Xero vs QuickBooks in the US and Canada: 2026 prices and payroll
For a company of 20 to 100 people, the choice is which ledger fits now and what replaces it later.
For a company of 20 to 100 people, the choice is which ledger fits now and what replaces it later. As of October 2026, Xero's US Early plan lists at USD 27 per month, its Canadian Starter plan at CAD 25, and QuickBooks Online Simple Start at USD 38 in the US, while QuickBooks Canada publishes only Lite, at CAD 20, outside its promotion. Pick the file your accountant opens weekly, price payroll, and write your exit triggers: more than 25 users, a second entity, or warehouse-level stock points toward an ERP, Business Central at USD 80 per user per month, paid yearly, on Microsoft's informational US list.
Every figure below comes from the vendor's own pricing pages as of October 2026, and the tables flag the places where a vendor shows only a promotional price. Promotions change often, so budget on list numbers and treat any discount as a first-quarter boost. The comparison runs through prices in both countries, payroll in each, accountant access, inventory and currency caps, and the point where both products stop and an ERP takes over.
What Xero and QuickBooks cost in the US

- Xero Growing (List price per month: USD 59 · Seats and billing: Billed per organization · Notable limits: Invoicing and bills without the Early cap)
- Xero Established (List price per month: USD 97 · Seats and billing: Billed per organization · Notable limits: Multiple currencies, projects, expenses and mileage, 180-day cash flow)
- QuickBooks Free (List price per month: USD 0 · Seats and billing: 1 user, no accountant seat · Notable limits: 1 bank connection; 2 invoices a month)

- QuickBooks Advanced (List price per month: USD 340 · Seats and billing: 25 users plus 3 accountants · Notable limits: Unlimited classes and locations; custom user permissions)
Sources: Xero US pricing and QuickBooks US pricing, October 2026. In October 2026, Xero offered eligible new US customers 80% off the base plan for the first three months, and QuickBooks showed 50% off US plans for three months. Xero subscriptions auto-renew monthly; paid QuickBooks plans carry no annual contract and you can cancel anytime.
Read the seat columns before the price column. A five-person team that wants QuickBooks inventory lands on Plus at USD 140, because inventory tracking starts on Plus. On Xero, the same team pays per organization, and Xero's pricing pages list no user cap, so get user limits and accountant access confirmed in writing before you subscribe.
What Xero and QuickBooks cost in Canada
The plan names change at the border: Xero sells Starter, Standard, and Premium in Canada, and QuickBooks Canada runs Lite, EasyStart, Essentials, Plus, and Advanced. List prices as of October 2026:
- Xero Starter (List price per month: CAD 25 · Seats and billing: Billed per organization · Notable limits: Quotes plus 20 invoices and 5 bills)
- Xero Standard (List price per month: CAD 60 · Seats and billing: Billed per organization)
- Xero Premium (List price per month: CAD 80 · Seats and billing: Billed per organization · Notable limits: Multiple currencies)
- QuickBooks Lite (List price per month: CAD 20 · Seats and billing: 1 user, no accountant seat · Notable limits: 2 bank connections; shown at CAD 2 inside the current promotion)
- QuickBooks EasyStart (List price per month: Listed only inside the promotion · Seats and billing: 1 user plus accountant access)
- QuickBooks Essentials (List price per month: Listed only inside the promotion · Seats and billing: Up to 3 users · Notable limits: Bill management, time tracking, and multi-currency)
- QuickBooks Plus (List price per month: Listed only inside the promotion · Seats and billing: Up to 5 users plus accountant access · Notable limits: Inventory, multi-currency, classes and locations up to 40, project profitability)
- QuickBooks Advanced (List price per month: Listed only inside the promotion · Seats and billing: 25 users · Notable limits: Unlimited classes and locations)
Sources: Xero Canada pricing, QuickBooks Canada pricing, and the Essentials and Plus split on QuickBooks Canada's Plus page, October 2026. The Canadian QuickBooks cards led with a 90% off QuickBooks plus payroll offer, and only Lite's CAD 20 list price appeared outside it, so ask QuickBooks Canada for list prices in writing before you budget on the promo screen. Xero's Canadian promotion takes 80% off the base plan for the first three months for new customers. Lite has no accountant seat. On the other Canadian plans, the included accountant seat does not count toward the user limit.
