QuickBooks Enterprise alternative: limits that force a move
QuickBooks Desktop Enterprise still fits one US company when lists sit under the tight caps, month-end reports finish, and named users stay at 30 (40 only on Diamond).
QuickBooks Desktop Enterprise still fits one US company when lists sit under the tight caps, month-end reports finish, and named users stay at 30 (40 only on Diamond). Move when an assembly nears 500 components, price levels near 750, item custom fields reach 15 or any name type reaches 12, more than 40 people need a named login (more than 30 if you skip Diamond's monthly plan), or two entities need one ledger. As of October 2026, Gold starts at USD 2,210 a year and Platinum at USD 2,717. Five Business Central Essentials users list at USD 4,800 a year. Press F2 before you renew.
Match your F2 counts to Intuit's list caps
In QuickBooks Desktop, press F2 or Ctrl+1 and read List Information and File Information. That screen is the count Intuit expects you to compare with the published maximums. Enterprise 17.0 and later allows up to one million names (customers, vendors, and employees combined) and up to one million items. Intuit says some performance degradation is likely as lists approach those thresholds. A 25 to 100 person company almost never hits a million names. The caps that stop a distributor are much smaller: assembly lines, price levels, and custom fields on items or on one name type.
- Names (customers, vendors, employees) (Enterprise maximum: 1,000,000 · What usually hits first: Rare at this size. Speed can drop as you approach it.)
- Items (Enterprise maximum: 1,000,000 · What usually hits first: Same pattern as names.)
- Items in one inventory assembly or sub-assembly (Enterprise maximum: 500 · What usually hits first: A single kit or BOM line count, not your count of finished goods.)
- Price levels (Enterprise maximum: 750 · What usually hits first: Standard price levels, separate from Advanced Pricing rules.)
- Advanced Pricing price rules (Enterprise maximum: 100,000 · What usually hits first: Enterprise only.)
- Custom fields (Enterprise maximum: 45 total · What usually hits first: 15 on items and 30 across customers, vendors, and employees, with no more than 12 in any one of those three name categories.)
- Chart of accounts (Enterprise maximum: 100,000 · What usually hits first: Uncommon as the first wall.)
- Classes (Enterprise maximum: 100,000 · What usually hits first: Uncommon as the first wall.)
- Advanced Inventory sites (Enterprise maximum: 1,000,000 · What usually hits first: Enterprise only.)
- Group items and sales-tax group items (Enterprise maximum: 50 · What usually hits first: Same cap as Pro and Premier.)
- Payroll items (Enterprise maximum: 10,000 · What usually hits first: Same cap as the lower Desktop editions.)
- Memorized reports (Enterprise maximum: 29,000 · What usually hits first: High.)
- Memorized transactions (Enterprise maximum: 50,000 · What usually hits first: High.)
Figures are Intuit's published Desktop list maximums, as documented in the list-limits article (updated August 2026). Pro and Premier total 20 custom fields (5 on items, 15 on names, no more than 7 in one name category). Enterprise's 45 is higher, and 12 fields on customers is still a short list if you track route, rebate program, ship-from warehouse, and a few reseller codes on the same name.
Intuit's upgrade comparison quotes a 14,999 list figure for Pro and Premier against Enterprise's one million vendor, customer, and item lists. That jump is the documented change in names and items. Group items stay at 50 and payroll items stay at 10,000, the same caps as Pro and Premier. The 500-component assembly ceiling and the 750 price-level ceiling are Enterprise maximums to read on F2. If F2 shows an assembly at 460 components, you are near a hard list wall, whatever the name list says.
What QuickBooks Enterprise costs as of October 2026
Intuit's Enterprise pricing page lists three starting prices, all for a single user. Larger seat counts cost more, and the page does not publish a full grid for every seat step.
