ERP compared: Odoo, Business Central, NetSuite and Acumatica

A 30 to 100 person company in the US or Canada can score Odoo, Business Central, NetSuite and Acumatica before a second implementation.

A 30 to 100 person company in the US or Canada can score Odoo, Business Central, NetSuite and Acumatica before a second implementation. As of October 2026, Business Central Essentials lists at USD 80 per user per month, paid yearly, and Premium lists at USD 110 when manufacturing or service management is in scope. Odoo Standard shows USD 24.90 per user per month on the yearly toggle for the first 12 months, and a paid database moves to Custom at USD 49 if you add companies or install Studio. NetSuite and Acumatica publish no per-user figure, so they stay off the spreadsheet until a written quote arrives.

Take two platforms to demo, and only after the license tier matches how you invoice, stock and file tax. The pages that rank for a broad ERP comparison mostly define the category. They do not show this license math, a 30-user year, or Canadian GST/HST setup next to US 1099 and NACHA files.

What each vendor publishes per user as of October 2026

Published list price is the only number you can check without a salesperson. Microsoft and Odoo print one. Oracle NetSuite and Acumatica do not, as of October 2026. Ask each of those two for a written license schedule before you give them a demo slot. A walkthrough without that page is a product tour, and the budget still has a hole in it.

Microsoft's US page, seen October 2026, lists three Business Central seats, paid yearly:

  • Essentials (USD per user per month: 80.00 · What the seat is for: The base full user)
  • Premium (USD per user per month: 110.00 · What the seat is for: Essentials plus service management and manufacturing)
  • Team Members (USD per user per month: 8.00 · What the seat is for: Limited read, approval and selected create or update access)

The same seats on the Canada pricing page, plus applicable tax:

  • Essentials: 108.50
  • Premium: 149.20
  • Team Members: 10.90

Microsoft says "Prices shown are for informational purposes only and may not be reflective of actual list price." Currency, country and regional variant can change the checkout figure. Online licenses are bought through a Cloud Solution Provider, which the licensing guide describes. The US pricing page tells buyers to "Contact a partner to purchase or to get an assessment, consulting services, or additional pricing."

Odoo's pricing page, rendered in US dollars in October 2026 even for a Canada view, shows:

  • One App Free (Display price: USD 0 · What you are buying: One app, unlimited users, Odoo Online)
  • Standard, yearly toggle (Display price: USD 24.90 per user per month · What you are buying: All apps on Odoo Online, with the yearly toggle showing an undiscounted figure of USD 31.10 beside the discounted price and a monthly display of USD 38.90)
  • Custom, yearly toggle (Display price: USD 49.00 per user per month · What you are buying: Odoo.sh or on-premise, Studio, multi-company, external API, and the feature Odoo labels agentic AI, with the yearly toggle showing an undiscounted figure of USD 61.00 beside the discounted price and a monthly display of USD 76.20, and with Odoo.sh hosting billed extra)
  • Light User (Display price: USD 8.90 · What you are buying: Quoted by an Odoo advisor, not a public checkout)

The yearly discount is valid for 12 months for the initial users ordered. The pricing page shows US dollars, so a Canadian buyer should ask the advisor to restate the same plan in CAD before signing. Light users cover self-service work such as time off, expenses, appraisals, attendances, planning, field service, inventory barcode, payslips, point of sale and the manufacturing shop floor. They are not a substitute for someone who posts invoices or changes stock rules.

Acumatica publishes industry editions for general business, manufacturing, construction, distribution, professional services and retail, including multi-entity and intercompany accounting. Those pages describe the editions and do not list a license fee. Wikipedia records that Vista Equity Partners agreed to acquire Acumatica from EQT in a USD 2 billion deal reported on 29 May 2025. That figure is the reported deal size. Ask Acumatica to price the edition, the resource count and the multi-entity module in writing before you treat it as a demo candidate.

What 30 full users cost for a year on published lists

Assume 30 full users, one legal entity, distribution with no manufacturing and no service work orders, and yearly billing. Team Members and Light Users are extra seats in a later line. They are not inside the 30.

Business Central Essentials in the US is 30 times USD 80, which is USD 2,400 per month and USD 28,800 per year at the October 2026 list. Premium is 30 times USD 110, which is USD 3,300 per month and USD 39,600 per year. The manufacturing and service tier costs USD 10,800 more per year for the same 30 people.

In Canada the same 30 Essentials seats are 30 times CAD 108.50, which is CAD 3,255 per month and CAD 39,060 per year, plus applicable tax. Premium is 30 times CAD 149.20, which is CAD 4,476 per month and CAD 53,712 per year, plus tax. The Premium gap is CAD 14,652 per year before tax.

