Best QuickBooks alternative for small business

For a US business with fewer than 25 people, use the monthly list price after the intro discount.

FlecticUpdated 23 min read

For a US business with fewer than 25 people, use the monthly list price after the intro discount. QuickBooks Online Plus, the first plan that includes inventory, lists at USD 140 per month as of October 2026 (USD 70 for the first three months). A five-person product company that also runs payroll should budget the Workforce Premium bundle at USD 253 per month for five employees, or USD 119 on Zoho Books and USD 130 on Xero with payroll and inventory added. This page prices those stacks, shows where the free plans stop, and marks when a self-serve switch is enough.

If you only send invoices, a free or low plan can be the whole system. If you stock goods, the plan that includes inventory is the price you keep paying, and payroll is either a bundle or a per-person add-on. A three-person service shop does not need an ERP subscription. That subscription starts to earn its place when the same small team is keeping inventory, purchasing, and job cost in separate files.

What QuickBooks Online costs after the promo

Intuit sells QuickBooks Online month to month. The pricing page says there is no annual contract, and you can switch or cancel at any time. The three-month discount is still the number in the headline. The list price is the number to put in a budget.

As of October 2026, US list prices on that page are:

  • Free (Users: 1 user, no accountant · List price: USD 0 · First 3 months: USD 0)
  • Simple Start (Users: 1 user plus 2 accountants · List price: USD 38 · First 3 months: USD 19)
  • Essentials (Users: 3 users plus 2 accountants · List price: USD 85 · First 3 months: USD 42.50)
  • Plus (Users: 5 users plus 2 accountants · List price: USD 140 · First 3 months: USD 70)
  • Advanced (Users: 25 users plus 3 accountants · List price: USD 340 · First 3 months: USD 170)

Plus is the first plan on that page that lists budgets, project profitability, inventory, and classes and locations (40). Inventory tracking is on Plus and Advanced: quantities update as you sell, with low-stock alerts and purchase orders. Essentials, at USD 85, adds enhanced reports, employee time on invoices, and third-party data in KPIs. It does not list inventory.

Advanced is the jump that surprises a growing login list. The pricing FAQ says Advanced supports up to 25 users with no additional fees. A sixth person who needs a login cannot stay on Plus. The step from USD 140 to USD 340 is a user-cap change, even when the work itself has not changed.

Two smaller charges sit outside the plan tile. Standard ACH bill pay is USD 0.50 per transaction after the monthly allotment, and allotments may vary. Payroll is sold as a bundle on a separate pricing page, covered in the five-person example below. Do not add a Plus subscription of USD 140 on top of a payroll bundle. The bundle already names the accounting plan it includes.

PCMag's roundup, with an editors' note dated July 6, 2026, still ranks QuickBooks Online as Editors' Choice overall and calls it "Expensive". That word matches the list prices once the 50% intro ends.

Where each free plan stops

Free is a useful QuickBooks alternative only inside a hard fence. Cross the fence and the price starts the same month.

QuickBooks Online Free is USD 0 for 1 user. There is no accountant access. You get up to 2 invoices per month, unless the business qualifies for and enables QuickBooks Payments, in which case invoices are unlimited. One bank can be connected. Reports are profit and loss, balance sheet, and the account quick report. Mobile app access and third-party integrations are unavailable. PCMag's line that the "Free version works great for some sole proprietors" fits that fence: one person, almost no invoice volume, one bank.

Zoho Books Free is USD 0 while financial-year revenue stays at or under USD 50,000. It includes 1 user plus 1 accountant, up to 1,000 invoices a year, and email support. Bank feeds, stock tracking, and sales-tax tracking are not on Free. Those start on paid plans. Zoho says Free is not a trial. It lasts as long as the revenue cap is met. A product business that tracks stock is already off this plan, even if revenue is under the cap.

Wave Starter is USD 0 and includes unlimited estimates, invoices, bills, and bookkeeping records. Card payments on Starter are 2.9% plus USD 0.60, and 3.4% plus USD 0.60 for American Express. Auto-import of bank transactions is a Pro feature. Pro is USD 19 per month or USD 190 per year, per business (CAD 25 per month or CAD 250 per year). Receipt capture is listed at USD 11 per month or USD 96 per year in one column and USD 8 per month or USD 72 per year in the other, and Pro includes it. Payroll is listed as an add-on from USD 25 per month and from USD 40 per month on the same page, without a legend that says which figure is the base. Use both figures as a range when you ask Wave, and do not pick one as the price. Wave Advisors bookkeeping starts at USD 149 per month and USD 199 per month on that page. PCMag ranks Wave for invoicing and microbusinesses and says it lacks time tracking and projects.