- Gold (Starting price: USD 2,210 per year · Users the tier can cover: 1 to 30 · How you pay: Annual subscription)
- Platinum (Starting price: USD 2,717 per year · Users the tier can cover: 1 to 30 · How you pay: Annual subscription)
- Diamond (Starting price: USD 5,363 per year · Users the tier can cover: 1 to 40 · How you pay: Monthly payment plan only)
As of October 2026, per Intuit's pricing page. User licenses are sold in single-user steps from 1 to 10, plus a 20-user license and a 30-user license. Diamond is the only tier that can reach 40 users, and it is sold only on a monthly plan. Each named user needs a license.
Do not multiply the one-user price by your headcount. USD 2,210 is Gold for one user, not Gold for the office. When you ask Intuit or your reseller for a quote, ask for the exact seat pack (for example the 10-user or the 20-user license) as its own line.
Payroll sits on top of that subscription. Gold and Platinum include QuickBooks Desktop Enhanced Payroll with an extra charge of up to USD 3 per employee per month. Diamond uses Assisted Payroll at USD 2.50 per employee per pay period, and QuickBooks Time Elite at USD 5 per employee per month. Assume 25 employees paid semi-monthly, which is 24 pay periods:
- On Gold or Platinum, Enhanced Payroll is up to 25 times USD 3 times 12, which is up to USD 900 per year.
- On Diamond, Assisted Payroll is 25 times USD 2.50 times 24, which is USD 1,500 per year. Time Elite is 25 times USD 5 times 12, which is another USD 1,500. Together that is USD 3,000 per year before the higher Diamond subscription.
A weekly payroll would raise the Assisted Payroll line, because the fee is per pay period. Price your actual pay calendar. Moving to Diamond to gain ten seats also swaps the payroll meter. That swap belongs in the renewal comparison, next to the USD 5,363 starting subscription.
Annual Gold and Platinum plans commit you to 12 months. Cancel inside 60 days for the money-back option. Cancel after that and there is no prorated refund. Access continues through the paid term. The renewal date is the decision date. A migration that starts the week after renewal still leaves you paying for a year of Enterprise.
Silver is still sold. The October 2026 Intuit plan cards showed Gold, Platinum, and Diamond. A 2026 price note from SWK Technologies puts single-user Silver at USD 1,873 per year. Confirm that figure on your own renewal quote. The table above uses the Gold, Platinum, and Diamond amounts on Intuit's cards.
Enterprise itself is still for sale to new US buyers. As of 1 October 2024, Intuit no longer sells new US subscriptions to QuickBooks Desktop Pro Plus, Premier Plus, Mac Plus, or Desktop Enhanced Payroll. Existing subscribers of those products can still renew. Intuit's discontinuation article leaves Enterprise on sale for new and existing US customers. If you are already on it, the decision is fit and price.
The license wall, the list wall, and the speed wall
Buyers often describe one problem, "QuickBooks is too small," and then shop for a replacement. Enterprise has three different walls. The fix for one does nothing for the other two.
Named users stop at 30, or 40 on Diamond
Each person who signs in needs a license. When the file is full, Desktop shows "You have exceeded the maximum number of users". Buying another single-user step, or stepping up to the 20-user or 30-user license, clears that message on Gold and Platinum until you reach 30. The 31st named user requires Diamond, which caps at 40 and bills monthly.
Shared logins are the workaround teams adopt when the seat quote jumps. One Desktop user on that thread put it plainly: "I hate the idea of shared logins because if PMs screw up on a PO, there's little chance of audit". If project managers, buyers, and warehouse leads share one name, the audit trail shows the shared name. That is a controls problem, not a saving.
Enterprise has 14 predefined roles, and only an admin can create users. Changing a role changes every user on that role. Enterprise is the Desktop edition that can create a view-only user, which helps an owner who should see reports and stop short of posting. It does not give you a cheap seat for someone who must create a purchase order. If more than 30 people need to create or approve transactions under their own name, Diamond's 40-user ceiling is the last Desktop step, and it is still a ceiling.
