How to hire a Business Central consultant: rates and scope

A Business Central consultant does not have one US hourly price.

FlecticUpdated 25 min read

A Business Central consultant does not have one US hourly price. KORE1's guide, updated August 16, 2026, puts Dynamics 365 client bill rates at USD 90 to 175 an hour for an independent and USD 150 to 250 for a boutique or systems integrator. Those bands cover Dynamics 365 as a group. ZipRecruiter lists blended Dynamics 365 Consultant pay at USD 110,056 a year as of September 12, 2026, about USD 52.91 an hour. Budget the first phase from a published package, then add licenses: Essentials is USD 80 per user per month, paid yearly, as of October 2026.

The pages that rank for this search are firm lists and consulting homepages. They name industries and services. They do not show what a 20 to 100 person company should budget, or what the contract should still cover three months after go-live. The gap between a person's wage and the invoice you sign is where a thin quote hides scope.

What an hourly quote is measuring

Three numbers get swapped in the same conversation. The first is wages. The second is what a contractor asks a recruiter or a client to pay them. The third is what a firm bills you for that person's hour. An hourly proposal that names one rate and a pile of hours has not told you which of the three you are looking at.

  • Average US pay, job title Dynamics 365 Consultant (wage, blended title) (Amount: USD 110,056 a year, about USD 52.91 an hour. Majority band USD 100,000 to USD 119,500 · When it was published: September 12, 2026 · Who published it: ZipRecruiter)
  • Contract-to-hire pay offered to a Business Central consultant in South Florida (employer pay) (Amount: USD 70 to 85 an hour, then USD 120,000 to 130,000 a year · When it was published: September 2026 · Who published it: Haystack posting)
  • US base salary, Business Central consultant, by years of experience (salary, not a bill rate) (Amount: USD 90,000 (0 to 3 years), USD 125,000 (4 to 8), USD 145,000 (9 or more) · When it was published: 2024 survey, PDF seen 2026 · Who published it: Conspicuous salary survey)
  • Recruiter benchmark, US Business Central functional consultant (Amount: Salary median USD 130,500. Contract band USD 120 to 168 an hour · When it was published: Page published March 27, 2024. Treat as a 2024 benchmark · Who published it: Nigel Frank)
  • Median wage, management analysts (not a Dynamics role) (Amount: USD 101,860 a year, USD 48.97 an hour · When it was published: May 2025 · Who published it: Bureau of Labor Statistics)
  • Client bill rate, Dynamics 365, by who sells the hour (Amount: Independent USD 90 to 175. Staffing-firm contractor USD 85 to 165. Boutique partner or systems integrator USD 150 to 250 · When it was published: Article updated August 16, 2026 · Who published it: KORE1)
  • Contract rate by role, Dynamics 365, staffing-firm guide (Amount: Mid-level functional consultant on Customer Engagement or Business Central: USD 80 to 120. Solution architect or delivery lead: USD 155 to 250 · When it was published: Guide dated July 27, 2026 · Who published it: KORE1 salary guide)

KORE1's own line on the August article is that the platform explains less of the spread than the engagement model. A Business Central functional hour and a Finance and Operations architect hour can both be called Dynamics 365 on a rate sheet. The July guide splits them: a mid-level functional consultant on Customer Engagement or Business Central is listed at USD 80 to 120 an hour on contract, while an architect or delivery lead is listed at USD 155 to 250. If the proposal uses one blended rate, ask which roles sit inside it.

Wages are the wrong ceiling for a services invoice. ZipRecruiter's USD 52.91 an hour, the Florida employer's USD 70 to 85, and the BLS management-analyst median of USD 48.97 are pay. Nigel Frank's USD 120 to 168 contract band is a 2024 recruiter page, and the page does not show a survey year separate from the March 27, 2024 publish date. None of those is the 2026 amount a boutique writes on your statement of work.

The bill-versus-ask gap shows up in working consultants' own comments. In a January 2024 thread, people described corp-to-corp offers of USD 65 to 85 an hour. One of them wrote, "The rates I keep seeing are $65-85/hr". A separate commenter said they tell recruiters they charge USD 110 an hour directly, while "the consulting company I work for will charge $230/hr if you want me to work on your project". That USD 110 and USD 230 pair is one person's account. The USD 110 is the individual's ask, and the USD 230 is a firm invoice for the same person.

On a short paid-setup thread, a buyer asked, "Any reason you don't specify the rate?", and another consultant answered that "usually when I work with other consultants they'll tell me their rate." Put that question in writing. A rate card by role, dated, with the seniority you will get, is the document. A single blended number is a later argument.