Odoo Standard on the yearly discounted display is 30 times USD 24.90, which is USD 747 per month and USD 8,964 for the first 12 months. The undiscounted figure beside it, USD 31.10, is USD 933 per month and USD 11,196 per year. The monthly display, USD 38.90, is USD 1,167 per month and USD 14,004 per year. Because the discount applies for 12 months to the initial users ordered, budget the second year at the undiscounted yearly figure unless the advisor extends it in writing.

Odoo Custom on the yearly discounted display is 30 times USD 49, which is USD 1,470 per month and USD 17,640 for the first 12 months. The undiscounted USD 61 is USD 1,830 per month and USD 21,960 per year. The monthly display, USD 76.20, is USD 2,286 per month and USD 27,432 per year. Hosting on Odoo.sh sits on top of that user fee.

Add seats only for the access they grant. Ten Business Central Team Members at USD 8 are USD 80 per month, USD 960 per year, and they still cannot do the work of an Essentials user. Eight Odoo Light Users stay at the published advisor figure of USD 8.90 each, which is a quote, not a cart total. If those eight people enter orders or approve vendor bills all day, price them as full users.

On these assumptions, Essentials matches a single-entity distributor, and Odoo Standard matches all apps on Odoo Online for one company. A second company, Studio, manufacturing or service orders moves the budget to the next list, which is the following section.

Where the list price steps up

Two switches surprise finance leads who compared the entry row only.

On a paid Odoo database, installing Studio or adding companies switches the customer to Custom. That is the move from the USD 24.90 Standard display to the USD 49 Custom display on the yearly toggle, for every user, for the discounted first year. Odoo also says the One App Free plan allows multiple companies, while multi-company on a paid all-apps database is a Custom-plan trigger. A firm that pilots one app at USD 0, then turns on inventory and accounting for two companies, should expect the Custom user price, plus Odoo.sh if the work needs custom code. Buyers asking "What is the difference between the standard plan and the custom plan?" are usually asking about this switch. Standard is all apps on Odoo Online. Custom adds the hosting choices, Studio, multi-company, the external API and the AI feature Odoo names on that page.

On Business Central, service management and manufacturing sit in Premium, USD 110 in the US and CAD 149.20 in Canada, against Essentials at USD 80 and CAD 108.50. A distributor that later opens a small assembly cell or a depot repair bench prices Premium for every full user. Confirm on your own item list whether those orders are manufacturing or service documents. If they are, put Premium on the first quote so phase two does not reset the license bill.

The user fee leaves the project out. Odoo plans include hosting, maintenance and email support Monday to Friday. They exclude implementation, Odoo.sh hosting for custom code, in-app credits such as SMS and bill scanning, and maintenance of custom code. Business Central's list is the seat. Extra production environments are bought through the CSP, and each one adds three sandbox environments and 4 GB of tenant-wide database capacity. The base Essentials or Premium subscription already includes one production environment and three sandboxes.

What Odoo publishes for implementation hours

"Where can I get implementation services, and how much does it cost?" has a public answer only for Odoo's own hour packs, and only on one side of a headcount line. Odoo says companies under 50 employees usually buy Success Packs from Odoo, and companies over 50 employees usually use a local partner. A 30 to 100 person firm sits on the pack side at 49 people and on the partner side the day headcount passes 50.

New-customer packs, with the stated 15 percent discount on the first pack, list as of October 2026 at USD 493 for 4 hours, USD 3,060 for 25 hours, USD 5,950 for 50 hours, USD 10,625 for 100 hours and USD 21,250 for 200 hours. Returning-customer list prices are USD 580, USD 3,600, USD 7,000, USD 12,500 and USD 25,000 for those same hour counts. Onsite travel is extra. The Success Pack page says 80 percent of projects within the selected scope are put in production in 200 hours or less. The estimator then says "Above 50 users, contact us for an indepth analysis."

Read that 200-hour line with the scope attached. It is Odoo's statement about projects inside the estimator's selected scope, aimed at the under-50 pack buyer. A 50 to 100 person partner implementation needs its own hour budget. A 100-hour new-customer pack at USD 10,625 buys 100 consultant hours. The user subscription, including the second-year fee after the 12-month discount, is separate from the Success Pack hour price.

Ask each Business Central, NetSuite and Acumatica bidder to price data migration, integrations, training and post-go-live support as its own line, with hours and a named consultant. We scope a first usable phase around a bounded set of workflows and name the people and hours before you sign.