A few lists stay small even after you upgrade
The million-name ceiling is the number on the sales page. The working ceilings are the ones in the table above. Walk F2 in this order:
- Items in the largest assembly or sub-assembly, against 500.
- Price levels, against 750, unless you have already moved that work to Advanced Pricing rules (maximum 100,000).
- Custom fields: 15 on items, and no more than 12 on customers, on vendors, or on employees.
- Group items and sales-tax group items, against 50.
- Payroll items, against 10,000.
- Names, items, sites, classes, and the chart of accounts, which sit at 100,000 or one million and are rarely first.
For a single-entity distributor under 30 named users, with assemblies far from 500 components and price levels far from 750, Enterprise is usually enough. The upgrade from Pro or Premier already bought the larger name and item lists. Another product does not pay for itself if those are the only lists you looked at.
Intuit publishes no gigabyte cap, and speed still falls
Intuit says there is no hard limit on company-file size, and that performance decreases as the file grows. The same article tells you to condense the file or start a new one when a large file is slow. It also says the product is aimed at keeping at least two years of detail for comparisons. Condensing to make reports finish can strip the history you use for those comparisons. That tradeoff is the performance wall: the file is allowed to grow, and the documented remedy fights the comparison window.
Slow reports are sometimes the server. Intuit's RAM rule of thumb multiplies company-file size in gigabytes by the number of users. The worked example on the performance article: a 500 MB file with 6 users needs 3 GB of RAM for QuickBooks (0.5 times 6). Enterprise technical specs separately call for 8 GB of server RAM at 5 users, 12 GB at 10, 16 GB at 15, and 20 GB at 20 or more, with 16 GB recommended on the client and an SSD. If a 10-user file server has 8 GB, you are under that table. Fix the server before you treat a spinning report as proof you have outgrown the product.
Enterprise runs on Windows 10 or 11 64-bit, or Windows Server 2016, 2019, or 2022. Windows 8.1, Windows 10 S mode, Windows 11 IoT, and Linux are not supported. There is no Mac edition. A finance lead on a Mac is using a remote Windows session or a different PC. That is a hosting fact, separate from list limits.
When staying on Enterprise is still reasonable
Stay through the next renewal when every line below is true for the file you close this month:
- You operate one legal entity, and you do not need a second company in the same ledger.
- F2 shows assemblies well under 500 components, price levels well under 750, and free custom fields on items and on each name type.
- Fewer than 30 people need a named login. View-only covers the people who only read.
- Month-end reports finish in QuickBooks. Nobody is splitting the general ledger into monthly spreadsheets to get a year view.
- The server meets the RAM table for your user count, and the file is on an SSD.
That company should keep Enterprise. New US buyers can still purchase it, Gold or Platinum will cover the seats, and a second system would add licenses without removing a wall you have not hit. The broader timing question, including companies still on Pro or Premier, is covered in when to move from QuickBooks to ERP. Enterprise is the narrower case: the edition already has the large name list, and the remaining walls are users, a handful of short lists, file speed, and a second entity.
Leave yourself a trigger before you sign another 12 months. Write down the F2 numbers for the largest assembly, price levels, custom fields used, named users, and file size. If two of those move sharply during the year, reopen the comparison while you can still cancel inside the 60-day window of the following term, or before this term renews.
What opening a second company file changes
Enterprise can open a second company file at the same time (File, then Open Second Company). Intuit's article on the second file is explicit about the limits: both files then block a set of operations, including adding seats, syncing the license, and installing some add-ons. You can look at two files. You do not get one database. Someone has to close the second file before a seat change or a license sync will run.
Intercompany bills and checks between separate company files shipped in Enterprise 2023. They are available only in Enterprise Accountant, Diamond, or Platinum. Once a relationship between files is created, Intuit says it cannot be removed. Read that before you turn the feature on between a parent and a subsidiary you might later sell. The feature posts bills and checks across files.
