ERP environmental reporting: what your system can track

People who search for erp environmental usually hit permit programs.

People who search for erp environmental usually hit permit programs. If you meant the business system, Business Central and Odoo can store fuel, electricity, purchases, freight, and waste, and neither produces a finished emissions number until someone stores factors and posts them. Microsoft's sustainability overview documents three GHG Protocol scopes in the Business Central ledger. CDP says more than 45,000 suppliers were asked to disclose in 2025. For a US plant of about 20 to 100 people, that customer request is the job in front of you, ahead of an EPA filing or an SEC climate rule.

A sustainability ledger is a set of accounts, journals, and factors sitting beside the general ledger. It becomes useful when a buyer asks for last year's electricity, diesel, purchased materials, inbound freight, and waste in one spreadsheet. The pages that rank for this topic describe a direction. They rarely say which field already exists, which formula the product will run, and which line someone still has to type.

What the form asks for versus what the ERP already holds

A customer scorecard or a lender questionnaire rarely arrives as a blank theory. It asks for a year of activity, then a conversion into emissions. The activity is often already in purchasing, payables, inventory, and payroll. The conversion still needs a factor and a matching unit.

Cedar Bay wrote in August 2026 that "Manufacturers that wait until reporting becomes mandatory may find themselves scrambling to collect data that should have been built into their systems years earlier." The scramble is concrete: utility bills in dollars, diesel coded to a vehicle expense account, steel quantities on posted invoices, a freight charge with no miles, and a waste invoice with no tons.

  • Scope 1: stationary fuel, mobile fuel, refrigerants (What a normal ERP already posts: Vendor bills for gas, diesel, and refrigerant, if those accounts are clean · What still has to be added: An emission factor, or a typed gas amount. A leak volume is rarely on the invoice)
  • Scope 2: purchased electricity (What a normal ERP already posts: Utility invoices in the ledger · What still has to be added: Kilowatt-hours, if the bill was entered as dollars only, and a grid factor)
  • Scope 3: purchased goods (What a normal ERP already posts: Item quantities and spend on posted purchase invoices · What still has to be added: A factor per item or per dollar. A supplier-specific footprint is not a standard PO field)
  • Inbound or outbound freight (What a normal ERP already posts: Freight charges, sometimes a ship-to and a carrier · What still has to be added: Distance or a carrier factor. A dollar freight line is not a ton-mile)
  • Waste (What a normal ERP already posts: Hauler invoices · What still has to be added: Weight or volume from the ticket)
  • Commuting (What a normal ERP already posts: Employee master data · What still has to be added: Home-to-work distance, office days, and vehicle CO2, which Odoo can calculate once those three exist)

Read the table as a filing plan. The electricity, gas, diesel, steel, and freight rows start from bills, invoices, and shipment records your team already keys for money. On those rows, the right column is the factor, unit, or typed amount still required before a line can leave the spreadsheet. The commuting row is employee fields still to be filled. Business Central's ledger documentation is explicit on this point: users either type known gas, water, or waste amounts, or they calculate them from fuel or electricity, distance, installation multipliers, time factors, or a custom amount times an emission factor on the sustainability account subcategory.

Assume a single-entity US plant, 40 employees, one building, two yard trucks, and purchased steel. Electricity and natural gas are general-ledger bills. Diesel is a vendor invoice. Steel is item quantity on posted purchase invoices. The waste hauler bills dollars. That plant can fill electricity, gas, and diesel when each line has both a quantity and a matching factor. Waste weight and any refrigerant loss are typed amounts. Supplier-specific steel still cannot come from the item card.

What Business Central records in the sustainability ledger

Business Central sustainability management records greenhouse gas emissions plus water and waste intensity in a sustainability ledger. Entries can come from sustainability journals, general journals, or purchase documents. The sustainability ledger is part of the Business Central documentation, separate from Microsoft Sustainability Manager. The same docs do not state an extra license. Have the feature opened on your tenant before you budget it as included or as an add-on.

The same overview splits emissions the way customer forms do:

  1. Scope 1 is stationary and mobile combustion plus fugitive emissions.
  2. Scope 2 is purchased energy.
  3. Scope 3 covers purchased goods, capital goods, fuel- and energy-related activities, upstream and downstream transport, waste, business travel, employee commuting, and similar value-chain items.
  4. An Out of scope category includes carbon credits.
  5. A Water/Waste scope sits beside the gas scopes.

