FreshBooks vs QuickBooks: where each stops fitting

FreshBooks is the better first system for a solo service business that bills time, and a small team logging hours stays cheaper on it.

FlecticUpdated 16 min read

FreshBooks is the better first system for a solo service business that bills time, and a small team logging hours stays cheaper on it. Premium with five seats is USD 114 against QuickBooks Plus at USD 140 as of October 2026, on the FreshBooks US pricing page and Intuit's US pricing page. QuickBooks is the pick for inventory, purchase orders, and accounting depth, and its payroll is a same-file bundle that lists higher than a FreshBooks plan plus Payroll. FreshBooks Lite, at USD 23 list or USD 1 the first year, is the lowest unlimited-invoice plan, and QuickBooks Free is USD 0 only while a 2-invoice limit applies.

Every figure below is list price first, with the promotion sitting beside it, because the promo is what most pages quote and the list is what you pay once it ends. The two caps that decide most purchases sit in the tables too.

What FreshBooks and QuickBooks cost per month in 2026

Both vendors publish list prices and run promotions at the same time, which is why two comparison pages can quote different numbers, both from real screens. The tables keep the two apart, using the US pricing pages as they stood in October 2026.

FreshBooks plans:

  • Lite (List price per month: USD 23 · Promo in October 2026: USD 1 per month for the first year · Billable clients: 5)
  • Plus (List price per month: USD 43 · Promo in October 2026: 80% off for 3 months (USD 8.60) · Billable clients: 50)
  • Premium (List price per month: USD 70 · Promo in October 2026: 80% off for 3 months (USD 14) · Billable clients: Unlimited)
  • Select (List price per month: Quote only · Promo in October 2026: Custom · Billable clients: Unlimited)

FreshBooks prices each plan for one business, invoices are unlimited on every listed plan, and the cap counts billable clients. Three add-ons matter for a growing team: a seat at USD 11 per user per month on every plan, Payroll at USD 40 per month plus USD 6 per user per month, and Advanced Payments at USD 20 per month, which Select includes along with 2 team-member accounts. Prices and caps: FreshBooks Pricing, Lite, Plus and Premium Packages, October 2026.

QuickBooks Online plans:

  • Free (List price per month: USD 0 · Promo in October 2026: None · Users included: 1)
  • Simple Start (List price per month: USD 38 · Promo in October 2026: USD 19 per month for 3 months · Users included: 1, plus 2 accountants)
  • Essentials (List price per month: USD 85 · Promo in October 2026: USD 42.50 per month for 3 months · Users included: 3, plus 2 accountants)
  • Plus (List price per month: USD 140 · Promo in October 2026: USD 70 per month for 3 months · Users included: 5, plus 2 accountants)
  • Advanced (List price per month: USD 340 · Promo in October 2026: USD 170 per month for 3 months · Users included: 25, plus 3 accountants)

Accountant seats sit outside the user count on every paid plan, and paid plans advertise invoicing without the 2-invoice cap that constrains the Free tier. Intuit states that paid plans carry no annual contract and can be cancelled anytime; checkout shows a 10% discount for annual payment while the page publishes no annual dollar figure, so ask for that number in writing before you prepay a year. Prices, caps, and policy: QuickBooks Online Pricing & Free Trial, October 2026.

The Free plan carries its own catch. It limits you to 2 invoices per month unless the account enables QuickBooks Payments, connects one bank, and goes without accountant access.

Why comparison pages disagree

Intuit's own FreshBooks vs QuickBooks comparison says its FreshBooks prices were taken from the FreshBooks site on November 1, 2025 and may reflect introductory discounts, which puts them well under the USD 23, USD 43, and USD 70 that FreshBooks listed in October 2026. Review pages drift the same way in both directions. When a figure is about to decide a purchase, open the vendor's live pricing page and work out whether you are reading a promo or the ongoing rate.

Which plan fits: the short version

Eight situations cover most buyers of these two tools. The table gives the pick and the fact that settles it, and the sections below carry the numbers behind each row.

  • Solo freelancer billing a few clients (Lean toward: FreshBooks Lite · The fact that decides it: USD 23 list, or USD 1 the first year: the lowest plan with unlimited invoices and time tracking)
  • Service firm up to 50 clients sending proposals or retainers (Lean toward: FreshBooks Plus · The fact that decides it: Proposals and retainers start on Plus; 50 billable clients)
  • Accountant access on the lowest paid plan (Lean toward: QuickBooks Simple Start · The fact that decides it: FreshBooks gates accountant access at Plus (USD 43); Simple Start lists at USD 38 with 2 accountant seats)
  • You buy and sell products or hold stock (Lean toward: QuickBooks Plus · The fact that decides it: Inventory tracking and purchase orders sit on Plus and Advanced only)
  • Three or more people logging billable time (Lean toward: FreshBooks · The fact that decides it: Unlimited time tracking on every plan; five seats on Premium list at USD 114 against Plus at USD 140)
  • Department or class reporting (Lean toward: QuickBooks Plus · The fact that decides it: Classes and locations, up to 40, start on Plus at USD 140)
  • Custom permissions or an approval chain (Lean toward: QuickBooks Advanced · The fact that decides it: Custom permissions, workflow automation, and bill-pay approvals are on Advanced (USD 340))
  • A second company with its own books (Lean toward: Neither tool, on its own · The fact that decides it: One subscription runs one company; see the last section)

How client limits and user seats differ

FreshBooks limits how many billable clients a plan can carry, while QuickBooks limits how many people can log in. Most plan decisions below trace back to that one design difference.

