Financial ERP means the general ledger, payables, receivables, bank, assets, and budgets, posted from the documents that create the journal. See what ERP means if you want the wider definition. Microsoft does not sell Business Central finance as its own module. Essentials, the full-user license, lists at USD 80 per user per month paid yearly as of October 2026, while Dynamics 365 Finance is a separate product at USD 210. Odoo includes Accounting on Standard and Custom, with Standard shown at USD 31.10 per user per month for the first year of the initial users.

Premium lists at USD 110 and covers service management and manufacturing on top of Essentials, so a finance-only team usually stays on Essentials. Four Essentials users at USD 80 and six Team Members at USD 8, both per user per month paid yearly, come to USD 4,416 for the year in licenses before implementation.

What financial ERP includes compared with an accounting package

An accounting package prices the company and caps the people who can sign in. ERP financials price named users and expect journals to come from sales, purchasing, inventory, or projects once those areas are in scope. The finance manager's decision is which of those postings belong in year one, and which license each person needs in order to touch them.

QuickBooks Online in the United States is billed monthly with no annual contract. As of October 2026, Intuit's US pricing page lists Simple Start at USD 38 per month for 1 user, Essentials at USD 85 for 3 users, Plus at USD 140 for 5 users, and Advanced at USD 340 for 25 users. The same page shows a 50 percent promotion for three months (USD 19, USD 42.50, USD 70, and USD 170). Inventory, budgets, and project profitability start at Plus. Custom user permissions and revenue recognition are called out on Advanced.

At list price, Plus is USD 1,680 for a year and Advanced is USD 4,080, for the whole company up to those user caps. Take the three-month promotion and then pay list for nine months, and those year-one figures are USD 1,470 and USD 3,570. A sixth person who must post transactions does not fit on Plus. A twenty-sixth user does not fit on Advanced.

QuickBooks Canada names EasyStart for 1 user, Plus for 5 users, and Advanced for 25 users. Multi-currency is listed on Plus. Revenue recognition, custom permissions, and workflow automation are listed on Advanced. Desktop is no longer sold to new Canadian subscribers. In October 2026 the page shows Lite at CAD 2 per month against a struck price of CAD 20, under a banner of 90 percent off QuickBooks plus Payroll for six months. Ask Intuit for the current EasyStart, Plus, and Advanced amounts in CAD before you put them in a budget. The user caps are the planning fact: five posters on Plus, twenty-five on Advanced.

Business Central and Odoo do not use that company cap. You pay for each named user who needs a given license, and on Business Central a person who only approves a payment can sit on a cheaper license than the person who posts the deposit. That split is the practical difference when the accounting file is already at its user ceiling and the close still depends on spreadsheets beside it.

What Business Central and Odoo put in the finance scope

Both products cover the close a 25 to 100 person company runs. They do not sell the general ledger as a detachable SKU inside the plans most small finance teams buy. The matrix is the scope each vendor documents. Your configuration decides which lines are live at go-live.

  • Ledger and close (Business Central: Chart of accounts, posting groups, dimensions, fiscal periods · Odoo Accounting: Fiscal localization packages, period close)
  • Customers and vendors (Business Central: Receivables, payables, payment methods and terms, reminders · Odoo Accounting: Customer and vendor invoices, credit notes, dunning)
  • Bank (Business Central: Bank reconciliation, deposits where the country version includes them · Odoo Accounting: Statement import (OFX, QIF, CSV, CAMT.053, CODA), bank sync)
  • Fixed assets (Business Central: Acquisition, depreciation or amortization, revaluation, impairment, disposal, maintenance, insurance, more than one depreciation book · Odoo Accounting: Fixed-asset depreciation)
  • Budgets and cash (Business Central: Budgets versus actuals, cash-flow analysis, deferrals · Odoo Accounting: Budgets on general and analytic accounts, deferred revenue and expense)
  • Currency (Business Central: Additional currencies with exchange-rate updates, plus an additional reporting currency · Odoo Accounting: Multi-currency with daily exchange rates)
  • More than one company (Business Central: Intercompany and consolidation, optional until you have multiple companies · Odoo Accounting: Multi-company on one database requires the Custom plan)

Business Central's list is on Microsoft Learn's financial management page and the fixed asset page. Before anything is posted, setup also covers VAT or sales tax and reminders, described on the finance setup page. Odoo's list is on the Accounting features page. Odoo states that its reconciliation tool automatically matches 95 percent of bank transactions to open invoices and payments. That figure is Odoo's own product claim. Run a closed month of your statement against open invoices before you plan the close around it.