The journal article limits the math by document type. On purchase documents, Scope 1 can be calculated from fuel or electricity, distance, or installations. Scope 2 can be calculated from fuel or electricity or from a custom amount. Scope 3 can be calculated from fuel or electricity, distance, or a custom amount. Water and waste formulas are not supported on purchase documents, so a waste ticket still needs a sustainability journal or a typed total. General journals accept only total emission amounts. They do not run formulas. If your accountants live in the general journal, someone still has to calculate outside the line or use a sustainability journal.

There is a bridge from money to activity. Collect Amount from G/L Entries pulls a custom amount into a sustainability journal from posted general ledger entries, with a G/L account filter and optional global-dimension filters. The emission factor still has to sit on the account subcategory. A year of electric spend can flow. The factor does not invent itself.

Items of concern and the 2026 release notes

Sustainability reports let you flag an item as an Item of Concern, store default CO2, CH4, and N2O amounts, and run Track Item of Concern across inbound transactions such as purchases and production output and outbound transactions such as sales and consumption. That is the closest thing to a carbon figure riding with the item. It is a default amount you maintain, then a trace of where the item moved. It is not a calculated footprint of the bill of materials.

The 2026 release wave 1 overview says Business Central can import emission factors through open APIs, use Copilot to estimate a carbon footprint when factors are missing, track Scope 3 across operations, put carbon footprint data on product invoices or projects, and report toward CSRD, CBAM, and extended producer responsibility through External ESG Reporting. The product docs mark value-chain Scope 3 as public preview. Confirm that state in your tenant before you tell a customer that every purchase, production order, and sale carries a carbon number. If Copilot drafts a factor, a person on your team should check it against the library you chose. A generated estimate is a starting line on a journal, and your customer will ask which source it came from.

For plants evaluating the core product, our notes on Business Central for manufacturing cover production and inventory fit. The sustainability ledger is a finance feature on top of those transactions, and it belongs in the same design as the chart of accounts. A Business Central implementation can include the account subcategories and the first factor load in the phase that opens purchasing and payables.

When Microsoft Sustainability Manager is the separate product

Microsoft Sustainability Manager is a Microsoft for Sustainability product. It is not a Business Central module. Microsoft says it records, reports, and reduces emissions, water, and waste, and that it can connect to any business system. Buy it when the customer form outgrows the ledger: all 15 GHG Protocol Scope 3 categories, water and waste beyond an intensity total, or a disclosure workflow you do not want to rebuild in journals.

Scope 3 calculation in Sustainability Manager covers all 15 categories. The default method for purchased goods and capital goods is spend-based, using 2018 EPA supply chain emission factors. Spend has to be adjusted for currency and inflation back to 2018. Users can switch to a quantity-based average-data method. If your steel invoices are in 2026 dollars, a raw spend times a 2018 factor will misstate the line. The adjustment is part of the method, and it should be written down before the number goes to a customer.

How to buy Microsoft for Sustainability says the product is purchased through an Enterprise Agreement or a cloud solution provider. Learn points to a product page for pricing and does not publish a list price. As of October 2026, do not put a per-user fee in the budget until your reseller quotes it. The product can be acquired in the United States and Canada, and North America is a supported data-center region.

A sensible split for a mid-size plant: post fuel, electricity, and a first purchased-goods estimate in Business Central so the monthly close owns the activity. Add Sustainability Manager when a buyer requires the full category list or when finance refuses to maintain factors in two places. The ERP remains the source of bills, items, and shipments either way.

What Odoo ESG calculates, and what you still type

Odoo 19 ESG documentation calculates a carbon footprint as activity data times an emission factor. Automatic activity comes from posted journal entries on fixed-asset, expense, other-expense, and cost-of-revenue accounts, plus employee commuting from Fleet and Employees. Waste, lunches, and other untracked activity are manual entries. A US job shop should use that list as written. Production scrap, a waste ticket, and carrier miles do not post themselves because a manufacturing order was completed.