What published first-phase packages list

There is no audited US average for a Business Central implementation. Microsoft's pricing page sells licenses, not projects. Two partners do publish fixed menus. Use them as anchors you can point at, then ask every bidder where your company falls outside the printed scope. Seen October 2026:

  • Core Financials (Starting price: USD 25,000 or CAD 34,000 · Stated duration: 4 weeks · What the listing ties to the price: Single company, basic accounts payable)
  • Finance and Distribution (Starting price: USD 35,000 or CAD 47,000 · Stated duration: 8 weeks · What the listing ties to the price: The plan name. Inclusions beyond the name are on the publisher's page)
  • Manufacturing and service path for engineering firms (Starting price: USD 80,000 or CAD 105,000 · Stated duration: 16 weeks · What the listing ties to the price: Core financials, project setup, migration, training, testing, go-live support)
  • Silver engineer-to-order (Starting price: USD 59,000, plus USD 1,575 a month · Stated duration: About 7 months to go-live · What the listing ties to the price: Training, configuration, and best-practice consulting. The monthly budget ends 90 days after go-live)

The first three rows are Rand Group's rapid plans and its engineering plan. The Silver row is Sabre Limited's January 10, 2025 article. Canadian dollar figures are those pages' displayed prices, and the license figures in Canadian dollars on the engineering page are that firm's displayed prices. That article states that implementation and training are not billed by the hour, except custom programming.

Read the cheapest row against your company before you treat USD 25,000 as a quote. Core Financials is published as one company with basic accounts payable, over four weeks. A second company is a different scope. Distribution, project setup, or a shop-floor process sits on a higher published row: USD 35,000 starting over eight weeks, or USD 80,000 starting over 16 weeks when the path includes manufacturing and service work plus migration, training, testing, and go-live support. A 20 to 100 person firm with inventory, a second company, or an integration is outside that four-week financial package.

The Silver engineer-to-order figure, USD 59,000 plus USD 1,575 a month, is a fixed fee for training, configuration, and consulting, with projects described as about seven months to go-live. The monthly Project Excellence budget ends 90 days after go-live. That cutoff is the useful detail. The implementation invoice and the support invoice are different purchases, and the support clock is printed.

Under the Flectic Accelerated Delivery Framework, our target for a first usable phase is 8 to 12 weeks. That target is ours. It is not a market average, and it is not a promise that a manufacturing scope finishes inside it. The published menus already show a four-week financial start, an eight-week finance and distribution start, a 16-week engineering path, and an engineer-to-order path of about seven months. Phase names and what belongs in each one are laid out in Business Central implementation phases.

What licenses add in the first year

Every consultant quote above is services. Subscriptions are a second check, paid to Microsoft through the reseller, yearly. As of October 2026, Microsoft's Business Central pricing page lists Essentials, Premium, and Team Members. Device is from the November 2025 announcement, not from those three plan cards:

  • Essentials (List price: USD 80 per user per month, paid yearly · What it is for: Full user on the Essentials plan)
  • Premium (List price: USD 110 per user per month, paid yearly · What it is for: Full user. Manufacturing and service order management sit on Premium)
  • Team Members (List price: USD 8 per user per month, paid yearly · What it is for: Other internal users. Public pricing describes limited access to read data, approve workflows, and create or update select information)
  • Device (List price: USD 45 per device per month · What it is for: Shared device. Stated on the November 2025 pricing announcement. Was USD 40)

The November 1, 2025 change is Microsoft's pricing announcement: Essentials moved from USD 70 to USD 80 and included storage from 2 GB to 3 GB, Premium from USD 100 to USD 110 and storage from 3 GB to 5 GB, Device from USD 40 to USD 45 and storage from 1 GB to 1.5 GB. Microsoft called it the first Business Central price increase in more than five years. New prices apply to new cloud subscriptions and to existing ones at the first renewal on or after that date. A pricing note citing that announcement states that Team Member licenses were not part of the update, and the live pricing page still shows Team Members at USD 8.

Microsoft Learn requires at least one Essentials or Premium user. Other internal users can be Team Members. Essentials and Premium are separate plans. Sales Order Agent and Payables Agent on the pricing page need Copilot Credits, sold separately. Do not let a proposal fold those credits into the user license.

You can procure up to three External Accountant licenses per tenant. Microsoft Learn says the licenses are free and still have to be procured, and the accountant's email must be a Microsoft Entra work address. If the license is missing from the tenant, you contact the reselling partner to add it. Put that line on the license map so month-end is not waiting on a missing free license.