Two design choices change the budget later. Business Central can keep a tax depreciation book and an internal book on the same asset, which matters when the tax return and the management accounts must not share one life. Odoo puts analytic accounts under the same Accounting app, so departmental budgets do not require a second product. Multi-company is the expensive fork: Business Central treats intercompany and consolidation as optional setup inside the product you already licensed, and Odoo requires Custom once you want more than one company on one database.

Which license matches a finance role

Dynamics 365 finance modules and pricing go further on the wider Dynamics 365 family. For a company in the 25 to 100 person range, the shortlist is usually Business Central Essentials, Odoo Standard, or, when several companies share one database and you want Studio or the external API, Odoo Custom. Business Central for a finance-first rollout is the path we use when the ledger has to take sales and inventory postings in a later phase without a second finance system.

Microsoft's US Business Central pricing page, as of October 2026, shows three prices that matter to a finance team. Essentials is USD 80 per user per month, paid yearly. It covers finance, sales, and operations, and it includes Microsoft Copilot. Premium is USD 110 and includes everything in Essentials plus service management and manufacturing. A finance-only company does not need Premium unless it also wants those operations. Team Members is USD 8. It covers reading data, approving workflows, and creating or updating selected information. The person who posts the journal entry, the cash receipt, or the depreciation run needs Essentials.

The Canadian Business Central pricing page shows Essentials at CAD 108.50, Premium at CAD 149.20, and Team Members at CAD 10.90, per user per month, paid yearly, plus applicable tax. Same roles, local currency.

Licenses are bought through a Cloud Solution Provider. Microsoft's licensing page also names External Accountant and read-only access from qualifying Microsoft 365 licenses. Ask the provider for the External Accountant price before you assume an outside accountant needs Essentials. A license generally cannot be reassigned to another user within 90 days of the last assignment, except to cover a user's absence or a device that is out of service. Name the seats for the people who will still be here next quarter.

Dynamics 365 Finance is a separate product. Microsoft's Finance page describes core financial management with financial planning, accounting and close, tax, quote-to-cash, cash management, and business performance management, and says it supports compliance in 57 countries or regions and 67 languages. Price Finance when you need the scope Microsoft lists on that page. Headcount alone does not pick the product.

As of October 2026, US Finance pricing lists Finance at USD 210 per user per month and Finance Premium at USD 300, paid yearly. Each Finance Premium license includes 1,000 Copilot Credits. The base Finance license page does not say those credits are included. Canadian Finance pricing lists CAD 284.90 and CAD 407.00 on the same basis, plus applicable tax. USD 210 is 2.6 times the Essentials list price of USD 80. Four full Finance users cost USD 10,080 in year-one licenses (210 x 4 x 12). The same four people on Essentials cost USD 3,840. The extra USD 6,240 a year is the price of the planning, performance, and multi-country scope Microsoft describes for Dynamics 365 Finance. Checkout prices can differ by currency and region from the figures shown on those pages in October 2026. Use the figures as the list you saw, then confirm the quote.

Odoo does not price an accounting module by itself on Standard or Custom. Odoo's pricing page says both plans include all apps, including Accounting, for one per-user fee. The displayed discount is valid for 12 months and only for the initial users ordered. As of October 2026 the page shows Standard at USD 31.10 per user per month against a crossed price of USD 38.90, and Custom at USD 61.00 against USD 76.20. Odoo.sh hosting is not included. A Light User is shown at USD 8.90, and Odoo says a quote is issued after an advisor reviews requirements. Light users are limited to items such as their own expenses, time off, and knowledge read access.