Each emission factor is assigned to GHG Protocol Scope 1, 2, or 3. The documented download is the ADEME database, a French public source. The ESG app page also names IPCC. Factors can be physical, based on quantity, or monetary, based on amount spent. They can be auto-assigned by product, partner, and account, including retroactively. Retroactive assignment matters: you can fix a mapping and reapply it to history, which is how a first year gets built from accounting you already closed.

Commuting uses a specific formula: days times home-work distance times 2 times (office days divided by 7) times the vehicle model's CO2 emissions. Setup requires weekly office attendance, vehicle CO2, and each employee's home-work distance. If those three fields are empty, the commuting line stays empty. That is a data-entry project for HR, not a manufacturing configuration.

The app page says reports follow the GHG Protocol and Bilan Carbone, and that the app supports CSRD and VSME reporting, ESRS metrics, double materiality, and stakeholder surveys. Social metrics include gender distribution and gender pay gap from Employees and Payroll. Treat the CSRD wording as a product statement to test on your database. A US company still needs its own view of whether a European filing applies.

What the Odoo subscription includes

Odoo pricing states that Standard and Custom plans include all apps, so ESG is not a separate per-app subscription once you are on a paid plan. The One App Free plan is one app with unlimited users on Odoo Online. Installing a second app moves the database to a paid plan. ESG alone, with no accounting and no inventory, will not see posted bills. The free plan cannot see posted bills if those bills live in other apps.

Prices below are the display prices on that page as of October 2026. Odoo says the yearly discount is valid for 12 months for the initial users ordered. Odoo.sh hosting is extra on Custom. Light users need a quote from an advisor.

  • One App Free (Display price: USD 0 · What you are paying for: One app, unlimited users. A second app ends the free plan)
  • Standard, yearly toggle (Display price: USD 31.10 per user per month · What you are paying for: All apps, including ESG)
  • Standard, monthly billing (Display price: USD 38.90 per user per month · What you are paying for: All apps, including ESG)
  • Custom, yearly toggle (Display price: USD 61.00 per user per month · What you are paying for: All apps, plus Odoo Studio, multi-company, external API, and agentic AI)
  • Custom, monthly billing (Display price: USD 76.20 per user per month · What you are paying for: Same Custom scope, billed monthly)
  • Light User (Display price: USD 8.90 per light user · What you are paying for: Shop-floor manufacturing use and some self-service HR tasks. A quote is required)

For a plant comparing products, Odoo for manufacturing is the operations view. ESG then reads the accounts those operations post. If you are still choosing the system, fold the factor rules into ERP implementation scope so accounting, inventory, and the first emissions pack share one chart of accounts.

Who asks a small US supplier to report

Three audiences get mixed together in sales conversations. Separate them before you buy software.

CDP Supply Chain members ask chosen suppliers to disclose environmental data, including emissions allocations, water, and commodities. CDP says more than 45,000 suppliers were requested to disclose through CDP in 2025, and that it offers a separate SME questionnaire. CDP says its questionnaire aligns with ISSB, TNFD, and the European Sustainability Reporting Standards, and that a single supplier disclosure can be reused by multiple customers. Membership fees for the company that sends the request are quote-only. Tiers on the same page run Standard up to 200 supplier requests, Lead up to 400, and Premium at 400 or more, with extra requests sold in increments of 50. If you are the supplier, you are filling the questionnaire. You are not buying that membership.

The SEC adopted climate-related disclosure rules on 6 March 2024. The adopting release required, for large accelerated filers and accelerated filers that were not exempt, material Scope 1 and/or Scope 2 emissions, plus assurance. The adopting release did not impose Scope 3 disclosure. On 27 March 2025 the Commission voted to end its defense of those rules after a stay pending litigation in Iowa v. SEC, which is case number 24-1522 in the 8th Circuit. The press release does not say a court has vacated the rules. A private company in this size range should not staff an SEC climate filing on the back of that history. A lender may still ask for energy and emissions because the credit agreement says so. That request is contractual.

EPA's Greenhouse Gas Reporting Program requires annual GHG reports from large sources, fuel and industrial gas suppliers, and CO2 injection sites. EPA says about 8,000 facilities report, and the public data release is in October each year. The program page was last updated 22 September 2026 and still describes reporting as required. On 12 September 2025 EPA proposed to permanently remove GHGRP obligations for 46 source categories after reporting year 2024, and to suspend most remaining petroleum and natural gas segments until reporting year 2034. The proposal fact sheet says that if the proposal is finalized, no industries would submit 2025 data, and that EPA was also proposing to move the 31 March 2026 deadline to 10 June 2026. A proposal is not a final repeal. If your facility is in a covered category, confirm the current obligation on the EPA page and with counsel. A typical growing manufacturer is more often holding a customer spreadsheet than an EPA login.