Odoo One App Free is USD 0 for one app and unlimited users on Odoo Online. Dependent apps required by that app are included. Installing an additional app moves the database to a paid plan. Accounting plus inventory is two apps, so that combination is not free. A service shop that only needs invoicing can stay on the free app. A shop that also wants stock cannot.

Which need forces the next plan up

Under 25 staff, the upgrade is usually one of four needs: inventory, projects, payroll, or another login. Match the need to the first plan that lists it, then ignore the cheaper tiles above that line.

  • QuickBooks inventory, projects, budgets, classes (First place it shows up: Plus · Ongoing price as of October 2026: USD 140 per month, 5 users)
  • QuickBooks logins past 5, up to 25 (First place it shows up: Advanced · Ongoing price as of October 2026: USD 340 per month)
  • Xero quotes, sales tax, bank reconciliation, 20 invoices and 5 bills (First place it shows up: Early · Ongoing price as of October 2026: USD 27 per month after intro)
  • Xero multi-currency and project time-and-cost (First place it shows up: Established · Ongoing price as of October 2026: USD 97 per month after intro)
  • Xero stock (First place it shows up: Inventory Plus add-on · Ongoing price as of October 2026: USD 5 per month, not discounted)
  • Zoho stock, sales orders, purchase orders, project billing (First place it shows up: Professional · Ongoing price as of October 2026: USD 50 per month, or USD 40 billed annually)
  • Zoho locations (3 included) (First place it shows up: Premium · Ongoing price as of October 2026: USD 70 per month, or USD 60 billed annually)
  • FreshBooks project profitability (First place it shows up: Premium · Ongoing price as of October 2026: USD 70 per month)
  • FreshBooks extra login (First place it shows up: Team member add-on · Ongoing price as of October 2026: USD 11 per user per month)

Xero's US prices are per organization, exclude tax, and auto-renew monthly. Early is USD 27 after an intro of USD 5.40. Growing is USD 59 after USD 11.80. Established is USD 97 after USD 19.40. The intro is 80% off for the first 3 months for a new US customer's first organization. It does not apply to add-ons, usage, or payment fees. Sales tax, W-9 and 1099 management, and bank reconciliation are already on Early. Multiple currencies and project tracking are not. They sit on Established, so a job-cost service firm on Xero is looking at USD 97, not the Early tile.

On the same comparison, Inventory Plus is USD 5.00 per month. Have the add-on screens shown on your own item list before you treat USD 5 as full inventory.

Zoho Books list prices, per organization, run Standard USD 20 or USD 15 billed annually (3 users), Professional USD 50 or USD 40 (5 users), Premium USD 70 or USD 60 (10 users), Elite USD 150 or USD 120 (10 users), and Ultimate USD 275 or USD 240 (15 users). Extra users are USD 3 per user per month or USD 2.50 billed annually. Prices exclude local taxes. The user add-on is not supported on Free except document autoscans. A sixth Zoho user on Professional is USD 3. A sixth QuickBooks user is the move to Advanced at USD 340. If the only pressure is seats, compare those two lines before you look at an operations suite.

FreshBooks US list prices are Lite USD 23, Plus USD 43, and Premium USD 70. Promos on the page are USD 1 per month for the first year on Lite, and 80% off for 3 months on Plus (shown as USD 8.60) and Premium (shown as USD 14). Client caps are 5, 50, and unlimited. Select is quote-only and includes 2 team members. Project profitability is on Premium and Select, not Lite or Plus. Plus is the first plan that lists bank reconciliation, accountant access, and double-entry accounting reports. Team members are USD 11 per user per month, which is the con PCMag labels "Excessive cost for team members". Advanced Payments is USD 20 per month and is included on Select. Payroll is USD 40 per month plus USD 6 per user per month.

Zoho's pricing page publishes a customer line, "I switched from QuickBooks to Zoho Books because it's incredibly user-friendly." The plan gates above still decide whether that switch includes stock, projects, and bank feeds.

What a five-person product company pays with payroll

Assume one US organization, five employees on payroll in a single state, no contractors, and stock that needs quantities and purchase orders. Five people need to record transactions. Compare month four, after intros end. Payroll bundles are the QuickBooks figure. The Plus list price is not added again.