The One App Free plan is one app and unlimited users on Odoo Online. Installing extra apps moves the database to Standard. Adding companies or Studio moves it to Custom. Custom adds multi-company on one database, Odoo Studio, agentic AI, and the external API. A company that only wants Accounting can start on One App Free or on Standard. The moment a second app or a second company is installed, the per-user price changes, and the discount rules follow the plan you land on.

What a year of finance licenses costs

Assume a single legal entity. Four people post invoices, journals, payments, and depreciation. Six others approve payments or read reports and do not post the close. Prices are vendor list prices shown in October 2026, multiplied by 12. A Cloud Solution Provider invoice can differ from this list. Microsoft notes that the checkout price can differ by currency and region.

  • Business Central, 4 Essentials + 6 Team Members, USD (Monthly list: USD 320 + USD 48 · Year-one licenses: USD 4,416)
  • Same mix, CAD, before tax (Monthly list: CAD 434 + CAD 65.40 · Year-one licenses: CAD 5,992.80)
  • Odoo Standard, 4 full users, first-year display USD 31.10 (Monthly list: USD 124.40 · Year-one licenses: USD 1,492.80)
  • Same 4 users after the initial-user discount, USD 38.90 (Monthly list: USD 155.60 · Year-one licenses: USD 1,867.20)
  • Odoo Standard, all 10 people as full users, first-year display (Monthly list: USD 311 · Year-one licenses: USD 3,732)
  • Same 10 users at USD 38.90 (Monthly list: USD 389 · Year-one licenses: USD 4,668)

The four-user Odoo line matches the four people who post. On Business Central, Team Members cover reading data, approving workflows, and creating or updating selected information, so the six approvers sit on the USD 8 license. An Odoo Light User is limited to items such as their own expenses, time off, and knowledge read access, and payment approval is absent from that list. Until a quote explicitly allows payment approval on a cheaper seat, price the six approvers as full Standard users, which is the ten-user row: USD 3,732 in the first year and USD 4,668 after the initial-user discount ends. Confirm the billing period with Odoo before you multiply the USD 8.90 Light User price by 12.

On the US QuickBooks list, Plus at USD 140 per month (USD 1,680 per year, or USD 1,470 if the three-month promotion applies) covers at most five users. This mix has four posters and six approvers, so Plus cannot hold it. Advanced at USD 340 per month (USD 4,080 per year, or USD 3,570 with the promotion) covers 25 users, which does hold the mix. That company price is USD 28 a month under the Business Central mix of USD 368 (USD 320 of Essentials plus USD 48 of Team Members). Inventory, budgets, and project profitability are Plus and Advanced features. The Advanced cap is still 25 users.

If those four Essentials users were bought as Premium, the USD year would be 110 x 4 x 12 = USD 5,280, plus the same USD 576 of Team Members, USD 5,856 in total. The extra USD 1,440 pays for service management and manufacturing. Leave it off the shortlist until those operations are in scope.

What gets added after the subscription price

Odoo prints a heading buyers quote back: "What's not included in these plans". On that page, implementation services are excluded, Odoo.sh hosting is excluded, and in-app credits for AI scanning of vendor bills and expenses are excluded. The first-year discount does not follow users you add after the initial order, and it lasts 12 months. Budget year two at the crossed price for those initial users (USD 38.90 on Standard, USD 76.20 on Custom, as displayed in October 2026) unless a new offer is in the quote.

Canadian buyers ask the same question of the accounting package. Intuit's Canada page surfaces "Are there any additional costs beyond the subscription price?". For QuickBooks, read payroll, the promotion window, and the user cap as separate lines. For an ERP, read hosting, bill-scan credits, and implementation hours as separate lines. The subscription is the part you can multiply by 12 from a public page. The rest should be a quoted line with a quantity.

