC 7%, Manitoba 7%, Saskatchewan 6%, Quebec 9.975%. Alberta and the territories show no extra provincial sales tax on that table)
- Ontario (GST or HST: HST 13% · Provincial sales tax on the same CRA table: Combined in the HST)
- Nova Scotia (GST or HST: HST 14% · Provincial sales tax on the same CRA table: Combined in the HST)
- New Brunswick, Newfoundland and Labrador, Prince Edward Island (GST or HST: HST 15% · Provincial sales tax on the same CRA table: Combined in the HST)
If HST applies, the invoice shows the total HST rate and must not split the federal and provincial portions. Registrants need the specified invoice details to claim input tax credits. Collected GST/HST is held in trust for the CRA. Records that support the return are normally kept for six years from the end of the last year they relate to. Those invoice, trust and retention rules are on CRA's charge-and-collect page. If a reporting period begins in 2024 or later, the return is filed electronically.
Quebec needs a posted example before you trust a default code. CRA's table shows GST at 5% in Quebec and a 9.975% provincial rate beside it. Ownr flags the practical gap: "A quick note on Quebec: some platforms need manual setup for QST." Have the bookkeeper post one Quebec invoice, one Ontario invoice and one Alberta invoice on a copy of the file, then read the tax lines.
Odoo 18's Canada localization installs Canadian accounting reports and cheque printing, builds a chart of accounts, and creates one fiscal position per province and territory plus International. Odoo's own rule is that the tax follows the province of delivery, not the seller's warehouse, when the vendor delivers. The page includes a tax report and Canadian EFT batch files in the CPA005 format once the CPA005 payment module is installed. It describes preconfigured taxes and does not print the GST, HST or QST percentages. Confirm QST, provincial sales tax and the Nova Scotia 14% rate on your database before you import history.
Business Central's Canadian localization includes sales tax and GST reporting, unrealized sales tax, use tax, purchase tax, bank deposits, electronic payment files, and GIFI codes on posting accounts with an export to Excel for tax software. Microsoft's Canada page, dated 4 February 2025, lists no upcoming regulatory features under investigation. Ask anyway for a posted Nova Scotia invoice at 14%. A localization note can lag a rate change.
Payroll, T4s and Quebec employees
Source deductions in Canada are Canada Pension Plan contributions, Employment Insurance premiums, and federal or provincial income tax. Xero's Canada payroll page, describing the legal process, says employers open a payroll program account, remit by the CRA due date, and file T4s and T4As by the last day of February.
Xero Canada does not run pay inside Xero. Pay runs in a connected app. Xero names Wagepoint, Payment Evolution and Payworks. Wagepoint calculates CPP, EI and income tax, remits to the CRA, produces T4s and T4As, and supports Quebec employers, including a Revenu Québec payroll account and Health Services Fund remittances. Solo is CAD 20 per month plus CAD 4 per employee or contractor, tax extra. Unlimited is CAD 40 plus CAD 6 per person. Assume 25 people on Unlimited: CAD 40 plus CAD 150, which is CAD 190 per month before tax, on top of Xero.
QuickBooks Canada payroll is a paid add-on. Intuit says it calculates CPP, EI and federal and provincial income tax, can e-file and remit to the CRA or Revenu Québec, and prepares T4 and RL-1 forms. The tiers are Core, Premium and Elite. The page warns that some product features may be available in English only. Ask Intuit for the current add-on price before you set it next to Wagepoint. One Intuit customer testimonial on that page describes the old process in a single line: "Before, we were doing it through our bank, and that was way more confusing and time consuming."
Language needs a screen test. Business Central ships English (Canada) and French (Canada), and the Canada environment sits in the Canada Azure geography. Sage's help set includes French. QuickBooks payroll may leave some features in English only. Open a pay stub, a customer invoice and a vendor bill in the language your Quebec staff use, on the product you intend to keep.
What 10 to 25 users cost on Business Central and Odoo
The licence is the published half of the cost jump. As of October 2026, Microsoft's Canada price page lists Business Central Essentials at CAD 108.50 per user per month paid yearly, Premium at CAD 149.20, and Team Members at CAD 10.90, plus tax. The same plans on the US page are USD 80, USD 110 and USD 8. Microsoft says the figures are informational and the checkout price can differ. Purchase is through a Microsoft partner. A 30-day trial is free. Team Members can read data, approve workflows, and create or update selected information. Premium adds service management and manufacturing on top of Essentials.