  • QuickBooks Workforce Premium bundled with Plus (What is included: Accounting plan in the bundle, plus USD 10 per employee · Month 4 onward: USD 253 · First 3 months: USD 151.50)
  • Xero Growing + Inventory Plus + payroll (What is included: USD 59 + USD 5 + USD 36 + USD 6 x 5 · Month 4 onward: USD 130 · First 3 months: USD 82.80)
  • Zoho Books Professional + Payroll Standard, billed monthly (What is included: USD 50 + USD 39 + USD 6 x 5 · Month 4 onward: USD 119 · First 3 months: USD 119)

QuickBooks math uses the Workforce Premium plus Plus bundle at USD 203 plus USD 10 per employee, shown at USD 101.50 plus USD 10 for 3 months. Five employees add USD 50 either way: USD 253 ongoing, USD 151.50 during the promo. The same page lists Workforce Payroll with Simple Start at USD 88 plus USD 6.50 per employee (USD 44 plus USD 6.50 for 3 months) and with Essentials at USD 125 plus USD 6.50 (USD 62.50 plus USD 6.50 for 3 months). Those cheaper bundles do not include the Plus inventory features. If this company needs stock, the Premium plus Plus bundle is the list that matches the work.

Xero math uses Growing at USD 59, Inventory Plus at USD 5, and payroll at USD 36 plus USD 6 per employee or contractor. Five employees add USD 30. Ongoing total USD 130. During the intro, only the base plan drops, to USD 11.80. Add-ons stay full price, so the first three months are USD 82.80, not 80% off the whole stack. Xero's payroll page says the product supports all 50 states at no extra cost, describes it as built for small teams of 1 to 20 people or more, and says it is not available to Xero's US mobile subscribers. If this company also needs project time or more than one currency, replace Growing with Established. That swap adds USD 38 and makes the ongoing stack USD 168, still under the QuickBooks bundle.

Zoho math uses Professional at USD 50, which is the first Books plan with stock, sales orders, purchase orders, and project billing, plus Payroll Standard at USD 39 plus USD 6 per employee billed monthly. Five employees add USD 30. Ongoing total USD 119. Professional includes 5 users, so this headcount does not need extra-user fees. Billed annually, Books Professional is USD 40 and Payroll Standard is USD 29 plus USD 5 per employee. That path is USD 40 + USD 29 + USD 25 = USD 94 per month, if you accept annual billing. Payroll Standard is single-state for all 50 states, with tax payment and filings. Two states means Payroll Professional: USD 59 plus USD 8.50 per employee billed monthly (USD 49 plus USD 7 billed annually). Five employees then add USD 42.50, and the monthly stack with Books at USD 50 becomes USD 151.50.

On these assumptions, Zoho's monthly stack is the lowest of the three ongoing totals, Xero sits USD 11 higher, and the QuickBooks bundle is a bit more than twice the Zoho monthly total (USD 253 versus USD 119). The QuickBooks promo months look closer, at USD 151.50, then reset. If you only remember the first invoice, you will under-budget QuickBooks by about USD 100 a month from month four.

None of those three totals is an ERP license. They are accounting, stock at the level each plan lists, and US payroll. Odoo is the per-user figure to put beside them when you want every app on one subscription, and it does not replace a US payroll filing service in this comparison. Have payroll tax filing shown on whatever product you shortlist.

You can run the same headcount through the Odoo pricing calculator and keep payroll as its own line. Odoo's US pricing page shows Standard at a discounted USD 24.90 and USD 31.10 per user per month, and undiscounted USD 31.10 and USD 38.90. Custom is a discounted USD 49.00 and USD 61.10, and undiscounted USD 61.00 and USD 76.20. The discount lasts 12 months for the initial users ordered. The page presents each plan as a pair of figures. Budget the range, not a single teaser rate.

Assume five full users on Standard. During the discount year the license is USD 124.50 to USD 155.50 per month (5 times USD 24.90, and 5 times USD 31.10). After that, the undiscounted pair is USD 155.50 to USD 194.50 (5 times USD 31.10, and 5 times USD 38.90). Both paid plans include all apps. Hosting on Odoo.sh is extra. Implementation is not included. A light user is listed at USD 8.90 and requires an advisor quote, so this range uses full users only.

Zoho's monthly total of USD 119 sits below the whole five-user Standard discount range of USD 124.50 to USD 155.50. Xero's USD 130 falls inside that discount range and below the later undiscounted range of USD 155.50 to USD 194.50. Those Odoo figures are the license only. The Zoho and Xero totals include payroll. Odoo Standard becomes the relevant price when you would otherwise pay for several apps and still re-key purchasing and job cost. Our Odoo implementation for growing companies is the path when that second step needs a scoped phase, not another free trial.

What a service shop should pay instead

Assume a three-person US service firm: invoices, a bank feed, and a need to see profit on jobs. They sell time, they do not hold stock, and they do not issue purchase orders. If they run payroll, it is one state. This company should not buy an inventory tier to feel prepared.

