QuickBooks to Odoo migration: choose the platform, then the move

A QuickBooks to Odoo migration is the right move when your stock, production or project work has outgrown QuickBooks and one database should carry it next to accounting.

A QuickBooks to Odoo migration is the right move when your stock, production or project work has outgrown QuickBooks and one database should carry it next to accounting. Choose the platform before you plan the data, because Business Central suits finance-led teams that live in Microsoft 365, and Odoo suits teams that want inventory, manufacturing or projects in the same database as the ledger. Flectic implements both Odoo and Microsoft Dynamics 365 Business Central, so we can run either migration. If QuickBooks still sits within its user, entity and account limits, the move can wait.

Check whether QuickBooks has reached a limit

Intuit's usage limits for QuickBooks Online set the hard caps for each plan. Billable users are the first test, because a company that grows past them has to change plan or change system.

  • Simple Start (Billable users: 1 · Accountant firm users: 2 · Chart of accounts: Up to 250 accounts)
  • Essentials (Billable users: 3 · Accountant firm users: 2 · Chart of accounts: Up to 250 accounts)
  • Plus (Billable users: 5 · Accountant firm users: 2 · Chart of accounts: Up to 250 accounts)
  • Advanced (Billable users: 25 · Accountant firm users: 3 · Chart of accounts: Unlimited)

QuickBooks Desktop Enterprise supports up to 40 users on its top edition, with a license for each unique user, according to Intuit's Enterprise page. For a company of 20 to 100 people, the user cap is the point where the destination question stops being theoretical. Going past it on Plus or Advanced is a plan change, and it is also the moment to compare platforms.

If you have one legal entity, your users fit under the cap, stock sits in one location and month-end takes a few days, staying put can be the right call for now. Our guide to when to move from QuickBooks to an ERP sets out the same thresholds in more detail. Check them again when you add a location, an entity or a set of users.

Choose the destination with five tests

Answer each test for your own company. Where most answers point the same way, that is your platform. Where they split, the finance lead's priority usually decides, because the ledger has to be right on cutover day.

  • Microsoft 365 use (Points to Business Central: Finance, sales and reporting already run in Outlook, Excel, Teams and Power BI · Points to Odoo: The team uses Microsoft 365 for email, and the ERP can sit beside it)
  • Inventory and manufacturing (Points to Business Central: Stock in one or two locations, mostly bought and resold · Points to Odoo: Bills of materials, work orders, several warehouses or shop-floor scheduling)
  • Budget per user (Points to Business Central: Many users need only light access, which Team Member seats cover · Points to Odoo: Most users need full access, and the per-user license is the main budget line)
  • Legal entities (Points to Business Central: Several entities that need consolidated finance and shared approvals · Points to Odoo: Several operating companies that share one database and one set of apps)
  • In-house IT (Points to Business Central: Your IT team already runs Microsoft 365 and Azure · Points to Odoo: Someone inside the company can own apps, custom fields and connectors after go-live)

Treat these as working rules. A single answer that points strongly one way, such as a shop floor that runs on live machine data, can outweigh the rest.

Two examples show how the tests combine. Assume a distributor of 30 people with two warehouses, one legal entity, and Outlook and Excel in daily use. Stock and sales sit in the finance team's hands, and the distributor's buyers already build reports in Excel and Power BI. The tests lean toward Business Central, and the first phase is finance, purchasing and inventory on the same ledger.

Now assume a manufacturer of 45 people with one plant, shop-floor scheduling, and three operating companies that share suppliers. Work orders, bills of materials and stock per machine all sit in one database, and each company needs its own books. The tests lean toward Odoo, and the first phase starts with production and inventory before the second company is added.

Flectic is an independent consultancy that implements both Odoo and Microsoft Dynamics 365, and we earn no vendor quota on either. We hold no certification from either vendor, so the recommendation follows your criteria. Our ERP selection service compares budget, integrations, reporting and in-house capacity on both platforms during discovery, then gives you a written recommendation before any configuration starts.

Where Flectic fits

Flectic sits between the two destinations this post compares. We implement both Odoo and Microsoft Dynamics 365 Business Central, we earn no vendor quota on either, and we hold no certification from either vendor. The five tests above decide the platform, and we put the recommendation in writing before any configuration starts.