Assume 25 users, of whom 8 post invoices, orders, and inventory, and 17 approve, look up, or update a limited set of records. At October 2026 list prices, paid yearly:

  1. If the eight full users are on Essentials: 8 times USD 80 is USD 640 a month. Seventeen Team Members: 17 times USD 8 is USD 136 a month. Together that is USD 776 a month, or USD 9,312 a year.
  2. If those eight full users are on Premium because you run manufacturing: 8 times USD 110 is USD 880 a month, plus USD 136, which is USD 1,016 a month, or USD 12,192 a year.
  3. Add four shared shop-floor devices at the announced Device price: 4 times USD 45 is USD 180 a month, or USD 2,160 a year.

The Premium year in step 2 is USD 2,880 more than the Essentials year in step 1, before devices. Set the Finance and Distribution starting price of USD 35,000 beside the Premium year and the services-plus-license cash in year one is USD 47,192, before devices, Copilot Credits, custom programming, extra storage past the included 5 GB on Premium, and any support after the package window. That USD 35,000 is one partner's starting list price for a named plan. It becomes your price only if your scope matches the plan. If your eight full users do not need Premium, use USD 9,312 of licenses and the same placeholder services figure, which is USD 44,312, and ask the license map to prove Essentials covers the documents those eight people post.

Freelancer, boutique partner, or large reseller

The August 2026 bill-rate bands line up with three ways to buy the same skill. An independent sits in KORE1's USD 90 to 175 band. A staffing-firm contractor sits in USD 85 to 165. A boutique partner or systems integrator sits in USD 150 to 250. You are paying for who carries the work when that person is sick, and for who answers on day 91.

A freelancer can be the right buy for a bounded configuration: one company, a known chart of accounts, no integration, and someone inside your company who already posts in Business Central. You are hiring one person. A second consultant on a bench, and a firm-level Solutions Partner score, are not part of that hire. If they leave, the knowledge leaves unless the contract already names the files you keep.

A boutique partner is the model behind the USD 150 to 250 band and behind the fixed packages in the table. You should get a project lead plus a functional consultant, a written phase, and a support offer with a price and an end date. The risk is a senior person in the sales meetings and a junior person on the build. The rate card and the named-resource clause are how you check.

A large reseller sells licenses and a bench. That helps when you need Premium, Device, External Accountant, and Copilot Credits procured correctly, and when you want a firm that can swap in a second consultant. It also adds the spread you saw in the January 2024 comment, where a firm billed USD 230 for someone whose own ask was USD 110. Ask what share of the fee is license resale, what share is the named consultant, and what share is a delivery lead you will meet.

Staffing a full-time employee is a fourth path, and it uses the wage column, not the bill column. At ZipRecruiter's September 2026 average, a Dynamics 365 Consultant title costs about USD 110,056 a year in pay, before benefits, and the title is not Business Central alone. A South Florida contract-to-hire ad in September 2026 offered USD 70 to 85 an hour on contract and USD 120,000 to 130,000 full time, which is what the employer pays the person. One employee still takes leave. The comparison of an outside consultant and an internal hire is the subject of ERP consultant vs internal team.

Designations are a weak first filter. Solutions Partner for Business Applications is an organization score: at least 70 of 100 points, with at least one point in each required category (performance through net customer adds, skilling through certifications, and customer success through usage and deployments). Business Central is an eligible workload. Microsoft retired the Gold and Silver competency model in 2022 and replaced it with this score. A buyer-facing community article states that the score reflects delivery Microsoft has observed, and that the designation does not name the consultants who will be staffed. A freelancer does not hold that organization score. A firm that holds it can still assign someone who has never closed your kind of books.

The individual credential is separate. The Microsoft Certified: Dynamics 365 Business Central Functional Consultant Associate (exam MB-800) is an intermediate certification held by a person. It renews every 12 months. The certification page was last updated June 30, 2026. The MB-800 study guide weights setup at 20 to 25 percent, financials at 30 to 35 percent, sales and purchasing at 10 to 15 percent, and operations at 30 to 35 percent. Financials and operations together are more than half the exam. A consultant who can demo sales orders and cannot tie a subledger to the general ledger is mismatched to that weight. How to judge the firm around that person, including references and who is on the account, is covered in how to choose a Business Central implementation partner.