A Method blog states the pattern its readers use: "Many businesses export data to Excel and create consolidated financial statements using spreadsheets." A Desktop user described the export pain on the way there: "When I export data from QB Desktop there seems to be a hard row limit of around 33K rows". The same thread's workaround was "Current solution is to pull monthly reports and then combine with Powerquery but that's time consuming and error prone." Intuit's list and pricing pages do not publish a 33,000-row export specification. Treat the row count as that user's report. The operational fact you can check this month is your own: if the year-to-date general ledger will not export in one pass, and the close waits on someone stitching months together, you already have a consolidation process made of files.
Two or more legal entities on Enterprise mean separate company files, intercompany bills and checks available only on Enterprise Accountant, Diamond, or Platinum, and a relationship Intuit says cannot be removed. When you compare that arrangement with a product that keeps multiple companies in one environment, put any combine your close runs today on the Enterprise side of that comparison. A combine a person runs each month is where a new account added in March can go missing. That miss usually surfaces when the bank asks for statements and the balance sheet will not tie.
What Business Central and Odoo cost next to Enterprise
Price the next system in license units you can check, then ask for implementation as a separate quote. Dynamics 365 Business Central lists Essentials at USD 80 per user per month, Premium at USD 110, and Team Members at USD 8, each paid yearly, as of October 2026. Microsoft's comparison table marks unlimited users, multiple companies, and multiple environments on both Essentials and Premium. Manufacturing and service order management are Premium. A warehouse worker who only approves or looks up a document is the Team Members case. A buyer who posts receipts and invoices needs a full license. Confirm the exact rights on the pricing page before you assign the USD 8 seat.
Odoo's US pricing page shows Standard at USD 31.10 per user per month on the discounted yearly rate, and USD 38.90 per user per month if billed monthly, for all apps on Odoo Online. Custom shows USD 46.70 per user per month yearly and USD 58.40 monthly. Custom is the plan that adds multi-company, Odoo Studio, the external API, Odoo.sh, and on-premise. One app is free with unlimited users. Installing Studio or adding companies switches the database to Custom. The yearly figures are the discounted rates shown beside the monthly rates. Confirm them at checkout. They move, and other locale pages show different Custom amounts.
Assume five people need a full license and fifteen only need to read, approve, and do limited updates.
- Business Central Essentials plus Team Members (Rate used: USD 80 and USD 8, paid yearly · License math for this mix: (5 times 80 times 12) plus (15 times 8 times 12) · Per year: USD 6,240)
- Business Central Premium plus Team Members (Rate used: USD 110 and USD 8, paid yearly · License math for this mix: (5 times 110 times 12) plus (15 times 8 times 12) · Per year: USD 8,040)
- Odoo Custom, 5 full users, yearly discounted rate (Rate used: USD 46.70 · License math for this mix: 5 times 46.70 times 12 · Per year: USD 2,802)
- Odoo Custom, if all 20 people need a full user (Rate used: USD 46.70 · License math for this mix: 20 times 46.70 times 12 · Per year: USD 11,208)
- Odoo Standard, 5 users, one company (Rate used: USD 31.10 yearly · License math for this mix: 5 times 31.10 times 12 · Per year: USD 1,866)
- Enterprise Platinum, published starting price (Rate used: USD 2,717 per year · License math for this mix: One user. Extra seats are a separate quote. · Per year: USD 2,717 at one user)
Rates as of October 2026 from the Business Central pricing page and the Odoo US pricing page. Five Essentials users alone are 5 times 80 times 12, which is USD 4,800 per year. That already sits above a one-user Platinum subscription at USD 2,717. The Platinum figure does not buy five seats, and the Essentials figure does not include implementation. Read the rows as license list, not as a project budget.
A few more prices follow from the same rates. If you manufacture or you run service orders, budget Premium for the people who post that work: five Premium users are USD 6,600 per year before any Team Members. If you have one company and you can live on Odoo Online without Studio, Standard is the lower Odoo rate, at USD 1,866 for five users on the yearly discount. The moment you add a second company, the database moves to Custom, and the five-user line becomes USD 2,802. Ten Custom users at the same yearly rate are 10 times 46.70 times 12, which is USD 5,604 per year. One free app with unlimited users applies while you remain on a single app. A second app ends that arrangement.