If you want the commercial shape of that first phase, see how we scope an ERP implementation. The license table is the software fee. The phase is the set of workflows that start posting orders.

How Canadian and US tax setup differs

Do not treat either product as a button that files every return. Compare the documents each localization produces, then confirm the rest with your accountant on your own registrations.

Business Central's Canadian localization can generate a GST/HST .tax file with the GST/HST Internet File Transfer batch job, and it can calculate provincial sales tax through a Provincial Tax Area Code when the vendor does not charge PST. That is file generation and self-assessed PST, described on Microsoft's Canada sales-tax page. Have the partner show the batch job on a copy of your tax area codes before you assume every province you ship into is already configured.

Odoo 19's Canada localization ships a chart of accounts, provincial fiscal positions for every province and territory plus International, sales and purchase taxes, balance sheet and profit-and-loss reports labelled for Canada, Canadian check layouts, and CPA005 EFT payments. Avalara AvaTax is optional for Canada and the United States. The Canada localization page documents tax setup, reports and a payment file. If your controller needs the GST/HST return or a Quebec form prepared inside the product, put that test on the demo script and record what the screen produces from your numbers.

For a US company, Odoo 19 follows US GAAP, can export 1099 data as CSV for third-party e-filing, prints US checks, and can produce NACHA ACH files. Sales tax rates are jurisdiction-specific, and AvaTax is the documented real-time calculation option. Exporting a 1099 CSV is not the same as filing with the IRS from inside the app. A distributor that ships into many US jurisdictions should price AvaTax, or an equivalent rate service, as its own line on both Odoo and any other shortlist product that does not carry your rates natively.

A practical split for a cross-border firm: put Canadian GST/HST file output and PST area handling on the Business Central script, put provincial fiscal positions, Canadian checks and CPA005 on the Odoo script, and put 1099 CSV plus NACHA on the US Odoo script. Ask NetSuite and Acumatica to show the same artifacts. If they cannot show them on your chart of accounts, they are not one of the two demo candidates.

How many companies you can keep in one system

A 40-person group with two or three legal entities often buys the multi-company tier for every user when only one company posts day to day. Separate the entity count from the user count before you compare lists.

One Business Central environment can hold a maximum of 300 companies. Microsoft says companies above that limit should be split across environments. You start with one production environment included. A group with four operating companies and one elimination company is far under 300, so the limit is not the issue. The issue is whether those companies share one environment, and what the CSP charges if you want a second production environment for a separate security or performance boundary. Each extra production environment adds three sandboxes and 4 GB of database capacity, bought through the partner, on top of the seats.

Odoo multi-company on a paid all-apps database is the Custom plan. Price every full user at the Custom display, USD 49 discounted yearly or USD 61 undiscounted, and ask whether Odoo.sh is required. The free plan's multiple-company allowance does not carry over as a free feature once you are on Standard.

Acumatica markets multi-entity and intercompany accounting inside its cloud ERP editions. Put the module on the quote: which edition, which entities, and what the resource or consumption unit costs at your transaction volume. Leave Acumatica beside NetSuite until that written number is in the spreadsheet.

If you have one company, ignore the 300-company ceiling and ignore Custom's multi-company trigger. If you have two or more, put both the Odoo Custom user math and the Business Central extra-environment quote in the same spreadsheet before anyone builds a demo database.

Where each option is weak for this size of company

Weakness here means a limit the vendor's own page states, or a price the vendor does not state.

Business Central Essentials does not include manufacturing or service management. Teams that discover that after go-live pay the Premium difference on every full user, USD 30 per user per month in the US list (USD 110 minus USD 80), or CAD 40.70 in the Canada list (CAD 149.20 minus CAD 108.50). Seats are purchased through a CSP, so a rushed buy also waits on that partner's paperwork. "Contact a partner to purchase or to get an assessment, consulting services, or additional pricing." Budget the assessment as a separate conversation from the seat price. The informational list can move at checkout.

Odoo Standard is the wrong budget if Studio or a second company is already in the requirements. The subscription excludes implementation and excludes maintenance of custom code, so a database full of customizations has a second bill the user price never showed. Companies over 50 employees are pointed to a local partner, and the hour estimator stops at "Above 50 users, contact us for an indepth analysis." A 70-person firm that anchors its budget on the USD 21,250 new-customer 200-hour pack is using a pack designed for the other side of Odoo's split.