Which one keeps your accountant happy
Your accountant touches this file more often than you do, so their answer outranks any feature grid. The published facts: on US QuickBooks Online plans, Simple Start through Plus include two accountant seats and Advanced includes three, per Intuit's US pricing page. In Canada, Lite has no accountant seat. On the other Canadian plans the included accountant seat does not count toward the user limit, per QuickBooks Canada's pricing FAQ. Xero bills per organization and its pricing pages list no user cap, so ask Xero to confirm accountant access and any user limits in writing before you subscribe.
The subscription gap is small; the rework is what costs. Assume one US entity on entry plans: QuickBooks Simple Start at USD 38 against Xero Early at USD 27 is a gap of USD 11 a month, USD 132 a year. A month of your accountant relearning an unfamiliar file costs more than that. Ask two questions at your next meeting: which of these files do you open every week, and what would it cost me to move you to the other one? Their answer settles half of this decision. The pull runs both ways: Xero's Canadian payroll page quotes a customer: "I like Xero for its overall simplicity, especially compared to QuickBooks Online."
Payroll: where the two countries split
Payroll is where a US-versus-Canada comparison earns its keep. In the US, both products deliver payroll as an add-on. In Canada, QuickBooks runs it inside the product and Xero hands it to a connected app. That difference changes your monthly total and your Quebec filing path.
United States: priced per employee on both
Xero Payroll, powered by Gusto, costs USD 36 per month plus USD 6 per employee or contractor. Xero says it covers all 50 states, files federal and state payroll taxes, and produces W-2s and 1099s, for teams from 1 to 20 people or more; the page also states a two months free offer, and that it is unavailable to Xero's US mobile subscribers. QuickBooks sells US payroll in bundles on its payroll pricing page, each shown with 50% off for the first three months:
- Xero Payroll, powered by Gusto (Base per month: USD 36 · Per employee: USD 6)
- QuickBooks Payroll with Simple Start (Base per month: USD 88 · Per employee: USD 6.50)
- QuickBooks Payroll with Essentials (Base per month: USD 125 · Per employee: USD 6.50)
- QuickBooks Premium Payroll with Plus (Base per month: USD 203 · Per employee: USD 10)
Worked example: assume a 25-person company in Ohio with 22 people on payroll. Xero's stack is USD 36 plus USD 132, which is USD 168 a month. QuickBooks Payroll with Simple Start is USD 88 plus USD 143, which is USD 231. On this pair Xero stays cheaper at 5 employees (USD 66 against USD 120.50) and at 22 (USD 168 against USD 231) because both the base and the per-person rate are lower. The per-person rate only widens that gap. Rerun the total if you need the Essentials or Plus payroll bundle.
Canada: a connected app on Xero, a built-in filer on QuickBooks
Xero's Canadian payroll page is direct about the setup: payroll runs in a connected app, with Xero naming Wagepoint as the closest partner and listing Payment Evolution and Payworks alongside it. The same page says Wagepoint calculates, files, and remits source deductions to the CRA, produces T4s, T4As, and ROEs, and supports Quebec employers, including a Revenu Québec payroll account number and Health Services Fund remittances. On money, as of October 2026 the page lists Wagepoint Solo at CAD 20 per month plus CAD 4 per employee or contractor, and Unlimited at CAD 40 plus CAD 6 per person, excluding tax; Wagepoint sets those prices and bills them separately from Xero.
QuickBooks Canada runs payroll inside the product: it calculates CPP, EI, and federal and provincial income tax, e-files and remits to the CRA or Revenu Québec, and prepares T4 and RL-1 forms. Payroll is a paid add-on in Core, Premium, or Elite tiers or a standalone product, separate from the accounting plans. A customer on that page describes the pull: "We love that we can pay employees using QuickBooks. Before, we were doing it through our bank, and that was way more confusing and time consuming."
Worked example: assume 12 employees on Xero Starter with Wagepoint Solo. The ledger is CAD 25, payroll is CAD 20 plus CAD 48, and the stack lands at CAD 93 a month before tax. Build the QuickBooks stack the same way from a written quote, then compare monthly totals with payroll included.
Inventory and multi-currency: the first hard ceilings
Stock and currency are where growing companies meet plan limits, and the limits differ by country on both products.