Side by side with how people work, the license difference is also a file difference. Business Central's comparison table marks multiple companies on both Essentials and Premium, so two entities sit in one environment on the USD 80 plan. Odoo puts multi-company on Custom, the USD 46.70 rate in the table above. Enterprise keeps each entity in its own company file, with intercompany bills and checks on Platinum or Diamond. How those products differ in daily accounting, beyond this license math, is laid out in Business Central vs QuickBooks.
What you can price before anyone quotes the project
License list is public. A QuickBooks Enterprise data migration price is not on these vendor pages. Ask each bidder to price data migration, opening balances, and historical detail as their own lines. A fixed fee that says "implementation" and stays silent on how many years of invoices move will move later, in a change order, once the file size is obvious.
Intuit's own next cloud step is Intuit Enterprise Suite. The Enterprise pricing page positions it for complex multi-entity work and says dedicated implementation consultants manage a Desktop migration, described as up to a USD 9,000 value. That figure is Intuit's stated value of its own onboarding. A Business Central or Odoo project is quoted separately, against your file. If your main need is two company files and you want to stay with Intuit, ask what that onboarding includes and what the subscription costs after it. Put that answer next to the other two license tables. USD 9,000 is Intuit's stated value, and your file still needs its own quote.
Odoo publishes Success Pack hours. They are consultant time, not a full books-and-inventory migration price. New-customer prices on the packs page:
- Starter (Hours: 4 · Price for a new customer: USD 493)
- Basic (Hours: 25 · Price for a new customer: USD 3,060)
- Standard (Hours: 50 · Price for a new customer: USD 5,950)
- Custom (Hours: 100 · Price for a new customer: USD 10,625)
- Pro (Hours: 200 · Price for a new customer: USD 21,250)
As of October 2026, per Odoo Success Packs. Returning customers pay list on the smaller packs (Basic USD 3,600, Standard USD 7,000). Hours expire after one year. Odoo.sh hosting and extra custom-module maintenance are extra. A 50-hour Standard pack at USD 5,950 is a block of consultant time. Ask the firm doing the work which of those hours load items, open sales orders, and history, and which hours are configuration. Hours that sit outside the pack belong on the quote as their own line.
Business Central has no equivalent public hour pack in this price set. Essentials, Premium, and Team Members are the published costs. The implementation is quoted by the firm that configures the companies, moves the lists, and trains the people who post. Our work on that path is a Business Central implementation scoped in phases: the first phase is the workflows you cannot keep doing in Enterprise, and later phases pick up the rest. The same phased shape applies if the fit is Odoo for more than one company, where Custom is the license and the Success Pack is only the hour block.
What to settle before you renew
Treat the 12-month term you are about to buy as the deadline. Enterprise remains a capable ledger for one company inside the caps above. Another year of Gold, or a step up to Diamond, leaves the 500-component assembly cap, the 750 price-level cap, and the one-file-per-entity model in place.
- Print F2. Write the name count, item count, largest assembly, price levels, custom fields used by category, sites, payroll items, group items, file size, and the number of named users who signed in this month.
- Name the wall. Users and shared logins point at seats (30, or 40 on Diamond). An assembly at 500, price levels at 750, or custom fields at the category cap point at a list Enterprise will not raise. A slow file with RAM under the spec table points at the server first, then at condensing, with the two-year comparison window in mind. A second legal entity points at separate company files, intercompany bills and checks limited to Enterprise Accountant, Diamond, or Platinum, and a relationship Intuit says cannot be removed. If your close already combines monthly exports into one statement, price removing that step.
- If you stay, renew Gold or Platinum for the seats you need, keep Enhanced Payroll in the math, and diary the F2 numbers for next year.