Choose Flectic if

  • You run a company of 20 to 100 people in the US or Canada and have not yet picked between Odoo and Business Central.
  • You want the same senior consultant from discovery to launch.
  • You want opening balances, open invoices and bills scoped as their own line before you compare bids.

Look elsewhere if

  • You need a partner certified by Microsoft or Odoo.
  • You have already chosen Business Central and want the largest specialist bench for it.
  • QuickBooks still sits inside its user, entity and account limits, so staying put costs less.

Our ERP selection service runs the comparison after a free discovery call and puts the recommendation in writing.

What each platform costs to run

Microsoft's Business Central pricing page lists Essentials at USD 80 per user a month, Premium at USD 110 and Team Member at USD 8, all billed yearly. Assume 12 full users on Essentials and 13 Team Members. The license line comes to USD 12,768 a year: 12 users at USD 80 for 12 months is USD 11,520, and 13 Team Members at USD 8 for 12 months is USD 1,248.

Odoo also prices per user. Its pricing page lists Standard from USD 24.90 per user a month on yearly billing in year one, then USD 31.10. These are vendor list prices, not Flectic fees. The page lists Standard and Custom plans per user, and it states that implementation services and maintenance of custom code are not included. Run the same headcount through Odoo's current price for each plan, then add the costs the license leaves out.

Those costs usually come from five places:

  • Chart of accounts cleanup. Dormant, duplicate and unused accounts add hours before any import starts.
  • Tax setup. Every jurisdiction needs its tax codes mapped and tested. In Canada, tax rates and what is taxable vary by province and territory, and Odoo's Canadian localization creates default sales and purchase taxes and a fiscal position for each province and territory.
  • Payroll and bank feeds. A ledger migration does not carry them, so each one needs its own replacement plan.
  • Integrations. Store, payment, carrier and Microsoft 365 connections each need field mapping, testing and a named owner.
  • Training and the parallel close. Budget the hours your team spends on the new screens and checking the old and new ledgers side by side.

Ask every bidder to price data migration as its own line, so the cleanup and cutover work is visible before you compare totals.

What moves from QuickBooks to Odoo

Odoo imports contacts, products, journal entries and other records from CSV or Excel files. Its export and import guide says imports are permanent and cannot be undone, and it advises running large files in smaller batches. Give each record a stable ID, so that a corrected file can be re-run as an update instead of creating duplicates.

  1. Choose the cut-off date. A fiscal year start or a quarter end gives you a closed period to load. Odoo's year-end closing guide covers the pre-closing checklist, lock dates and current year earnings, which you need to understand before you decide what the opening trial balance holds.
  2. Clean the masters. Remove dormant and duplicate customers, vendors and items. Account codes must be unique in each chart of accounts, so fix any collisions before the import.
  3. Separate balances from history. Odoo's accounting guide lists the opening entries as open invoices and bills, the inventory count, the trial balance, and bank and credit card transactions. Closed history stays in QuickBooks reports or a read-only archive, which keeps the import small and the opening balances easy to reconcile.
  4. Import in order and test on a copy. Load contacts and items first, then the trial balance, then the open invoices and bills. Receivables and payables are the usual double count, because they appear in the trial balance and again in the open documents. Keep one source for each balance, or route the difference through a clearing account, and check the totals before you post.
  5. Reconcile before anyone relies on the numbers. The trial balance should agree to the receivables and payables aging, the bank should match the statements, and the stock value should match the inventory count. Then run one parallel month-end close with QuickBooks still open for comparison.

The Odoo implementation service starts with a free discovery call and a written proposal with a fixed price for each phase. For the feature side of the choice, read our Odoo versus QuickBooks comparison.

What the Business Central migration moves, in brief

Microsoft's QuickBooks Online migration extension moves customers, vendors, items, the chart of accounts, the beginning general ledger balance, on-hand inventory quantities and open customer and vendor documents. It migrates full amounts on sales and purchase documents, so a partly paid invoice arrives at its full value and the partial payments have to be entered by hand. It does not migrate sales orders or purchase orders. Migrated transactions arrive as Unposted, tax accounts must exist before tax amounts can post, and beginning balances need checking, because QuickBooks Online does not store the current balance for every account.