An IBM and SAP study of 2,125 senior executives found a high-performing group that said 47 percent of sustainability performance data was collected in their ERP, and they expected that share to reach 55 percent by 2025. A related finding on the same page says 41 percent of global executives named inadequate data as the biggest obstacle to ESG progress. The useful part for a 40-person plant is the shape of the problem: a large share of the data is already inside finance systems at bigger companies, and the blocker those executives named was the data itself. Your version of that blocker is the right-hand column of the gap table.

How to set up the first year of environmental data

Estimate the work in your own hours after the questionnaire is in hand. The sequence is the same on both products.

  1. Name one factor source and write down its year. For Odoo, the documented import is ADEME. For Microsoft Sustainability Manager purchased goods, the default library is the 2018 EPA supply chain factors, with spend adjusted back to 2018. For Business Central, you store the factor on the sustainability account subcategory, and the 2026 wave 1 notes say factors can also arrive through open APIs. US EPA factors are not described as a preloaded Business Central library. Ask the bidder to show the import on your tenant.
  2. Build the map. In Business Central that is the chart of sustainability accounts and the link from G/L accounts. In Odoo that is assignation by product, partner, and account on the automatic account types: fixed asset, expense, other expense, and cost of revenue.
  3. Pull one closed year of electricity and fuel bills. If the bill was posted as a dollar total, go back to the PDF for kilowatt-hours and gallons. The factor needs a unit that matches.
  4. Decide, in writing, whether the customer will accept a spend-based purchased-goods line. If they want supplier-specific data, the ERP cannot invent it. You will need a supplier response or a typed factor per item.
  5. Post a pilot month: one electric bill, one fuel bill, one purchased commodity, and one waste weight typed from the ticket. In Business Central, run the fuel and power lines from a purchase document or a sustainability journal, and put waste in a journal because purchase documents do not calculate water and waste. In Odoo, confirm the commodity hit a cost-of-revenue or expense account that has a factor, and enter waste as a manual activity.
  6. Fill the customer spreadsheet from the ledger. Leave a blank where the factor or the unit is missing, and label the method on every filled line (measured fuel, spend-based, ADEME monetary, typed waste).

Refrigerant, fleet fuel, and supplier-specific emissions fail in predictable places. Refrigerant is fugitive Scope 1: the purchase of a cylinder is not the release. Fleet fuel is mobile combustion if you buy the fuel, and it is a freight or commuting line if someone else burns it. Supplier-specific emissions sit outside both products until a person stores them. Item of Concern defaults in Business Central, and product-level factors in Odoo, are the shelves. They stay empty until you fill them.

Companies that run plants and warehouses can treat this as part of manufacturing ERP work: the same purchasing, inventory, and finance design, with sustainability accounts added while the chart is still cheap to change.

When the ledger is enough and when to buy another tool

Stay on the native ledger when the request matches what the products calculate today.

  • Business Central is enough for a first customer pack when you can post Scope 1 from fuel, distance, or installations, Scope 2 from electricity or a custom amount, and a limited Scope 3 line from fuel, distance, or a custom amount, plus water and waste amounts you are willing to type. Item of Concern tracking covers a short list of materials you tag.
  • Odoo ESG is enough when the activity sits on the automatic accounts or in commuting fields, you accept ADEME or another factor you import, and waste can be a manual line. The app is already inside a paid all-apps plan, so the subscription change is zero if you are already on Standard or Custom. The work is mapping and a year of units.

Buy Microsoft Sustainability Manager, or keep a controlled spreadsheet beside the ERP, when any of these are true:

  • The questionnaire requires all 15 Scope 3 categories with a documented method. Sustainability Manager calculates all 15. Business Central's value-chain Scope 3 is marked public preview, so a full purchasing-to-sales carbon trail has to be proven in your tenant first.
  • Purchased goods must use a maintained spend-based method with inflation adjustment, or a quantity-based average-data method, and finance does not want to rebuild that logic in journals.
  • Water and waste need a product that records them as their own subject, which is how Microsoft describes Sustainability Manager, while Business Central's purchase documents will not run those formulas.
  • Several customers will reuse one disclosure. CDP's model is exactly that. A single maintained calculation beats a fresh spreadsheet per buyer, once the category list is long.