For a single-entity distributor that does not manufacture, Essentials plus Team Members for approvers is the mix to price first. Premium belongs in the conversation when manufacturing or service management has to live in the same product.
- Essentials at CAD 108.50 (Monthly at 10 users: CAD 1,085 · Monthly at 25 users: CAD 2,712.50)
- Premium at CAD 149.20 (Monthly at 10 users: CAD 1,492 · Monthly at 25 users: CAD 3,730)
- Team Members at CAD 10.90 (Monthly at 10 users: CAD 109 · Monthly at 25 users: CAD 272.50)
The rows are 10 or 25 times the Canada list price. They leave out implementation, add-on apps and tax. Set Essentials beside Xero Premium at CAD 80 per organization. Ten Essentials users, CAD 1,085, are more than thirteen times that one organization fee. These rows are licence arithmetic only. Microsoft does not publish implementation fees on the pricing page, so that part of the quote is separate.
A mixed roster is the fairer figure. Assume 8 Essentials users who post orders, bills and journals, and 12 Team Members who approve and look up stock. Essentials is 8 times CAD 108.50, which is CAD 868. Team Members is 12 times CAD 10.90, which is CAD 130.80. The licence total is CAD 998.80 per month, paid yearly, before tax. Twenty Essentials seats would be 20 times CAD 108.50, CAD 2,170 per month, which overstates the bill if those 12 people only approve.
Odoo's pricing page, seen in US dollars as of October 2026, shows no CAD amount. Keep the quote in the currency Odoo displayed, and ask the seller for the CAD figure they will bill a Canadian company. Standard is a discounted USD 31.10 per user per month, against a monthly rate shown as USD 38.90, for all apps on Odoo Online. The discount lasts 12 months for the initial users ordered. Custom is a discounted USD 61.00 per user per month, against USD 76.20. Custom adds Odoo Online, Odoo.sh or on-premise, Studio, multi-company and the external API. A light user is USD 8.90, quoted by an advisor. Hosting, support and maintenance on the subscription are included. Implementation is billed separately, and Odoo.sh hosting is an extra charge on top of the Custom subscription.
At the discounted Standard rate, 10 users are USD 311 per month and 25 users are USD 777.50. Custom at the discounted rate is USD 610 and USD 1,525 for the same counts. Odoo's pricing FAQ says adding companies to a database moves the subscription to the Custom plan, which is the plan that includes multi-company. The same FAQ says the One App Free plan allows multiple companies. Ask which database you would run before you pick a plan.
One App Free is USD 0 for one app and unlimited users on Odoo Online. It fits a company that can live in a single app. Inventory plus invoicing means a paid plan.
What you pay for beyond the subscription
Odoo publishes Success Pack prices for blocks of consultant hours. New-customer packs are USD 493 for 4 hours, USD 3,060 for 25 hours, USD 5,950 for 50 hours, USD 10,625 for 100 hours and USD 21,250 for 200 hours. Returning-customer prices are USD 580, USD 3,600, USD 7,000, USD 12,500 and USD 25,000. Odoo says companies under 50 employees usually use these packs, and companies over 50 usually use a partner. Above 50 users, Odoo tells the buyer to make contact. Odoo also says 80% of projects in that scope go live in 200 hours or less, and that it does not publish a fixed implementation price beyond the packs. Partners charge per day.
Treat the packs as Odoo's hour menu for the companies it describes as typically under 50 employees. A 200-hour new-customer pack at USD 21,250 is the top of that menu. Ask any bidder to price data migration, tax configuration, a payroll parallel run and training as separate lines. A messy Sage 50 history or two QuickBooks companies will not price itself from the pack table.
Our target for a first usable phase is 8 to 12 weeks. That figure is ours, for a phase cut to the close, the tax codes and the stock locations you can already count.
History needs a written scope. Keep the old file readable across the six-year record window. Bring across open customers, open vendors, open items, the trial balance and the tax codes you have proven on sample invoices. Leave closed years in the old system when a full import would blur them. "Migrating from a free platform to a paid one is more work than most people expect." An ERP cutover repeats that work on opening balances, tax and the documents still in flight on the weekend you switch. The desktop support end date, after 31 May 2026 for QuickBooks Desktop 2023 and older, is a reason to take the export while the old login still opens.