Five patterns blow the first-year number:

  1. Team Members assigned to people who must post. The close stalls because the license can approve and read, and the controller still exports a journal to finish the month. Fix the role map before you sign the seat count.
  2. A second company added on Odoo Standard. Multi-company on one database is a Custom feature, at the USD 61.00 first-year display or USD 76.20 after the initial-user discount, as of October 2026. Four Custom users are USD 2,928 in the discount year (61 x 4 x 12) and USD 3,657.60 after (76.20 x 4 x 12), against USD 1,492.80 and USD 1,867.20 on Standard.
  3. Odoo.sh, scan credits, and travel. Success Pack Pro states that travel time and travel expenses are billed separately. Smaller packs should be asked the same question in writing.
  4. Reassigning Business Central seats inside 90 days. A seasonal clerk who leaves in week six can lock that Essentials seat until the window passes, unless the exception for absence or a dead device applies. Buy the seats you can name.
  5. Going live with bank matching, dimensions, and inventory valuation still open. Unmatched statement lines stay in the reconciliation queue, so the cash account does not tie. Dimensions that were never required on a posting mean the budget-versus-actual report cannot be sliced the way the spreadsheet was. Inventory value that still lives in a workbook means cost of goods is a manual journal, and the close is slower than it was on the accounting package because the team now waits on two files.

That fifth item is the fear of a slower close. The fix is a phase boundary: bank rules, the chart, tax, and the depreciation books are in the finance phase; warehouse valuation waits until someone owns the item setup. Our finance implementation work is scoped that way so the first month-end uses the new ledger for cash and subledgers the team already understands.

What implementation of finance alone involves

Odoo is the vendor that publishes a price for services. Success Packs, as of October 2026, for a new customer:

  • Starter (Hours: 4 · New-customer price: USD 493 · Returning-customer price shown: USD 580)
  • Basic (Hours: 25 · New-customer price: USD 3,060 · Returning-customer price shown: USD 3,600)
  • Standard (Hours: 50, includes data-import assistance · New-customer price: USD 5,950 · Returning-customer price shown: USD 7,000)
  • Custom (Hours: 100, includes customizations · New-customer price: USD 10,625 · Returning-customer price shown: USD 12,500)
  • Pro (Hours: 200 · New-customer price: USD 21,250 · Returning-customer price shown: USD 25,000)

New customers see 15 percent off the first pack in the Starter description. Pro bills travel time and travel expenses separately. Odoo says companies under 50 employees usually implement with Success Packs, and companies above 50 employees usually use a partner. The same page tells buyers above 50 users to contact Odoo for an in-depth analysis.

The two thresholds count different things. A 60-person firm with eight finance users is above the employee line, so the partner sentence applies to it, and eight finance users sit below the 50-user line, so the in-depth-analysis sentence does not. Both sentences point the same way only when the employee count is above 50 and the named-user count is also above 50. Check each count against the quote, then ask which path it assumes.

Odoo also says 80 percent of projects within the scope of its project estimator are put in production in 200 hours or less. The estimator's Finance checkbox is labeled Expenses and Accounting Consolidation. A full general ledger, payables, receivables, fixed assets, and a multi-entity close needs its own hour estimate. Use the pack table as the published menu, then match hours to the sequence below.

A finance-only start, on either product, still has a sequence:

  1. Chart of accounts, posting groups or fiscal positions, fiscal year, and the tax setup for the country version you will file.
  2. Currencies and the rate source, if you bill or pay in more than one currency.
  3. Customers, vendors, open invoices, open bills, and the bank accounts those payments hit.
  4. Fixed assets and the depreciation books you will run.
  5. Bank statement format or bank sync, and a trial reconciliation on a closed month before go-live.
  6. Budgets, dimensions or analytic accounts, and the one management report the CFO will open on day five.
  7. Training for the people who post, separate from the people who approve.

Microsoft does not publish a Business Central implementation fee. Do not fill that gap with a borrowed day rate. Ask each bidder to price data migration, tax setup, bank reconciliation, fixed assets, and training as its own line, with hours. For a first usable finance phase, our target is 8 to 12 weeks, with the phase stopping at the ledger, cash, and subledgers. ERP implementation covers how those phases are contracted.