FreshBooks counts distinct billable clients: 5 on Lite, 50 on Plus, unlimited on Premium and Select, while invoices stay unlimited on every plan (FreshBooks pricing). Four hundred invoices to three clients fits on Lite, and the wall arrives when client 6 signs. Fit Small Business's review of user feedback includes a wish that the entry plan supported more than 10 billable clients, well above the five it ships with (Fit Small Business). If your client list turns over quickly, ask FreshBooks whether inactive clients still count before you settle on Lite.

QuickBooks Online sets no published client cap; its limits are people (QuickBooks Online pricing). The Free plan and Simple Start include 1 user, Essentials 3, Plus 5, and Advanced 25. Accountant access is separate: 2 accountant seats on the lower paid plans and 3 on Advanced, which Intuit describes as additional to your user count. A bookkeeper or CPA therefore plugs in at no seat cost on QuickBooks' paid plans. On FreshBooks, accountant access starts at the Plus plan, and teammates run USD 11 per user per month on every tier, with Select including 2 accounts.

Seat economics diverge with every hire. FreshBooks adds USD 11 per month per teammate on every plan. QuickBooks includes a fixed user count, so user 6 leaves Plus at USD 140 and lands on Advanced at USD 340. At that jump, FreshBooks Premium for six people is about USD 125, and each later USD 11 seat narrows the gap.

Where FreshBooks is the better fit

Time tracking is the headline. Every FreshBooks plan includes unlimited time tracking, from Lite at USD 23 per month (USD 1 per month for the first year), and logged hours can be billed onto invoices (Fit Small Business). For a solo consultant whose month runs hours, invoice, payment, the entry plan carries the whole cycle. QuickBooks reaches employee time on invoices at Essentials, USD 85 at list (QuickBooks Online pricing).

Client-facing work is the second strength. Proposals and client retainers start on Plus, project budget and billing sits on all four plans, and reviewers highlight "Customizable invoices" and "Easy to set up and use" as the recurring praise (Fit Small Business). A five-person agency billing 30 clients runs FreshBooks Plus with 4 seats at USD 87 per month at list, covering estimates, hours, retainers, and per-project billing in one subscription.

Where QuickBooks is the better fit

Accounting depth arrives earlier. FreshBooks gates double-entry accounting reports, bank reconciliation, and accountant access behind its Plus plan at USD 43 (FreshBooks pricing), while QuickBooks includes accountant seats on paid plans from Simple Start at USD 38 (QuickBooks Online pricing). If an outside bookkeeper closes each month, that difference repeats every month.

Products and stock settle the question outright. Inventory tracking with quantities, purchase orders, low-stock alerts, and product cost tracking is available in QuickBooks Online Plus and Advanced only (Intuit's inventory page). Intuit's comparison marks FreshBooks inventory as unavailable, and Fit Small Business reports that FreshBooks cannot track inventory cost or COGS, cannot create purchase orders, and does not print checks (Intuit comparison; Fit Small Business). If your services business also sells product, QuickBooks Plus at USD 140 per month is the realistic floor.

Structure and control scale on the upper plans. Essentials adds employee time on invoices at USD 85. Plus, at USD 140, adds project profitability, budgets, and classes and locations (up to 40), which covers department or class reporting. Advanced at USD 340 adds unlimited classes and locations, custom KPIs, custom user permissions, workflow automation, and free 1099 e-filing with bill-pay approval workflows (QuickBooks Online pricing). Custom permissions or an approval chain is what moves a firm to Advanced.

Payroll and card processing, priced

Payroll and payment fees sit under the plan price, and they move the monthly total more than most plan differences. Price them before you choose.

FreshBooks payroll vs QuickBooks bundles

FreshBooks sells Payroll as an add-on: USD 40 per month plus USD 6 per user per month, on top of any plan (FreshBooks pricing). QuickBooks sells payroll bundled with the accounting plan and runs it inside the same company file: Workforce Payroll plus Simple Start lists at USD 88 per month plus USD 6.50 per employee, the Essentials bundle lists at USD 125 plus USD 6.50, and the Premium payroll tier plus Plus lists at USD 203 plus USD 10 per employee (Intuit's payroll pricing). Those are bundle prices. If you already pay for QuickBooks Online on its own, ask Intuit what payroll adds to an existing subscription before you assume the bundle number applies.