FreshBooks Premium lists project profitability at USD 70 per month (USD 14 for the first 3 months). Plus, at USD 43, is the first FreshBooks plan with bank reconciliation and accountant access, and it does not list project profitability. If two colleagues need their own logins, budget USD 11 each on top of the plan: USD 70 + USD 22 = USD 92 per month at list, before payroll. The page does not say the team-member fee is inside the 80% promo, so keep USD 11 at full price until a checkout screen shows otherwise. Payroll, if you add it, is USD 40 per month plus USD 6 per user per month. Count payroll people separately from team logins so you do not double them by accident.

Xero Established is the project plan, at USD 97 after USD 19.40 for 3 months. Early at USD 27 will feel fine until someone asks for project time or a second currency. Zoho project billing starts on Professional at USD 50 monthly or USD 40 billed annually, with 5 users included, which covers a three-person shop without extra seats. Wave Pro at USD 19 gets you automatic bank import. It does not get you the time tracking and projects PCMag says Wave lacks. For a sole proprietor who only invoices, Wave Starter at USD 0 is the coherent free option, with card fees on every payment.

QuickBooks Essentials at USD 85 covers 3 users and employee time on invoices. It does not list project profitability or inventory. Those are Plus, at USD 140. A service firm that does not stock goods can stay off Plus. A service firm that bills jobs and wants profitability on the QuickBooks page is already at Plus.

PCMag ranks FreshBooks for service businesses. The team-member fee is the line to multiply before you accept that ranking for your headcount. Three paid FreshBooks logins change the comparison more than the Lite promo at USD 1 for a year, and Lite is capped at 5 clients anyway.

When a team under 25 should stay off an ERP

Stay on accounting software when the file is invoices, bills, bank reconciliation, sales tax, and maybe payroll. That describes most firms under 25 people, and it describes almost every three-person shop. Odoo One App Free, Zoho Books, Xero, FreshBooks, or Wave can cover that work. Paying for every operations app on day one adds licenses and setup without removing a broken workflow.

Odoo says companies under 50 employees usually implement with Success Packs, and companies over 50 usually use a partner. A pack is optional help. It is not a requirement to send an invoice. If your books are the system, buy the books plan, export a clean customer list when you switch, and skip implementation hours.

The ERP conversation starts when the same people already run inventory, purchasing, and project cost in separate tools, and someone re-keys the totals into the accounting file. At that point the monthly question changes from which books plan to what one operations subscription costs, and who configures it. Read Odoo vs QuickBooks for the product differences, and the QuickBooks alternatives roundup for a growing company once headcount or scope moves past this monthly-cost page. Right-sizing an ERP for a small business covers how small a first phase should stay when the file is already more than books. If you already know you want Microsoft's operations product, our Business Central implementation is the page to scope that path. License fees for Business Central are a separate quote. They are not part of the accounting prices on this page.

A company that has outgrown QuickBooks' user cap, from 5 seats at USD 140 to 25 seats at USD 340, can price Zoho's extra users at USD 3, or a plan that charges once per organization, and stay on accounting software.

When paid hours are worth it, and when they are not

Odoo subscription prices do not include implementation. New-customer Success Pack prices on the packs page, as of October 2026, are:

  • Starter (Hours: 4 · New-customer price: USD 493)
  • Basic (Hours: 25 · New-customer price: USD 3,060)
  • Standard (Hours: 50 · New-customer price: USD 5,950)
  • Custom (Hours: 100 · New-customer price: USD 10,625)
  • Pro (Hours: 200 · New-customer price: USD 21,250)

Returning-customer prices are higher. The 15% new-customer discount applies to the first pack only. For a team under 50 people, Odoo's own guidance is these packs, not a partner engagement. The self-serve end of that ladder is the 4-hour Starter pack at USD 493. Use it for a short orientation if you are installing apps yourself and you already know your chart of accounts. The import and customization line on this page is the 50-hour Standard pack at USD 5,950 for a new customer. Basic, at USD 3,060 for 25 hours, is a smaller hour block whose records the seller has to name. Ask for customers, open invoices, items, and unpaid bills as named lines, not a vague block of time.

You can move accounting software alone when all of these are true.

  1. You can list month-four cost, including payroll per person, and you accept it.
  2. The new plan's user cap covers everyone who posts transactions, plus your accountant.
  3. You are not bringing over lot rules, multiple warehouses, or a custom pricing scheme.
  4. One person on your team will own the opening balances and the first bank reconciliation.
  5. You can pause and export QuickBooks lists before you cancel the old file.