Put the Odoo hours next to the licenses if you want one year-one envelope. Assume the four Standard users at the first-year display price (USD 1,492.80) and a Standard Success Pack because it includes data-import assistance (USD 5,950). The sum is USD 7,442.80 before hosting, scan credits, and any users added later. A Basic pack at USD 3,060 buys 25 hours, enough for a short workshop. A chart, a history load, and a parallel close need a larger pack. A Custom pack at USD 10,625 is the one that includes customizations. If the finance team can live with configuration, do not buy the customization pack in order to feel covered.

For the Business Central mix, the license line is USD 4,416 or CAD 5,992.80 before tax. The services line is whatever the proposal itemizes. A proposal that folds migration into a single headline number is the one to send back for a split.

How US and Canadian localization shows up in the finance apps

Country features are part of the finance module. Set up the version that matches the return you file, and keep US sales tax and 1099 separate from Canadian GST and GIFI.

The United States version of Business Central includes sales tax, use tax, and purchase tax, IRS 1099 and 1096, bank deposits, bank reconciliation, and electronic payment files. Microsoft says the US version cannot report European VAT. GST, sales tax, and GIFI are documented on the Canadian version, so a US company with a Canadian branch needs that localization, and the US version's 1099 and sales-tax setup is not that filing.

The Canadian version of Business Central includes GST and sales-tax reporting, use tax and purchase tax, deposits, electronic payment files, and GIFI codes. GIFI is the set of codes Canadian corporate returns expect on the financial statements. If your accountant maps the trial balance to GIFI in a workbook today, put that map into the chart during the finance phase.

Odoo 19 Canada installs a Canadian chart of accounts and reports, provincial and territorial fiscal positions, sales and purchase taxes, Canadian check layouts, and optional CPA005 EFT batch files. Odoo says payment processing after a bank imports a CPA005 file may take up to 48 hours. Test a vendor payment file against the bank's window before you retire the current EFT process. Provincial and territorial fiscal positions are how the product selects the tax that applies. Confirm the positions on your own invoices. Use rate tables from your accountant or the revenue agency in that test.

On both products, multi-currency is already in the finance scope: Business Central through additional currencies and an additional reporting currency, Odoo through multi-currency and daily exchange rates. Turn it on in the finance phase if you hold a foreign-currency bank account. Turning it on after a year of single-currency history is a migration of its own.

How to shortlist the finance license you will use

Paying for capability the close never touches is a licensing problem with a concrete test. Business Central Essentials already includes sales and operations with finance for that per-user fee. Warehouse setup can wait for a later phase. Odoo Standard and Custom include every app in the same per-user fee, including Accounting. The fee is the same if Inventory stays uninstalled. Custom is the plan that adds multi-company on one database, Studio, or the external API.

Shortlist in this order:

  1. Count legal entities. One entity keeps Business Central intercompany off and keeps Odoo on Standard or even One App Free if Accounting is the only app. Two or more entities on Odoo means Custom, or separate databases with the reporting burden that implies. Two or more companies on Business Central means consolidation setup, on the Essentials license you already priced.
  2. Count posters versus approvers. Posters become Essentials or Odoo full users. Approvers become Team Members on Business Central. On Odoo, payment approval is outside the documented Light User list, so price them as full Standard users until a quote explicitly allows it on a cheaper seat. Anyone who must post depreciation, a cash receipt, or a vendor payment is a full user.
  3. Set the country version from the return you file. US sales tax and 1099, or Canadian GST, sales tax, and GIFI, configured before the opening balances move.
  4. Price year-one licenses at the October 2026 list, then add a services line with hours. For Odoo, pick a Success Pack whose hours match the sequence above. For Business Central, require the bidder to itemize because Microsoft does not publish the fee.
  5. Hold operations for phase two unless Premium features (service or manufacturing) are the reason you are leaving the accounting package. Premium at USD 110, or CAD 149.20, is the wrong upgrade for a richer trial balance.
  6. Price Dynamics 365 Finance only if you need the planning, quote-to-cash, and multi-country compliance Microsoft describes, at USD 210 or CAD 284.90 per full user per month. Compare that to Essentials on the same headcount before you treat Finance as the default financial ERP.