What to buy before a build price

Microsoft does not list an implementation or discovery fee on the pricing page. Buy discovery as its own small fixed contract, with a written output, before anyone quotes the build. Two marketplace listings are a floor for a short review, and they are offer prices, not a negotiated statement of work. Seen October 2026:

  • Advisory review of an existing Business Central environment (Listed price: USD 4,900 · What the listing is for: Aimed at customers after go-live)
  • Assessment offer (Listed price: USD 8,000 · What the listing is for: Requirements, fit-gap, and solution design are in the description. The listing also reaches into oversight, migration, and customization, which is wide for the price. Treat USD 8,000 as the listed offer, not a full implementation)

The advisory row is Enavate's marketplace offer. The assessment row is Pinetworks' marketplace offer. A first implementation is not the same job as a post-go-live review, so USD 4,900 is a floor for a structured look at a system you already run. Use it to challenge a discovery quote that is either a free sales workshop with no written fit-gap, or a five-figure workshop with no named outputs.

Ask the discovery contract to name each of these, and to say what finished looks like for each:

  1. The workshops, with who from your side must attend, and how many hours.
  2. A fit-gap against the documents you post today: sales order, purchase order, inventory adjustment, and the close.
  3. A license map: who is Essentials or Premium, who is Team Members, which devices, which External Accountant emails, and whether any Copilot agent is in scope.
  4. Data migration as its own line: which opening balances, which open documents, and which history you are leaving behind.
  5. Integrations, each direction named (what enters Business Central, what leaves it).
  6. Training hours, and whether trainees post transactions or only watch.
  7. Hypercare days after go-live, with an end date.
  8. A rate card by role for anything the fixed fee does not cover, especially custom programming.

Hours without that list are a duration, not a price. If a bidder will not price discovery on its own, you will learn that before the build invoice.

Contract terms that still matter after go-live

The fear in this purchase is a consultant who finishes configuration and is gone when the first close fails. A functional consultant who takes over other partners' Business Central go-lives describes the incoming calls this way: "When new clients approach me for support after their Dynamics 365 Business Central go-live, it's often because their initial implementation didn't go as smoothly as planned." The failures named there are operational, and an hourly implementation quote often never priced them: subledgers that do not balance to the general ledger because direct posting was left on, bank reconciliations that were never set up, and users who were not trained to transact.

Write these into the statement of work.

  1. Named people, and a substitution right you approve in writing. A designation on the firm does not staff the project.
  2. A hypercare window with a clock. One published window ends 90 days after go-live and has a stated monthly amount while it runs. Ask who is on the account the day that window ends, by name, and what you pay after that.
  3. Ownership of AL extensions and of configuration packages. Buyers who want to leave a partner ask, "Will they allow you to take the IP on yourself and move to another partner?" Put the answer in the contract. Also ask whether you can move without a full re-implementation: one buyer put it as, "Is there anything we can do to try and get these things fixed or move to another partner without having to just completely re-implement".
  4. A not-to-exceed amount, or a change-order rule that says who can add hours and at which rate-card row.
  5. A support plan that starts before the implementation statement of work ends, so the support plan is already in force when the implementation statement of work ends.

On that same partner-exit thread, a buyer summed up the support they were getting as "their support is TERRIBLE". The contract cannot make a person skilled. It can make the names, the clock, and the files yours in writing, which is what you need if you later hire someone else to repair the close.

Our Business Central implementation work is sold in phases so the first contract has a named scope, a license map, and a person who is still available after go-live. If you are still deciding whether to leave the system you have, start with ERP implementation for a company this size and settle the scope before you compare hourly rates.

Questions that show whether the consultant has done this work

Use the failure modes and the exam weights. You want short answers, on a call, from the person who would do the work.

  1. Will you leave direct posting off on control accounts so the subledgers tie to the general ledger? Ask them to show the setting on a sample company.
  2. Who runs the first bank reconciliation before go-live, and is that hour in the fixed fee?
  3. Which named users are trained to post, and which are only trained to watch? Watching does not close the month.
  4. Are the named consultants a Business Central team, or a GP team for whom this would be a first Business Central project?
  5. Who is on the account 90 days after go-live, by name, and what do we pay when that window ends?
  6. If we stop the engagement, which AL extensions and configuration packages do we keep?
  7. Walk one financial scenario from the MB-800 weight: a purchase invoice, a payment, and a reconciliation that hits the general ledger. Setup, sales demos, and operations talk do not replace that.

A consultant who will not do item 7 on the call is a poor bet for a company whose close is the reason for the project. References should be companies of a similar size and a similar process (distribution, light manufacturing, or professional services), and you should ask those references who was on site in the last month of the project.

How to read a quote of 250 to 350 hours

A buyer starting a small heavy-construction company asked, in March 2023, "I'm being quoted 250-350 hours of time, does this make sense?" for an initial Business Central configuration for a single user. The same post says, "Prices for implementation seem steep, especially for a very small start up." A commenter who said they work on a Business Central team treated those hours as plausible and wrote that their contracts range from USD 130,000 to 180,000. Another comment used USD 240 an hour only as illustration: 350 hours times USD 240 is USD 84,000 of labor, licenses excluded. Do not adopt USD 240 as a rate. It was arithmetic in a thread.