The extension runs from the Data Migration assisted setup guide inside Business Central, so the new environment and its users have to exist before the first load. The step-by-step migration guide covers the full Business Central sequence, from the freeze to the parallel close. The questions are the same as on the Odoo side: which balances move, which documents stay behind and who checks the result.

Mistakes that delay a QuickBooks cutover

Three mistakes add the most time to a QuickBooks move. The first is loading balances before the chart of accounts is settled. Every account change after a load means reloading balances and rerunning the reconciliation, and an Odoo import cannot be undone, so the reload has to be planned rather than improvised. The second is loading closed history as if it were an opening balance, which doubles the volume your team has to check before go-live.

The third is leaving tax configuration to the end. A tax code that is missing on cutover day blocks posting for every document that uses it, and Business Central will not post tax amounts until the tax accounts exist. Map every jurisdiction in the first phase, then test one invoice per tax code before the freeze date.

Pick the first phase by the cost of the problem

A first phase should fix the problem that costs the most, not the one that is easiest to load. On Odoo, the usual pattern is to implement one app at a time on the same database, starting with the apps that remove the most manual work, such as order entry tied to inventory or project billing. On Business Central, the usual first phase is the finance foundation: the general ledger, receivables, payables, dimensions, bank reconciliation and opening balances reconciled before go-live.

Either way, the first phase should end with a month-end close that runs on the new system. A company that moves inventory first and leaves the ledger on QuickBooks keeps two sources of margin, which is the problem the move was meant to remove. Write the phase boundary into the scope document, and name the reports that must be right before the next phase starts.

Cutover timing and cost drivers

Most cutovers land on a fiscal year start or a quarter end, because the opening balances then sit on a closed period. Cleanup usually sets the calendar more than the import does, so start the chart of accounts and customer cleanup before you pick the freeze date. Plan one parallel month-end close, and do not retire QuickBooks until its reports for the last closed period are saved.

How Flectic can help

Bring the QuickBooks facts you already have: user count, chart of accounts size, how stock is tracked and how long month-end takes. We run the five tests above against both platforms, then give you a written recommendation of Odoo or Business Central before any configuration starts.

Flectic sends a written proposal with a fixed price for each phase before work starts. It ends with process maps and a written scope for the first phase. Ask for the opening balances and the open invoices and bills to be scoped as their own lines. Read how the ERP selection service works. Book a free discovery call.

Frequently asked questions

Can we import QuickBooks data into Odoo ourselves?

Yes, if the data is clean and someone can reconcile the result. Odoo imports contacts, products, journal entries and other records from CSV or Excel files, but imports cannot be undone, so test each file on a copy of the database first. Companies with a tidy ledger and an accountant who checks the trial balance often run the import in-house.

How many users does QuickBooks Online Plus support?

QuickBooks Online Plus supports five billable users, and Advanced supports 25. Essentials supports three billable users and Simple Start supports one. Accountant firm users are counted separately, and the plan limits are listed on Intuit's usage limits page.

Should we migrate closed history from QuickBooks?

Usually no. Most projects load the trial balance and the open items at a cut-off date and keep closed history as saved reports or a read-only archive. That keeps the import smaller and makes the opening balances easier to reconcile.

Is Odoo cheaper than Business Central?

On list price, yes. Odoo Standard starts at USD 24.90 per user a month on yearly billing in year one, and Business Central Essentials is USD 80 per user a month billed yearly. These are vendor list prices, not Flectic fees. The license is only part of the cost, so compare three-year totals that include apps, integrations, implementation and training, using written quotes.

How long does a QuickBooks to Odoo migration take?

Flectic's Odoo industry packages are proposed at 8 to 28 weeks across Core and Growth tiers. A first phase outside the packages gets its own timeline in the written proposal.

How long should we keep QuickBooks open after cutover?

Keep a read-only copy until the first parallel month-end close is signed off and the reports your auditor or tax preparer needs are saved. Parallel comparison catches balance differences while they are still cheap to fix. Archive the file only after both steps are complete.