Buy hours when the import is the risk: years of items, open sales orders, or a chart of accounts nobody wants to rebuild by hand. A Starter pack will not absorb that. If the import is the risk, price the Standard pack at USD 5,950 before you promise the staff a go-live date. If the work is a phased move of inventory and purchasing, that is the moment to talk with us. The subscription comparison above can be finished on a weekend. A bad opening balance cannot.

How to choose without paying the intro price for a year

Decide on list price, then let the promo be a bonus. Every vendor on this comparison advertises a discount: QuickBooks at 50% for 3 months, Xero at 80% for 3 months on the base plan only, FreshBooks at USD 1 for a year on Lite or 80% for 3 months on Plus and Premium, Odoo for 12 months on the initial users ordered. Zoho's lower column is annual billing, not a three-month teaser. Wave Pro's yearly price is USD 190 against USD 19 times 12, which is USD 228.

Use this order when you pick.

  1. Write the job the software must do in the next 12 months: invoices only, jobs, stock, or stock plus purchasing.
  2. Cross off every plan that does not list that job. Essentials is not an inventory plan. Xero Early is not a project plan. Zoho Free is not a stock plan. Odoo free is one app.
  3. Add payroll only from the payroll page, as a bundle for QuickBooks and as a base plus per person for Xero, Zoho, and FreshBooks. Leave Wave payroll as the two from-prices on its page, USD 25 per month and USD 40 per month, until you have a written quote.
  4. Multiply logins. QuickBooks jumps at 6 users. FreshBooks adds USD 11. Zoho adds USD 3, and only from Standard upward. Odoo multiplies the whole company by the per-user range.
  5. If the winner is still a books plan, switch it yourself and keep the first month's reconciliation on the calendar. If the winner is an all-apps subscription and the file has history, price a Success Pack before you install the second app.

The choice on this page is the ongoing monthly bill a team under 25 can run without a project crew, and the hour-count where paid setup starts to be the safer spend.

How Flectic can help

Flectic implements Odoo for companies of 20 to 100 people in the US and Canada that have outgrown a QuickBooks plan and need sales, stock and finance in one database. Below that size, a higher QuickBooks plan may still be the better answer. Core operations (four to six apps, a basic data import, up to 25 users) has a planning range of $6,000 to $30,000, not a quote. Book a free discovery call with Flectic to check whether your team has reached the point where an Odoo implementation pays off.

Frequently asked questions

Are these QuickBooks alternatives online, or do I download software?

The prices in this guide are the online plans on each vendor's pricing page: QuickBooks Online, Xero, Zoho Books, FreshBooks, Wave, and Odoo Online. You work in the hosted product those pages sell. QuickBooks Desktop and Intuit Enterprise Suite are separate products, and their prices are not the Online list used here.

Can I switch QuickBooks plans or cancel at any time?

QuickBooks Online paid plans are month to month. The pricing page says there is no annual contract, and subscribers can switch or cancel at any time. The 50 percent intro still ends after three months, so the list price is the bill to plan on even though you are not locked in for a year.

Can I add my accountant, bookkeeper, or tax pro?

QuickBooks Online Free does not include accountant access. Simple Start, Essentials, and Plus include two accountant seats, and Advanced includes three. Zoho Books Free includes one accountant. On FreshBooks, accountant access is listed starting on Plus, not on Lite.

For how long is the free plan free?

QuickBooks Online Free stays at USD 0 inside its invoice, bank, and user caps. It is not described as a timed trial. Zoho Books Free lasts while financial-year revenue stays at or under USD 50,000, and Zoho says it is not a trial. Wave Starter stays at USD 0. Odoo One App Free stays at USD 0 for one app until you install another app, which moves the database to a paid plan.

Can I pay the subscription annually?

Zoho Books publishes a lower monthly equivalent when you pay annually, such as Professional at USD 40 billed annually versus USD 50 month to month. Wave Pro is USD 190 per year versus USD 19 billed monthly. Xero's US plans auto-renew monthly. QuickBooks Online paid plans are month to month, with no annual contract on the pricing page.

Is the Wave Pro fee per owner or per business?

Wave states that the Pro fee is per business. One company pays USD 19 per month or USD 190 per year in the US, or CAD 25 per month or CAD 250 per year. A second business needs its own subscription. Starter at USD 0 is also tied to the business you keep books for, and card fees still apply when customers pay by card.

Do paid Odoo plans include all apps for a single per-user price?

Odoo states that both Standard and Custom include all apps. One App Free covers a single app, and installing another app moves the database to a paid plan. Hosting on Odoo.sh costs extra, and implementation is not included in the per-user price. A light user is listed at USD 8.90 and requires an advisor quote.