Apply the same hour counts to KORE1's August 2026 boutique band of USD 150 to 250, which is a Dynamics 365 band, not a Business Central survey. Assume every hour is billed inside that band, and that the band's floor and ceiling are the only rates in use:

  • 250 (At USD 150 an hour: USD 37,500 · At USD 250 an hour: USD 62,500)
  • 350 (At USD 150 an hour: USD 52,500 · At USD 250 an hour: USD 87,500)

A 100-hour swing inside one quoted range is USD 15,000 at USD 150 an hour and USD 25,000 at USD 250. The seniority mix moves it again. The July 2026 guide lists a mid-level Business Central or Customer Engagement functional consultant at USD 80 to 120 on contract, and an architect or delivery lead at USD 155 to 250. Two hundred fifty architect hours at USD 155 is USD 38,750. The same 250 hours at the functional ceiling of USD 120 is USD 30,000. The hour count did not change. The role did.

For a single-user startup, 250 to 350 hours can be what a team quotes, and one team's contracts of USD 130,000 to 180,000 show what happens when the rate and the surrounding work climb. That range is a 2023 anecdote about that team's contracts, including a remark that a Dynamics customer-engagement integration can reach millions. It is not your price. A 25-person company on a published finance and distribution start of USD 35,000 is a different object from a USD 130,000 contract, and neither figure includes the USD 9,312 or USD 12,192 of licenses in the worked example.

If your quote is an hour range with no role mix, send it back with four blanks to fill: hours by role, the rate for each role, which of those hours are inside a fixed fee, and which deliverables from the discovery list are excluded. Then compare the fixed portion with the published starts (USD 25,000, USD 35,000, USD 59,000, USD 80,000) and add the license year. You will know whether you are buying a four-week financial setup, a distribution phase, or an open-ended draw on a senior rate card.

Frequently asked questions

What is a Business Central consultant?

A Business Central consultant configures Dynamics 365 Business Central for your company: the chart of accounts, posting rules, items, and the documents your team enters. Implementation work, a move from an older system, and support after go-live are different purchases, and a serious proposal prices them separately. The person credential for functional work is the MB-800 associate exam, which renews every 12 months. A firm designation does not tell you which person will do the work.

What can a Team Members license do, and do I have to put every user on Premium if one user needs manufacturing?

Microsoft's public pricing line describes Team Members as limited access to read data, approve workflows, and create or update select information, at USD 8 per user per month, paid yearly, as of October 2026. Manufacturing and service order management sit on Premium at USD 110 per user per month, and the tenant needs at least one Essentials or Premium user. Whether the other full users can stay on Essentials is a question for the current licensing guide. Have the reseller show which documents each person can post on the plan in the proposal.

How long does it take to implement Business Central?

Published fixed plans run about four weeks for a single-company financial package, eight weeks for a finance and distribution start, 16 weeks for an engineering path with manufacturing and service work, and about seven months for one engineer-to-order package. A second company, a data move, or an integration pushes the work off the four-week row. Ask which duration matches your scope and which tasks sit outside the printed price. A week count with no task list tells you duration only, so price the task list before you compare bids.

Can I leave a partner after go-live without re-implementing, and who owns the customizations?

Leaving cleanly is a contract term, not a platform setting you can assume. Ask, before you sign, whether you can take AL extensions and configuration packages with you, and whether another firm can support what was built without starting over. Buyers who are unhappy with support ask both questions after the fact, when the files are already in someone else's tenant practices. Write the answer into the statement of work, next to the named consultant and the date hypercare ends.

Why would a consultant refuse to put a rate on the proposal?

A missing rate leaves you unable to tell a wage, a contractor's own ask, and a firm invoice apart. Ask for a rate card by role, dated, with which hours sit inside a fixed fee and which work is billed later, especially custom programming. Consultants who work with each other expect that number to be stated. If a seller will not fill in the blanks, you cannot compare the bid with a published package or with another firm.

What does a Device license cost, and when did Business Central prices last change?

Microsoft's November 1, 2025 announcement set Device at USD 45 per device per month, up from USD 40, with included storage moving from 1 GB to 1.5 GB. The same change moved Essentials from USD 70 to USD 80 and Premium from USD 100 to USD 110, and Microsoft described it as the first Business Central price increase in more than five years. New prices apply to new cloud subscriptions and to existing ones at the first renewal on or after that date. Ask what additional storage costs once you pass the included 3 GB on Essentials or 5 GB on Premium, because that amount is separate from the user license.