NetSuite does not publish a per-user list you can set next to USD 80 or USD 24.90. Oracle or a reseller has to write the number. Acumatica describes industry editions and does not list dollars. The May 2025 change of control is context for contract terms and product direction. Ask who holds the contract, what happens to pricing at renewal, and which edition you are buying. The USD 2 billion headline is a deal report. Price the edition you will sign.

For a deeper pass on the wider SME set, ERP options for SMEs compared sits beside this four-way shortlist. Use this page to cut to two names. Use that guide when the field is still wider than these four.

How to choose the two demos

Score in this order. Skip a platform that fails a higher test even if the demo looks polished.

  1. Write the license tier your scope forces. One company, no manufacturing and no service orders: Business Central Essentials at USD 80 or CAD 108.50, and Odoo Standard at USD 24.90 for the first year on the yearly toggle. Manufacturing or service orders: Business Central Premium. More than one company on a paid Odoo database, or Studio: Odoo Custom at USD 49 for the first year. Anything else is the wrong row.
  2. Count full users separately from Team Members and Light Users. A warehouse person who only confirms picks may fit the cheaper seat. A buyer who changes costs does not.
  3. Put tax artifacts on the script: GST/HST .tax file and PST area codes for Business Central in Canada, provincial fiscal positions and CPA005 for Odoo in Canada, 1099 CSV and NACHA for Odoo in the United States, AvaTax where rates are jurisdiction-specific. Ask the other two products to produce the same files.
  4. Split implementation at 50 people using Odoo's own rule, and demand hour-based lines from every other bidder. Under 50, a Success Pack is a capped bundle of Odoo consultant hours, with travel extra. Over 50, Odoo says companies usually use a local partner. Require hour-based lines on that work, and bring the scope to a call so we can price it through how we scope an ERP implementation. For Business Central, NetSuite and Acumatica, require the same line-item hours. If you want a payback view once those lines exist, run them through the ERP ROI calculator.
  5. Ask who configures the system, who owns the code, and what the first phase excludes. Named people, hours, references, a phase plan and code ownership are the tests that decide the project.

When Odoo is one of the two, read what an Odoo rollout includes before the demo so Studio, multi-company and hosting are already on your question list. When Business Central is one of the two, read what a Business Central implementation covers so Essentials versus Premium and the environment count are settled before the CSP quote. We implement both, in phases, for companies in the 20 to 100 person range in the US and Canada. Bring the spreadsheet from this page to the call. The useful next hour is deciding which two rooms to book, and what the first phase is allowed to cost.

Frequently asked questions

Is multi-company or Studio available in the One App Free plan?

Odoo says the One App Free plan allows multiple companies, at USD 0 for one app and unlimited users on Odoo Online. Installing Studio, or adding companies on a paid all-apps database, switches the subscription to Custom. A pilot that starts free and then turns on every app for two companies should be priced on the Custom user display, not on Standard.

What is a Light User?

Odoo lists a Light User at USD 8.90. An advisor quotes it, and it is not a public checkout seat. The seat covers self-service work such as time off, expenses, appraisals, attendances, planning, field service, inventory barcode, payslips, point of sale and the manufacturing shop floor. People who post invoices, change item costs or run the books need a full user on Standard or Custom.

What's not included in these Odoo plans?

Odoo subscription plans include hosting, maintenance and email support Monday to Friday. They exclude implementation, Odoo.sh hosting for custom code, in-app credits such as SMS and bill scanning, and maintenance of custom code. The yearly discount on Standard and Custom is valid for 12 months for the initial users ordered, so the second year needs its own figure.

How do we file Canadian GST/HST from Business Central?

The Canadian localization can generate a GST/HST .tax file with the GST/HST Internet File Transfer batch job. It can also calculate provincial sales tax through a Provincial Tax Area Code when the vendor does not charge PST. Have that batch job shown on your tax areas before you treat the file as the return your accountant will submit.

Does Odoo calculate GST, HST and PST by province, or do we need AvaTax?

Odoo 19 Canada ships provincial fiscal positions for every province and territory plus International, along with sales and purchase taxes, Canada-labelled financial reports, Canadian checks and CPA005 EFT payments. Avalara AvaTax is an optional real-time calculation add-on for Canada and the United States. The localization documents tax setup and a payment file, so confirm any government e-file step separately with your accountant.

Do I need Premium or Essentials if we manufacture or run service orders?

Premium is the Business Central seat that includes Essentials plus service management and manufacturing. As of October 2026 that is USD 110 per user per month in the United States and CAD 149.20 in Canada, paid yearly, against Essentials at USD 80 and CAD 108.50. If those documents are in scope, price Premium for full users from the first quote.