- If you have a second company, more than 30 people who must post under their own names, or a list cap you are about to touch, price licenses from the tables above. Five Essentials users are USD 4,800 per year. Five Essentials plus fifteen Team Members are USD 6,240. Five Odoo Custom users on the discounted yearly rate are USD 2,802, and a second company is what pushes you onto Custom. None of those figures is the migration.
- Ask every bidder, including Intuit if you take the Enterprise Suite conversation, for three lines: license, migration (what years, what transactions, what opening balances), and training for the people who post. Reject a single blended number.
- Time the cutover against the 60-day money-back window and the 12-month commitment. Signing Enterprise in October and starting a migration in November means a year of overlapping software unless you planned the overlap.
Companies in the 25 to 100 person range can leave later modules for a later phase. The first phase is a close that finishes without a stitched export, stock and orders that are entered once, and a named login for each person who can create a purchase order. How we run an ERP implementation for that phase, on Business Central or on Odoo, is the scoping work. Bring the F2 printout. The call is shorter when those counts are already on the table.

Frequently asked questions
Can Business Central replace QuickBooks entirely?
Essentials covers finance, sales, purchasing, and inventory for multiple companies at USD 80 per user per month, paid yearly. Manufacturing and service order management sit on Premium at USD 110, and Team Members at USD 8 cover read, approve, and limited updates. Replacing Enterprise means mapping each role to one of those licenses and moving lists and open documents in a scoped phase. The license page leaves the implementation fee for a separate quote.
How do I get past a roughly 33,000-row export when I pull Desktop reports?
Users report splitting the year into monthly exports and combining them in Power Query. Intuit's list and pricing pages do not publish a 33,000-row specification, so time the export on your own file. If the year-to-date general ledger will not come out in one pass, the close is already waiting on a spreadsheet. A ledger that holds that detail removes the monthly stitch.
What does the message about exceeding the maximum number of users mean?
Desktop shows that message when more people are signed in than the license allows. Gold and Platinum sell seats in single-user steps from 1 to 10, then as 20-user and 30-user licenses, and Diamond reaches 40 on a monthly plan only. Each named user needs a license. A shared login can clear the message and also hide who created a purchase order.
At what point is a company too big for QuickBooks Enterprise?
Headcount alone is a weak test. Move when an assembly nears 500 components, price levels near 750, item custom fields reach 15 or any one name type reaches 12, more than 40 named users need a login (more than 30 if you will not take Diamond's monthly plan), or a second legal entity needs one ledger. A file so slow that condensing it would drop two years of comparison detail is a separate reason to look. A single company inside those lines can stay on Enterprise.
Does QuickBooks Enterprise run on a Mac?
Enterprise runs on Windows 10 or 11 64-bit, or on Windows Server 2016, 2019, or 2022. Windows 8.1, Windows 10 in S mode, Windows 11 IoT, and Linux are unsupported, and there is no Mac edition. A finance lead on a Mac needs a Windows session or another PC. That constraint is separate from list size and user count.
Do Odoo Success Pack hours include a full books and inventory migration?
The packs are consultant hours, priced for new customers from USD 493 for 4 hours to USD 21,250 for 200 hours. A 25-hour Basic pack is USD 3,060 and a 50-hour Standard pack is USD 5,950, and hours expire after one year. Hosting on Odoo.sh and extra custom-module maintenance cost more. Ask which hours load items, open orders, and history before you treat the pack price as the project price.
What happens to payroll charges if we move from Platinum to Diamond?
Gold and Platinum add Enhanced Payroll at up to USD 3 per employee per month. Diamond lists Assisted Payroll at USD 2.50 per employee per pay period and QuickBooks Time Elite at USD 5 per employee per month. Assume 25 employees paid semi-monthly: Enhanced Payroll is up to USD 900 per year, and Assisted Payroll plus Time Elite is USD 3,000 per year before the higher Diamond subscription. A weekly payroll raises the Assisted Payroll line because that fee follows the number of pay periods.