Bring the seat mix and the entity count to the call. The useful output is a license list, a phase list, and a year-one total with services separated from the subscription.

How Flectic can help

Flectic implements the Business Central finance foundation on Dynamics 365, covering the general ledger, accounts payable and receivable, dimensions and bank reconciliation. Microsoft's 2026 list price is $80 per user a month for Business Central Essentials and $110 for Premium, which is a vendor price and not a Flectic price. For the finance modules we scope first, see Microsoft Dynamics 365 implementation. Book a free discovery call with Flectic to match the module set to your budget.

Frequently asked questions

Does Business Central charge separately for the finance module?

Business Central rolls finance into the Essentials user license, together with sales and operations. Premium adds service management and manufacturing on that same license. A richer general ledger is a reason to price Dynamics 365 Finance, which is a separate product with its own per-user price, aimed at planning and the multi-country scope Microsoft describes for it.

Which users need Essentials and which can stay on Team Members?

Anyone who posts journals, customer payments, vendor payments, or depreciation needs Essentials. Team Members is for reading data, approving workflows, and updating selected information. Put approvers on Team Members only after you confirm their tasks fit that limit. If an approver also has to fix a coding error and repost, that person is an Essentials user. Seats generally stay with the named person for 90 days, so assign them to people who will still be in the role next quarter.

Can we run only accounting in Odoo without paying for every app?

One App Free is a single app with unlimited users on Odoo Online, so Accounting alone can start there. Installing another app moves the database to Standard. Standard and Custom both include every app for one per-user fee, whether or not you turn the extra apps on. A second company on the same database, or Odoo Studio, moves you to Custom. The lower display price on Standard and Custom applies for 12 months and only to the initial users ordered.

What does a finance implementation include, and how long does it take?

A finance-only phase still covers the chart, tax, currencies, open customers and vendors, fixed assets, a trial bank reconciliation, budgets, and training split between people who post and people who approve. Odoo publishes Success Packs from 4 hours to 200 hours for new customers. Its statement that 80 percent of estimator projects go live in 200 hours or less refers to that estimator, where the finance option is expenses and accounting consolidation. Ask for hours against your own chart, history load, and close. Microsoft does not publish a Business Central services fee, so each proposal should price migration, tax, bank, assets, and training on separate lines.

Are there any additional costs beyond the subscription price?

Yes. On Odoo, hosting on Odoo.sh, implementation services, and in-app credits for scanning vendor bills and expenses sit outside the subscription. The first-year discount does not apply to users added later. On Business Central, the public list is the license. Implementation is a separate quote, and Canadian list prices add applicable tax. On QuickBooks, watch the length of the promotional price, payroll, and the user cap, because moving from Plus to Advanced changes the company price even when the work itself has not changed.

How do US sales tax and 1099, or Canadian GST and GIFI, show up in the finance module?

The United States version of Business Central includes sales tax, use tax, purchase tax, IRS 1099 and 1096, bank deposits, and electronic payment files. Microsoft says that US version cannot report European VAT. The Canadian version includes GST and sales-tax reporting, use tax, purchase tax, electronic payment files, and GIFI codes. Odoo 19 for Canada installs a Canadian chart, provincial and territorial fiscal positions, sales and purchase taxes, Canadian check layouts, and optional CPA005 EFT files. After a bank imports a CPA005 file, Odoo says payment processing may take up to 48 hours. Test that window before you turn off the payment process you use now.

How should a year-one budget split licenses from implementation hours?

Multiply the named-user list price by 12 and label it licenses. Keep services in hours beside it. For a mix of four Business Central Essentials users and six Team Members, the October 2026 US list is USD 4,416 for the year. The same four posting users on Odoo Standard at the first-year display price are USD 1,492.80. A new-customer Standard Success Pack adds USD 5,950 for 50 hours, including data-import assistance. Add hosting, bill-scan credits, travel, and any users ordered after the initial discount as their own lines so the subscription total is not asked to hide them.