Multi-currency arrives late on Xero: multiple currencies sit on Established in the US (USD 97) and on Premium in Canada (CAD 80). In Canada, multi-currency appears on the QuickBooks Essentials and Plus pages, and the pricing cards also list inventory plus classes and locations up to 40 on Plus. If you bill across the border from a US QuickBooks file, ask QuickBooks which plan activates multi-currency for your setup before you commit.
On inventory, Xero's Canadian inventory page says its small-business inventory system manages up to 4,000 finished items. On QuickBooks, inventory tracking starts on Plus, with class and location tracking up to 40; Advanced removes that cap and adds custom user permissions. Make your SKU count, location count, and entity count part of the first demo on either product, run on your own data.
At these tiers, both products stay at quantity tracking, purchase orders, and project tracking. Warehouse operations, manufacturing, and consolidated books across several legal entities sit past what the pricing pages sell, and both vendors point those needs at bigger products. That ceiling is what the next section prices.
When you outgrow both: pricing the ERP exit
Any one of these triggers starts a phase to plan; two together usually mean the move is already late:
- More than 25 people need full access. Intuit's US pricing FAQ caps QuickBooks Online Advanced at 25 users, and QuickBooks Desktop Enterprise scales up to 40.
- You have passed Plus's 40 classes and locations and need more; Advanced lifts the cap, and Advanced is the top of the online line.
- A second legal entity needs its own books and one consolidated view. Intuit's FAQ sends multi-entity organizations to Intuit Enterprise Suite.
- Stock has outgrown quantity tracking: manufacturing, warehouse operations, or more finished items than the 4,000 Xero states for its Canadian inventory system.
- You are still on QuickBooks Desktop in Canada: Desktop is closed to new Canadian subscribers, and support for Desktop 2023 and older ended after May 31, 2026, so a company still on those editions is already off support and should schedule the online or ERP move now.
What the next rung costs
Intuit's ladder for bigger companies runs through Intuit Enterprise Suite for multi-entity organizations and QuickBooks Desktop Enterprise for up to 40 users; ask Intuit to price both for your structure. Microsoft's answer at this stage is Dynamics 365 Business Central: Essentials lists at USD 80 per user per month paid yearly, Premium at USD 110, and Team Members at USD 8, on an informational US list that Microsoft says can vary by country, as of October 2026.
Worked example: assume 20 full users and 15 occasional ones. Essentials for 20 users is USD 1,600 a month, plus USD 120 for 15 Team Members, which is about USD 1,720 a month on the informational list. Budget implementation as its own line, and ask every bidder to price data migration separately so the bids compare on the same shape.

Is QuickBooks the same as Business Central?
QuickBooks is not Business Central. QuickBooks Online is a small-business ledger; Business Central is Microsoft's ERP for companies that have outgrown one, and the license table above is where its pricing starts. We take that comparison apart in our Business Central vs QuickBooks guide.
We implement Business Central and Odoo for companies at exactly this stage, usually moving years of history out of an entry-level ledger. Our delivery method, the Flectic Accelerated Delivery Framework, runs the move in phases with a consultant reviewing each step, and our target for a first usable phase is 8 to 12 weeks. Start at how we implement Business Central; if the pain sits mostly in the close and in consolidating entities, our Dynamics 365 Finance work is the relevant page.
How to choose between Xero and QuickBooks this week
- Ask your accountant which of the two files they open every week, and what they would charge to learn the other one. That answer settles half of the decision.
- Price payroll as a stack, per country, using the numbers above, and put the per-employee line into your budget before you compare totals.
- Count seats the way each vendor prices them: per organization on Xero, per user tier on QuickBooks, with accountant seats on top.
- Write your exit triggers into the decision document: user counts, the 40 classes and locations, a second entity, and your finished-item count against Xero Canada's stated 4,000. Re-run the check each year; our ERP comparison tool scores the tradeoffs in a few minutes.
- Budget at list prices and treat every promotion as a first-quarter discount: 80% off for three months at Xero and 50% off for three months on US QuickBooks.
- If two or more triggers are already true, book the free discovery call above with your answers in hand, and start the conversation at the phase plan.
How Flectic can help
Flectic implements Business Central on Dynamics 365 for companies that have outgrown QuickBooks, Sage or Dynamics NAV, and we reconcile opening balances before go-live. At Microsoft's 2026 list prices, which are separate from Flectic fees, Business Central Essentials is $80 per user a month and Premium is $110. See Flectic's Dynamics 365 implementation service for how we scope the migration and the first phase. To start, book a free discovery call.