For the five-person firm in the next section, FreshBooks Payroll would add USD 70 per month (USD 40 plus 5 employees at USD 6), and the QuickBooks Premium payroll bundle with Plus would list at USD 203 plus USD 50 for the same team.

Card and ACH rates

QuickBooks Payments publishes its standard rates, dated September 18, 2026:

  • Invoiced cards and digital wallets: 2.99%
  • ACH bank transfer: 1%
  • In person: 2.5%
  • Keyed-in card: 3.5%
  • Instant deposit: 1.75%

Rates are per transaction, with no monthly payments fee listed on that page (Intuit's payment rates). At 2.99%, USD 10,000 of monthly invoiced card payments carries about USD 299 in fees, which can pass the software line on the same bill. FreshBooks' pricing page does not publish card or ACH percentages, so request current rates in writing before you route card volume through either tool. One hardware note: Intuit's comparison says FreshBooks has no card reader, which matters if you take payments in person (Intuit comparison).

What a five-person services firm pays

Assume a five-person consultancy: the owner runs the books and four consultants log time and send invoices, each needing a login. Payroll and processing fees stack on top of both columns.

  • Base plan, list (FreshBooks Premium: USD 70 · QuickBooks Online Plus: USD 140)
  • Seats (FreshBooks Premium: 4 extra at USD 11 (USD 44) · QuickBooks Online Plus: 5 users included)
  • Accountant access (FreshBooks Premium: Included on Premium · QuickBooks Online Plus: 2 accountant seats included)
  • Monthly total, list (FreshBooks Premium: USD 114 · QuickBooks Online Plus: USD 140)
  • First 3 months on promo (FreshBooks Premium: USD 58 · QuickBooks Online Plus: USD 70)

Prices from FreshBooks pricing and QuickBooks Online pricing, October 2026.

At list price, FreshBooks Premium with five seats costs USD 114 against QuickBooks Plus at USD 140, and the first three promo months favor FreshBooks again (USD 58 against USD 70). If the firm needs a Plus feature, such as proposals, retainers, or up to 50 billable clients, Plus with 4 seats is USD 87. Time tracking and invoices alone are already on Lite, so four extra seats there are USD 23 plus USD 44, which is USD 67. Headcount changes the picture because the tools grow differently. FreshBooks keeps adding seats at USD 11 each. Six users on Premium is USD 70 plus five seats, about USD 125, against Advanced at USD 340. Ten users on Premium is USD 169, about USD 171 under Advanced. FreshBooks is the cheaper way to keep that team logging time. The gap is the one-time jump at user 6, and each later FreshBooks seat narrows it.

What reviewers and users report

Fit Small Business's comparison, updated May 29, 2026, collects the ratings and the recurring themes (Fit Small Business):

  • Capterra (FreshBooks: About 4.5 of 5 (about 4,400 reviews) · QuickBooks Online: 4.3 of 5 (about 6,500 reviews))
  • G2 (FreshBooks: 4.5 of 5 (725+ reviews) · QuickBooks Online: 4.0 of 5 (about 3,300 reviews))

QuickBooks' own site cites 4.3 of 5 from more than 6,700 Capterra reviews, so the two tools sit within half a star of each other on both platforms (Fit Small Business). The themes match the feature split above: FreshBooks is framed as built mainly for service businesses and freelancers, setup ease and invoice customization draw the standing praise, and support waits draw the standing complaint, summarized as "long waiting times when contacting an agent" (Fit Small Business).

Signs you have outgrown both

Plan prices decide this month. A seat-price gap and an approval step still have answers inside these subscriptions. User 6 on FreshBooks Premium is about USD 125 against QuickBooks Advanced at USD 340. Invoice or bill approval is a QuickBooks Advanced feature at USD 340, and FreshBooks has no documented equivalent on Premium or Select (QuickBooks Online pricing, FreshBooks pricing).

Two situations are where both stop answering. Neither applies to a solo freelancer with a short client list.

  1. A second company. Fit Small Business's roundup records FreshBooks users who "have to buy separate subscriptions for each of the companies they manage" (Fit Small Business). Intuit's own step above Online Advanced is Intuit Enterprise Suite, aimed at multi-entity organizations that need heavy project costing in construction or services, and QuickBooks Desktop Enterprise scales to 40 users (QuickBooks Online pricing). One company per subscription is the design limit on both sides.
  2. Project costing that invoices cannot answer. When profitability questions span many people and phases, a time-and-invoice tool stops answering them, which is why Intuit points heavy project costing at its enterprise tier (QuickBooks Online pricing). Online Advanced stays capped at 25 users, so the enterprise step is what Intuit names for that work.

An ERP question comes up only when the firm has a second company, or project costing across many people and phases, that neither subscription answers.