How to choose and what to bring
Stay if you look like the 15-person service firm: one entity, payroll already in Wagepoint or QuickBooks payroll, users inside QuickBooks' published cap or the seat count Xero or Sage confirms in writing, and tax codes reconciled to the CRA table, including Nova Scotia at 14% and Quebec at 5% plus the 9.975% provincial rate. Move if you look like the 40-person distributor: a hard user cap, a second company file on the way, and stock the ledger does not control.
Bring these answers to the first working session.
- Which named people need a full user, and which only approve? Price Team Members at CAD 10.90, or an Odoo light user at USD 8.90, before you accept a quote that licences every employee as a full user.
- How many legal entities will post this year, and who needs one combined view?
- Which provinces did you ship to last quarter? Can you show one invoice for each rate?
- Where will T4s, T4As and any RL-1s be produced in the first year after a move?
- Who can still open the old file during the six-year retention window?
- Which Monday-morning reports are spreadsheets today?
Your accountant files the return, so their working preference belongs in the decision. Ownr puts the question the way owners hear it: "Does your accountant or bookkeeper have a platform preference?" A preference for QuickBooks or Xero supports staying while the five conditions at the top of this page still hold. It carries less weight once Plus is out of users, classes and company files.
When the checklist says the package is too small, the next step is a phase plan with a licence floor under it. An Odoo rollout phased around finance and operations fits when you want the operational apps on one subscription and you can hold the USD list until a seller converts the bill to CAD. Finance implementation for the close, the tax codes and approvals fits when that slice hurts this quarter and the warehouse can wait. Either path starts with the people, the entities and a sample invoice from each province you ship to.

Frequently asked questions
What is the best accounting software for a small business in Canada?
There is no single product that wins for every Canadian firm. A 15-person service company with one entity, no stock and payroll in an add-on the bookkeeper already runs can stay on Xero or QuickBooks Online. A distributor that has hit a user cap, is opening a second company file and tracks stock in a spreadsheet is past an accounting plan and should price Business Central or Odoo.
Does cloud accounting software automatically calculate GST and HST?
The software applies the tax codes you set up. It does not decide whether you have crossed the CAD 30,000 small-supplier line, and it does not know place of supply unless the codes follow the CRA table. HST has to appear as one combined rate. Post a sample invoice for Quebec, Ontario, Alberta and Nova Scotia and read the tax lines before you rely on the file.
Can my accountant or bookkeeper access my cloud accounting software?
QuickBooks Online Canada includes one accountant seat on each plan, and that seat does not count toward the user limit. Xero and Sage sign-in for an outside bookkeeper depends on the subscription you buy, so ask them to show the login on your file. Payroll often sits in a separate app, which means a second user setup for Wagepoint or the QuickBooks payroll add-on.
What is the best free cloud accounting software in Canada?
Odoo publishes One App Free at USD 0 for one app and unlimited users on Odoo Online. That fits a business that can live inside a single app. The moment you need invoicing and inventory together, you are on a paid plan. Moving from a free file to a paid one takes more cleanup than most owners expect, so export a trial balance before you switch.
Is cloud accounting software safe for storing my business data?
You still own the six-year record duty: supporting documents are normally kept for six years from the end of the last year they relate to. Business Central's Canada environment is deployed in the Canada Azure geography. For QuickBooks, Xero and Odoo, ask where the database is hosted, who can export it, and how you will keep read access to the old file after a move. GST/HST returns for periods that begin in 2024 or later are filed electronically.
Are you a sole proprietor or incorporated?
GST/HST registration follows taxable supplies, not the legal form. A sole proprietor who goes over CAD 30,000 in a quarter, or over four consecutive quarters, registers. A corporation under that line can remain a small supplier. A second corporation is a separate set of books. On QuickBooks Online that means a second subscription, and any multi-company discount is something you ask the sales line to price.
Can I purchase multiple QuickBooks accounts at a discount?
Intuit says each legal entity needs its own QuickBooks Online subscription. The pricing FAQ points to a sales line at 1-888-908-3802, and also 1-888-908-8589, that may offer a multi-company discount. Ask for the discount in writing and ask how you will see both companies in one report. The same FAQ does not describe a single-database consolidation product.
Does it work for employees in Quebec?
Quebec payroll is a separate setup from GST on the invoice. Wagepoint, which Xero names as a connected payroll app, supports a Revenu Québec payroll account and Health Services Fund remittances. QuickBooks payroll can remit to Revenu Québec and prepares RL-1 forms, with a warning that some features may be available in English only. Run a French pay stub and a Quebec invoice on the product you plan to keep.