A spreadsheet is still a valid system of record for the first response if the ERP project is months away. Build it with the same columns the ledger will use: activity, unit, factor, source, scope, and the document number in the ERP. When the sustainability journal or the Odoo ESG entry opens, you copy a structure you already defended to the customer.

Do not promise a compliance outcome from either product. The SEC rules are stayed and undefended. The EPA program still describes reporting for a defined set of large reporters, and a 2025 proposal has not erased that page. European framework names on a Microsoft release plan or an Odoo app page tell you what the vendor is building. They do not tell you that your plant must file.

If the form is already in your inbox, start with the six setup steps and a pilot month. If you want that pilot designed against your accounts, book the call with the questionnaire attached. We implement Business Central and Odoo for manufacturers and distributors in the US, and the environmental numbers only hold if they are tied to transactions your team already trusts.

How Flectic can help

For manufacturers of 20 to 100 people in the US and Canada, Flectic connects production, inventory and finance on Dynamics 365 or Odoo, so your schedule, your costing and your order book agree. Flectic sends a written proposal with a fixed price for each phase before work starts. We pilot one cell, then expand, so one line goes live with its operators first while the rest of the plant keeps producing. To see how a pilot cell would fit your plant, select Book a free discovery call on the manufacturing ERP page, and Flectic will talk through your schedule and costing with you.

Frequently asked questions

Can purchase orders and bills of materials carry a carbon number the way they carry a cost?

Business Central can store default CO2, CH4, and N2O on an item flagged as an Item of Concern, then trace that item through purchases, production output, sales, and consumption. That is a default you maintain, not a rollup of the bill of materials. Odoo can assign a physical or monetary emission factor to a product. A standard purchase order still does not arrive with a supplier-specific footprint unless someone has stored it.

Where do emission factors come from, and are US EPA factors loaded automatically?

Odoo 19 documentation points to an ADEME download. Factors can be physical or monetary and can be assigned by product, partner, and account. Microsoft Sustainability Manager uses 2018 EPA supply chain factors as the default spend-based method for purchased goods and capital goods, and spend must be adjusted back to 2018 dollars. Business Central stores the factor on the sustainability account subcategory. The 2026 release wave 1 overview says factors can be imported through open APIs. Ask for that import to be shown on your tenant before you assume a US library is already loaded.

What is missing for waste, fleet fuel, and supplier-specific emissions?

Waste weight is a manual sustainability entry in Odoo, and Business Central does not run water or waste formulas on purchase documents. Fleet fuel you buy can be posted as mobile combustion from the fuel quantity or spend. Fuel burned by a carrier is a freight line and needs distance or a carrier factor. Supplier-specific emissions are absent until you type a factor on the item or receive a number from the supplier.

If the ERP can store the activity data, when is a separate carbon tool still worth buying?

Stay in the Business Central ledger or Odoo ESG when the request is fuel, electricity, a limited purchased-goods line, and a typed waste total. Look at Microsoft Sustainability Manager when you need all 15 Scope 3 categories, a maintained 2018 EPA spend method, or water and waste recorded as their own subject. Microsoft does not publish a list price. The product is bought through an Enterprise Agreement or a cloud solution provider.

Does a bill of materials carbon figure update when the routing or the scrap rate changes?

Neither product description ties a live bill of materials rollup to scrap and routing minutes. Business Central tracks default gas amounts on items of concern as those items move through production output and consumption. Odoo multiplies posted accounting activity, or a manual quantity, by a factor. If scrap changes the quantity you consume, the activity changes only when that quantity hits an account or a journal you have mapped.

Can one CDP response stand in for several customer spreadsheets?

CDP says a single supplier disclosure can be reused by multiple customers, and that its questionnaire aligns with ISSB, TNFD, and the European Sustainability Reporting Standards. CDP also offers a separate SME questionnaire. Your other customers may still send a private spreadsheet with different units. Keep the ledger lines labeled by method so each form can be filled from the same year of activity.
